1 AVAILABLE TO LEASE BY INFORMAL TENDER The Former National Trust Pavilion, Royal Welsh Showground A rare opportunity has arisen to lease a prominent building in a prime location on the Royal Welsh Showground. The term of the lease shall be for 6 years and will include occupation throughout the whole of the year including all Society events as detailed. The building amounts to approximately 95.3 square meters (1,025.8 square feet) of gross internal floor space together with approximately 170 square meters (1,829.9 square feet) of external decking and semi-covered space. Description 1.1 The building is a two-storey timber frame structure situated on an irregular shaped plot which offers approximately 95.3 square meters (1,025.8 square feet) of gross internal floorspace together with approximately 170 square meters (1,829.9 square feet) of external decking and semi-covered areas beneath a large veranda. 1.2 Large folding doors at the front provide ample access to the internal accommodation which includes a reception area (approx. 7.8m x 5.6m gross), kitchen/food preparation area (approx. 5.7m x 3.3m) and a store room (approx. 3.5m x 1.7m) on the ground floor with an office/meeting room (approx. 5.7m x 4.7m) and WC situated on the first floor. 1.3 An annotated plan of the building and stand space is shown below: 2. Location 2.1 The building is located on one of the Show s busiest avenues directly opposite the popular Bandstand. 2.2 The exact location is shown on the map of the showground attached as Appendix B. 3. Utilities 3.1 The building includes electrical power points and a mains water supply. Use of these services will be recharged at an agreed rate based upon usage and assisted by regular meter readings. 4. Catering 4.1 Catering for hospitality on a gratuitous basis is permitted, provided all environmental health and food hygiene regulations are adhered to. 4.2 The sale of food and drink is only permitted on the following conditions: Only light refreshments including cold snacks and hot and cold drinks can be offered for sale The sale of alcohol is strictly prohibited A catering agreement must be signed by the successful tenderer, which sets out guidance on food origin and traceability, pricing and preferred suppliers etc. A draft copy is available on request. 5. Visitor Profile 5.1 Details of the visitor profile of the Royal Welsh Show and supporting testimonials from existing tradestand holders can be found in Appendix C. 1.4 Further supporting photographs can be found in Appendix A. 6. Other Lease Terms 6.1 Term the lease is offered on an initial term of 6 years, expected to cafc.cymru / rwas.wales 2

3 commence on the 1 st July 2018 and terminate on the 30 th June Rent Review the basic rent will be reviewed with reference to the Retail Prices Index (RPI) on the third anniversary of the lease commencement date. 6.3 Payment Terms the rent is paid half yearly in advance on the 1 st July and 1 st January. 6.4 Tenant s (non-exhaustive) obligations include: To maintain the property in a good repair and condition To allow the Landlord access to the property To pay all outgoings, including rates, taxes and utilities To hold appropriate insurance for its activities within the property and indemnify the Landlord against all liability claims Not to assign, share or sublet the property without the consent of the Landlord Not to make any alteration to the Property without the consent of the Landlord Not to park vehicles which may obstruct any event or activity taking place on the showground To comply with all statutory requirements To ensure all external signage is fully bilingual in both Welsh and English To observe the Landlord s regulations and restrictions imposed from time to time relating to the management of the property The Lease is excluded from the security of tenure provisions of Part II of the Landlord & Tenant Act Legal Costs 7.1 The Tenant to cover the Landlord s reasonable legal costs in preparing the agreement (capped contribution of 500 plus VAT). 8. Invitation to Tender 8.1 Interested parties are invited to tender an annual rent for a 6-year lease of the above-mentioned building. The closing date for tenders will be 12 Noon on Friday, 27 th April All tenders must be submitted in writing using the Tender Form attached. 8.3 Any offer submitted is on the strict understanding that, if accepted, the Tenant will sign and complete the lease agreement by no later than the 1 st June The Society reserves the right to remarket or withdraw the Property should this time scale not be adhered to. 8.4 The successful applicant will be given a quantity of pre-show passes and admission tickets for Society events. Further tickets and passes can be purchased at the pre-show discounted rate. 8.5 The building will be available for occupation throughout the year including the duration of the Society s three major events (Spring Festival, Royal Welsh Show & Winter Fair) 8.6 It should also be noted that the Society does not bind itself to accept the highest or indeed any tender made. 8.7 All parties who submit an offer will be informed within a reasonable period of time whether their offer has been successful or not. cafc.cymru / rwas.wales 3
