This year has presented a variety f new challenges and pprtunities fr the Bard and Secretariat as we wrk hard t represent ur members and prvide valuable services. Bard and Secretariat Changes Over the past year the Bard and Secretariat have gne thrugh a series f persnnel transitins. Since the AGM Dnna Tywniuk-Harbeck resigned as Vice-President and was replaced by Melissa McCarthy fr the remainder f her tw year term finishing at this AGM. Wendy Dyck als resigned as Treasurer and was been replaced by Jennifer Rutkair wh will serve until the AGM. I wuld like t take this pprtunity t thank Dnna and Wendy and fr their service t the ASA and t thank Melissa and Jennifer fr stepping int Bard psitins during the year. As a result f the many changes, the Bard has been drafting a Manual fr Bard Members, revising Bard Psitin Descriptins, and updating Cmmittee Terms f Reference. This fcus n gvernance is a necessary step twards building a strng bard with a clearer visin. The ASA Secretariat cntinues t grw and develp. In December Maryna Chernyavska began wrking part-time as the Database and Administrative Assistant, a newly created psitin merging the vacant Database Administratr psitin and Member Services Manager psitin previusly filled by Ericka Chemk. Maryna s wrk has cncentrated n addressing issues related t the ASA database Alberta On Recrd and supprting Rene in her rle as Executive Directr and Archives Advisr. In additin, 2014 saw the implementatin f the ASA Fld Prject. Amanda Oliver was hired as ur Lead Archivist and Emily Turgen-Brunet was hired as ur Lead Cnservatr. This increase in staff has presented a variety f new challenges fr the ASA. A Human Resurces Plicy was develped and apprved by the Bard, additinal ffice space fr the Fld Team was secured at the City f Edmntn Archives, and the Executive Directr s rle has becme fcused mre n management and supervisin than ever befre. In additin, the building managers where the ASA currently rents its ffice space have impsed a variety f additinal fees if and when we use the building utside f regular business hurs (evenings and weekends). This has prmpted the ASA t hld its Bard meetings at the City f Edmntn Archives, where such fees are nt incurred. Given the new fee structure and the grwth in the Secretariat the ASA is lking fr new ffice space that will better suit ur needs. In early April we were infrmed that the ASA s funding had been cut by 4.89% fr the fiscal year. Hwever, with the recent change in the Prvincial Gvernment it is unclear if ur budget will be restred r remain as presented in April. In rder t be prepared fr a reductin the ASA has prepared a budget that takes int accunt the 4.89% cut. Mre details are available in the Budget, hwever we have taken steps t ensure that the decrease in funding impacts areas f the ASA budget that are generally undersubscribed. Cmmittees The ASA cntinues t ffer a wide variety f prgrams and services t its members. Thrugh the hard wrk f ur cmmittees tw wrkshps were rganized, the ASA Calendar and Virtual Exhibit were nce again prduced, a Launch Event fr Archives Week was rganized in Calgary, grants were adjudicated and distributed, and issues related t AOR cntinued t be addressed. Planning has already started fr Archives Week 2015, the theme this year is Alberta Fr Sale and I fr ne am excited t see the events that the Cmmunicatins Cmmittee is rganizing. In additin, preliminary plans fr ur 2016 cnference have als begun. Please see the cmmittee reprts fr mre details abut these activities and events. Relatins with CCA As President I represent the ASA at varius meetings including at the Canadian Cuncil f Archives Annual General Meeting. ASA members wh read the Budget in detail will ntice that we nw pay a membership fee t the CCA. The justificatin fr this fee is due t the cntinued financial difficulty the CCA faces since the eliminatin f the NAPD. In additin t administrative wrk, she prvides advisry services fr new archival prgrams as well as assistance t existing archival prgrams. Advisry Services Fr , we had requests t g n site visits t 12 nn-member archives acrss Alberta. Nnmember visits included Dnelly Histrical Sciety, Edsn Gallway Statin Museum, EPCOR water services, Film and Vide Arts Sciety, First Presbyterian Church f Edmntn, Hanna Histrical Sciety, Memria Viva Sciety, Sul f Canada, King s University, Onway Museum and Heritage Centre, Sevihcra archives in Spruce Grve and the Jewish Histrical Sciety f Suthern Alberta. In additin, I visited many member institutins. Sme f the site visits were in preparatin fr the Fld Advisry Prgram. I went t Frt McMurray t see the impact f the fld t help make decisins n the prgram we wuld ffer. Site visits were als made t ur current institutinal members fr membership reviews. I visited the Canmre Gescience Centre t begin initial plans fr the 2016 Cnference. Fr the year, ASA gained a new institutinal member, the Lyal Edmntn Regiment Museum. We are currently wrking n six new applicatins fr institutinal membership. In additin t site visits, there were ther advising requests, fr which the statistics fllw. I wuld like t nte that the ASA has been receiving sme advising questins frm utside the prvince fr such places that n lnger have advisrs including Yukn, NWT and Manitba. The percentage f the ut-f-prvince advice is lw but nnetheless, there appears t be a need fr an advisr fr thse prvinces and territries. Additinal Initiatives Many ther services and initiatives were accmplished in , including: Administering and c-teaching the Archives Institute in Edmntn, May Administering wrkshps Privacy and Archives, Jasper May 2014, CCI Emergency and Disaster Preparedness wrkshp, Calgary July 2014 and Managing Electrnic Recrds, Edmntn Nvember Attending and rganizing meetings and AGM f ASA s Bard f Directrs and its varius cmmittees. Cntributing t the ASA Newsletter. Assisting and verseeing the Database and Administrative Assistant as well as the Fld Advisry Prgramme staff and cntractrs. Administering and implementing Archives Week including the web exhibit, calendar, mail-ut and ur Archives Week public launch event. Planning and implementing the 2014 ASA Cnference. Cmmunicating with ASA membership regarding ASA initiatives as well as varius news frm the archival cmmunity at large. Attending the Assciatin f Canadian Archivists cnference in Victria as well as presenting at a panel n the future f Archives Advisrs in Canada. Setting up and attending an exhibit bth at the Alberta Library Cnference t prmte the services that the ASA prvides. In the cming year, we will cntinue t prvide advising services and prfessinal develpment pprtunities such as ur wrkshps and Archives Institute. We will cntinue t ffer the Fld Advisry Prgram and a new initiative is t seek a new ffice fr the ASA. Gdbye and thank yu t Paula Aurini-Onderwater fr her wrk n the cmmittee. Braden Cannn and Meribeth Plenert have jined the cmmittee. Judy Kvacs cntinues as bard representative. As in the past, the cmmittee fcused primarily n the virtual display and the prductin f the 2015 calendar. This year s theme was "Creepy Alberta." Feedback suggests this theme was nt as well-liked as thers, but hpefully it is still up n yur ffice wall. Again, we received many interesting submissins, and decisins n what t include in the calendar are always ne f the highlights f this cmmittee's wrk. Fr the launch f Archives Week this year, the cmmittee cntinued with an event pen t the public. As last year's event was in Edmntn, this year's was in Calgary. Harry Sanders gave a talk entitled Buildings with a Past? which addressed frgtten uses and events f buildings and sites in Calgary. The event was held at Heritage Park and apprximately 20 peple attended. Thank yu t Bnnie Welk, Karly Sawatzky and Jennifer Willard fr yur wrk n this event. In additin, ASA president, Shamin Malmas jined us as ur Bard liaisn member. Welcme Shamin! We ve had a very psitive 2015 s far and things are turning arund with the database. We had a perid f inactivity as Janet McMaster resigned as Database Administratr in May f 2014; n behalf f the Cmmittee I d like t thank Janet fr her wrk. The ASA Bard recnfigured the psitin and at the end f 2014 Maryna Chernyavska was hired as ur new Database and Administrative Assistant. Welcme Maryna! Maryna has been wrking with Artefactual t slve the timing ut issues, fr example she reset database permissins which imprved perfrmance significantly. A small grup f archivists, including Cmmittee members, have been testing the database by editing their institutin s existing descriptins and adding new nes. In April 297 archival descriptins were created and 1173 revised; and 164 authrity recrds were created and 367 revised. There are still sme fixes in prgress but I am cnfident that the database will be pened t allw general editing by institutinal members sner rather than later. At that time new guidelines will be rlled ut and training will be ffered. The Cmmittee has recmmended that new applicatins will nt be accepted frm institutins if their prjects and reprts remain utstanding. A ne-time 6 mnth extensin may be requested but needs t be received at least a mnth prir t the end f the grant perid. Such requests will be cnsidered by the Grants Cmmittee. Rene will draft the plicies as per abve fr cnsideratin by the ASA Bard. My duties ver the past six mnths included the fllwing: Alberta On Recrd Managed the ASA database, ensured that descriptins cntributed by users are RAD cmpliant, published thse descriptins, assisted institutinal members t use AOR, cmmunicated with Artefactual t reslve the timing ut and ther issues. ASA Website & Blg Updated the cntent and ensured the website functins prperly, and the infrmatin is presented in a user-friendly way. Cmmunicatins - Newsletter layut, membership crrespndence and ther mail-uts thrughut the year, such as membership renewals, event annuncements, news, etc. Educatin Lgistical supprt f learning pprtunities including registratin and general lgistics fr a wrkshp and annual Archives Institute. Membership Maintained the membership infrmatin in ASA s membership database. The membership year ccurs frm April 1 until March 31. 11 fld advisry prgram reprt amanda OLIVER & EMILY TURGEON-BRUNET, lead team, asa FLD PrGRAM In September 2014, Amanda Oliver (Lead Archivist) and Emily Turgen-Brunet (Lead Cnservatr), knwn as the Lead Team, were hired fr the Archives Sciety f Alberta s Fld Funding Prgramme. We visited 15 f ASA s institutinal members: Calgary Plice Services Archives City f Calgary, Crprate Recrds, Archives City f Edmntn Archives Esplanade Archives Frt McMurray Histrical Sciety Archives Galt Museum and Archives Glenbw Archives Legal Archives Sciety f Alberta Lyal Edmntn Regiment Museum Musée Heritage Museum Museum f the Highwd Pincher Creek and District Histrical Sciety Red Deer and District Archives Twn f Oktks Museum and Archives University f Lethbridge Archives Fr each institutin visited, we cmpleted site assessments, including assessing the facility s envirnment and cllectin strage in regards t disaster preparatin. The Lead Team is als reviewing r develping disaster plans fr each institutin as well as purchasing disaster kit supplies and rehusing materials. Three cntractrs were hired, tw archivists and ne cnservatr, t prvide disaster recvery assistance at the tw mst heavily impacted sites. Archivist, Carey Isaak, was sent t Frt McMurray Histrical Sciety s archives t g thrugh bxes f recrds that were mved in respnse t the flding. A secnd archivist, Michelle Parsns, and a bk cnservatr, Lisa Isley, were sent t the Museum f the Highwd in High River t stabilize damaged recrds, recncile the stabilized recrds with their descriptins and prvide new descriptins fr the treated material. The phtgraphic material is clse t cmpletin and the bund archival material will be treated within the next few mnths. Thus far, 8% f the recrds have been unsalvageable and 92% f the recrds have been salvaged. The Lead Team created a variety f resurces regarding disaster preparedness and upladed these resurces t the Fld Assistance webpage n ASA s website. These resurces include guides abut emergency respnse resurces, envirnmental mnitring tips, disaster respnse kit supplies, digital preservatin resurces and preparing fr digitizatin.
