2 INTRODUCTION Welcome to 525 West Van Buren! Jones Lang LaSalle, the building s Management Team, has designed this Guidebook for New Tenants to provide you with basic building information. A separate Tenant Emergency Safety Procedures Handbook that contains emergency procedures will be provided for your employees and tenant safety team. A tenant safety team that includes Fire Wardens, Assistant Fire Wardens, Searchers, Stairwell Monitors, and Elevator Monitors MUST be chosen by each tenant, pursuant to the City of Chicago High Rise Safety Ordinance. Should any of the information in this Guidebook differ from that which is contained within your office lease, the lease terms override the contents of this Guidebook. 3 BUILDING INFORMATION ABOUT 525 WEST VAN BUREN BUILDING 525 West Van Buren is a 16-Story, Class A office tower. Located at the southwest corner of South Canal and West Van Buren Street in Chicago, Illinois, 525 West Van Buren occupies an ideal location within the dynamic West Loop Submarket. The Property was designed by OWP/P Architects and completed in West Van Buren features state-of-the-art systems, highquality finishes, column free floor plates, and a convenient location immediately adjacent to the subway, expressway and commuter rail. In addition, our security staff uses CCTV and direct inspection methods to monitor the lobbies, garage, freight elevators, and loading dock, as well as controlling after-hours access to the building. 525 West Van Buren is equipped with state-of-the-art life safety systems to protect the tenants and the property. The building is fully sprinkled and complies with all City of Chicago high-rise safety ordinances. The emergency systems that protect the building are constantly monitored by building security personnel. Fire drills and safety training will occur twice a year, and all tenants will be asked to participate. A tenant safety team that includes Fire Wardens, Assistant Fire Wardens, Searchers, Stairwell 3

4 Monitors and Elevator Monitors must be chosen by each tenant for each suite or floor that is occupied. A copy of the Emergency Safety Procedures Handbook will be provided to each occupant of the building. Additional copies are always available by contacting the Management Office. If a problem arises after hours, please call Building Security at The Management Office main phone number ( ) is also answered by security outside of regular business hours. 4

5 BUILDING PROCEDURES BUILDING HOURS Monday - Friday Saturday 6:00 a.m. 6:00 p.m. Closed 525 West Van Buren is closed on Sunday s and the following holidays: Memorial Day Labor Day Christmas Day Independence Day Thanksgiving Day New Year s Day Authorized persons may enter the building at any time provided they have a valid identification keycard. The West Van Buren entrance hours of operations are as follows: Monday - Friday: Saturday: Sunday: 6:00 a.m. 6:00 p.m. Closed Closed The Canal Street entrance is designated as the 24-hour entrance for 525 West Van Buren. The Canal Street entrance hours of operations are as follows: Monday - Friday: Saturday: Sunday: 6:00 a.m. 7:00 p.m. Closed Closed All employees exiting the building after 7:00 p.m. on weekdays, on Saturday and all day Sunday are required to sign out with Security at the security desk. Tenants entering the building between 6:00 p.m. and 6:00 a.m. Monday through Friday, all day on Saturday and on Sunday are required to access the building through the designated afterhour entrance/exit located at the Canal Street entrance. The tenant's coded keycard must be passed over the sensor pad to unlock the after-hour/handicap door. Tenants may make prior arrangements with the Office of the Building for before-hour and after-hour guests or invitees. Building personnel will make every reasonable effort to accommodate tenant needs. All beforehour and after-hour tenants and guests must log in and out at the security console. After-hours access to the building by contractors, service and delivery personnel must be preceded by authorization sent to the Office of the Building from an authorized tenant representative. A building representative may be required during all after-hour contractor activity. An additional service charge may apply in certain circumstances. No one will be admitted to a tenant suite after hours without authorization. 5

6 TENANT COMMUNICATION Upon move-in, each tenant will be required to complete a Tenant Contact Information Sheet that includes contacts for general and emergency correspondence, after-hours access, signatories for property removal passes, key control authorities, and persons responsible for lease payments, as well as the option to be included in the electronic lobby directory. Completed forms and attached signature pages must be returned to the Management Office. It is important to update the contact sheets as changes are made and to send any updates to the Management Office. On an annual basis, all tenants will be asked to review and update their forms. ELECTRONIC TENANT SOLUTIONS For your convenience, this Portal includes an Electronic Tenant Service Request System. Use this system to submit routine maintenance requests directly to the engineering department; to track the status of previously submitted requests; to download important documents; and to communicate with the property management office. Simply click on the link below Enter your username and password Choose the action you would like to complete Once you have logged into the system, you will be presented with four options: Complete a Maintenance Request Form Update User Information View Electronic Maintenance Request Log Mezzanine Reservations Download Miscellaneous Administrative Forms To complete a service request, click on the "Electronic Maintenance Request Form" Link. Users will be taken to a service request form. Step One- Confirm or complete all contact information. Step Two- Choose the nature or type of request being submitted. Step Three- If applicable, provide details of the contractor to be used. Step Four - Review all information thoroughly. Click submit. You will receive conformation via that your request was submitted to the management office. Personalized user information is used to auto-fill the Electronic Maintenance Request Form for quick and easy submission. In addition, accurate contact information will assist the management staff in expediting all maintenance requests. Each user should check regularly to ensure that accurate information is on file. The Electronic Maintenance Request Log allows users to track and monitor all service requests submitted through the Electronic Tenant Service Request System. Service requests are sorted by month and will have the current month displayed upon entry. 6

7 Questions regarding the Electronic Tenant Services Request System should be directed to the Management Office. LOCKS & KEYS The Management Office provides each tenant with two keys to each door in the suite and will supply additional keys and/or replacements at an additional cost of $5.00. For your protection, the keying system is proprietary. Unauthorized locksmiths cannot duplicate keys. The Management Office must approve the change or addition of any locks in your office. All keys must be returned to the Management Office at the end of the lease. Each tenant will need to identify at least one Key Control Authority (KCA) who is a designated tenant representative that will authorize key requests through the Management Office. The list of KCA s must be sent to the Management Office before any key duplication requests can be fulfilled. IDENTIFICATION KEYCARDS Each tenant employee working in 525 West Van Buren must carry a building standard identification keycard in order to gain access to the building. Temporary employees and consultants working in the building for more than one week will also need an ID keycard. The Key Control Authority designated by the tenant will be authorized to approve keycards. Badge Office Hours & Location ID keycards are produced Tuesday s between the hours of 9:30 a.m. and 12:00 p.m. at the Office of the Building. If you are unsure of location, please ask a security officer for assistance. New Hire Process On a new employee s first day of work at 525 West Van Buren, please follow the Visitor Registration process outlined in these guidelines. A representative for perspective new employees must input a request to get an ID keycard into ETS. Until a permanent ID keycard is obtained, new employees will be required to register as visitors. On the electronic database please indicate access levels (floors, hours), and special needs (wheel chair enabled, hearing impaired, etc.). While it only takes a few minutes to complete the photo process, please allow one business day to create the ID keycard. If time allows, it is possible that the keycard will be printed immediately. A.D.A. Visitor or Employee Any tenant with a fulltime or new employee or visitor who is handicapped, has a disability, or requires assistance needs to notify Security to ensure the individuals safety if an emergency were to occur. Reporting & Replacement of a Lost ID Please notify the Management Office immediately of lost keycards by inputting a notification into the electronic database along with sending an to annie.ames@am.jll.com. The keycard 7

8 will be cancelled and a replacement will be issued. It is not necessary to have a new photo taken, but each request must be accompanied by a completed and signed ID keycard request form. There is a $25 charge for all replacement cards, payable by cash only at the time of issuance. Terminated Employees Please notify the Management Office immediately when an employee is terminated so that the keycard will be cancelled. Only the designated tenant representatives are authorized to make these requests. Initial notification may be made via phone at , but must be followed by written documentation through ETS. The communication should include the full name of the employee, the effective date of the termination, and if there will be any special circumstances that must be followed (example: terminated employee will be back to pick up belongings and must be escorted.) Please send notification to annie.ames@am.jll.com. Forgotten ID S All individuals with an active ID keycard who have forgotten the ID will be required to register at the security desk in order to access the building. Upon verification of access permission, via contact with the designated tenant representative, verified employees will then be allowed access to the 525 West Van Buren lobbies and elevators. Further access to tenant space will be allowed using tenant-specific security procedures. After three (3) consecutive days of a forgotten ID keycard, the individual will be required to obtain a new keycard on the fourth day. Please refer to the Lost ID procedure. VISITOR REGISTRATION All visitors to the tenants of 525 West Van Buren are required to register at the security desk located in Canal Street lobby. A government-issued photo ID must be presented at the time of check-in. Please notify the Security Team and the Management Office of intended visitors a few days prior to arrival. Notifications may be ed to: 525security@apex3security.com. If an unregistered visitor arrives, building staff will phone the appropriate contact person to gain authorization for the visitor. Visitors arriving after regular business hours (refer to Hours of Operation) will register following the same process as above. However, it is necessary for the tenant employee to escort the visitor into the building. Building personnel may be reached by calling Building Security, For events involving 50 or more visitors, a separate registration table will be set up in the designated lobby. The cost of security to staff the table will be charged to the tenant. For these large events, a complete, alphabetized and all-inclusive list of attendees must be provided at least 24 hours in advance of the event. 8

9 FOOD DELIVERIES During regular building hours, Monday through Friday, food deliveries may be brought up to the tenant suites. It Is not necessary to provide the name of the individual making the delivery, only the restaurant name. If a delivery is not pre-registered, the regular visitor registration process will be followed. Delivery personnel will be directed to the tenant s main reception floor. After hours, tenant employees will be required to meet the delivery in the lobby. If the food is on a cart, the vendor will be directed to the Arcade entrance for delivery via the freight elevators. PROPERTY REMOVAL PASSES Property Removal Passes are used for the removal of any bulk items and packages that may appear to be property of the tenant company. Such items can be but are not limited to: computers and electronic equipment, furniture, artwork, and personal property, not including briefcases or other luggage. The pass is a three-part form issued by the tenant company authorizing the individual whose name appears on the pass to remove only those items listed on the pass. Each tenant is to provide the Management Office with a list of authorized signers for property removal passes. The signature on the pass will be verified by a security officer before the tenant employee exits the building. 525 West Van Buren Property Removal Pass must have the following sections completed: Date Name of the employee removing items (ID will be verified) Authorized signature Company or Personal property box checked Description of items being removed When exiting the building, the security officer will ask for the pass and all contents will be verified to match those listed on the form. The top copy (white) will be retained by the employee removing the property. The middle copy (pink) will be retained by 525 West Van Buren Security and the bottom copy (yellow) is retained by the tenant employer. 9

10 BUILDING FEATURES & LOCAL SERVICES WEBSITE The website was designed specifically to deliver information and services to 525 West Van Buren tenants. It also provides links to our leasing and architectural websites. To access the website, go to. PARKING The parking garage is not open to the general public and is available only to tenants of 525 West Van Buren as assigned in the office lease. For more information, please contact the Management Office. Public parking is available directly across the street, just north of 525 West Van Buren, at CPS Parking Facility, 320 S Canal. For more information please call CPS Parking at BICYCLE PARKING 525 West Van Buren bicycle parking is located on the exterior southeast side of the building on Canal as well as on the 2 nd floor Mezzanine on the interior. Access to the bicycle parking is available at no charge and on a first come first serve basis. Before bike room access is granted, tenants must register their keycard and provide a bike waiver to the Office of the Building. Please ensure your bike is securely locked for we are not responsible for any damage or loss due to theft. There are spaces for approximately 60 bicycles. Garage Access Garage access is available 24/7. All tenants much have a transponder to access the garage. The transponder may only be used by the person registered. If tenants need to access garage after-hours of operation or over the weekend, they must register with the guard. ERIK S DELI Erik s Deli is open to all 525 West Van Buren tenants. Located on the 1 st floor, Erik s Deli offers a variety of items, such as fruits, beverages, snacks, as well as breakfast and lunch selections. Erik s Deli is open on the weekdays from 6:30 a.m. 2:30 p.m. 10

11 FITNESS CENTER A newly renovated Fitness Center on the Mezzanine, 2 nd floor, is available to 525 West Van Buren tenants. In order to gain access to the Fitness Center, all tenants must fill out a Fitness Waiver which can be obtained from the Management Office. For any other fitness inquires such as the current fitness class schedule, please contact the Management Office. CONFERENCE SUITE Located on the 2 nd floor Mezzanine the Conference Suite is available for use by all building tenants. The Conference Suite features East Room A, West Room B and a Board Room. East Room A and West Room B can each accommodate up to of 40 guests. The divider separating Conference Room A from Conference Room B can be removed to provide a larger conference area. The combined conference rooms of both A & B can accommodate a maximum capacity of 80 guests. The smaller scaled Board Room can hold 8 10 people. The Conference Suite furniture is flexible and can be arranged to suit your needs. The Conference Suite is equipped with a motorized projection screen, marker boards, a coat rack, telephones with speakerphone capability, and wireless internet connectivity. There is a set-up area with a countertop for food service. The Board Room is the only room equipped with refrigeration. The rental rates are $25 per reserved room including any additional labor or material costs. The charges will be included on your monthly rent statement. Included in the rate are set-up and clean-up as well as phone calls and internet usage. (Note: international calls are not authorized unless approved in advance.) MAIL ROOM 525 West Van Buren operates a Mail Center on the 1 st floor for all tenants of the building. All deliveries via U.S. Postal Service (USPS), FedEx, UPS, messenger services, etc. must be delivered to the Mail Center via the West Van Buren entrance, the Canal Street entrance or via the loading dock. Mail is picked up and dropped off Monday through Friday between 11:00 a.m. and 3:30 p.m. Saturday pick up is at 11:00 a.m. All inquiries about mail service should be directed to the U.S. Postal Service. The daily pick-up times are as follows: USPS: 3:00 p.m. Fed Ex: 7:00 p.m. UPS: 7:00 p.m. DHL: 6:15 p.m. Messengers All incoming messenger deliveries must sign in at the security desk at the loading dock. 11

12 LOADING DOCK Dock Hours Monday Friday 7:00 a.m. 6:00 p.m. Saturday Sunday By Appointment Phone Number The loading dock is accessible on the Southside of the building via Tilden St. The loading dock is for deliveries only. Personal vehicles in the dock will be towed at the owner s expense. The size of delivery trucks is limited, and semi-trailer trucks cannot be accommodated. When possible, please give a minimum of 24-hours notice to the Management Office for any deliveries. Please contact the Management Office for more information. PUBLIC TRANSPORTATION 525 West Van Buren is very accessible to tenants and visitors via public transportation. METRA: The Northwestern Metra Station is a short walk away, at Madison and Canal. Union Station is located on Canal between Jackson and Adams, an approximate 10-minute walk. LaSalle Street Station is located at LaSalle Street and Van Buren Street, just five blocks east of 525 West Van Buren on Van Buren Street. The Randolph Street IC Station is located at Randolph Street and Michigan Avenue, six blocks north and ten blocks east of 525 West Van Buren. For information visit: CTA: 525 West Van Buren is in close proximity to all of the Chicago Transit Authority train lines. The CTA s Quincy and Washington elevated train stations are both just a few blocks away, on Wells Street. The Blue line subway runs along Clinton Street, and the Red line subway along State Street. BUS: Several bus routes run within blocks of 525 West Van Buren coming from the north, south, east and west sides of Chicago. Franklin Street (312) TENANT SERVICES RENTAL PAYMENTS & BILLING PROCEDURES 525 West Van Buren will send out monthly rent statements that will include additional service charges that are incurred. Rent is due on the first day of each month. Please make your check payable to 525 West Van Buren and include the tenant name. EXTRA SERVICE WORK The Management Office is able to provide additional services such as carpet cleaning, exterminating, extra security service or extra window cleaning through the building contractors, for an additional charge. Tenants choosing to use an outside contractor for additional services must obtain approval from the Management Office in advance. HEATING, VENTILATION & AIR CONDITIONING Unless otherwise specified in the Lease, regular heating, ventilating and air conditioning hours are: Monday Friday Saturday 7:00 a.m. 6:00 p.m. 9:00 a.m. 1:00 p.m. Tenants must receive written approval from the Management Office prior to using any other form of supplemental heating or air conditioning in their suites, such as units servicing a computer equipment room. Per building rules and regulations, personal space heaters are not allowed in the building as they are a fire hazard. For all temperature-related issues, please contact the Management Office and an engineer will be dispatched to address the concern. After-Hours HVAC Service Tenants requiring after-hours HVAC service should notify the Management Office prior to 2:00 p.m. one day in advance is required. When making the request please specify start and stop times. A minimum service time of one hour applies. Charges for additional HVAC services will appear on the monthly rent statement. Extended HVAC will be charged $90.00 per hour. Energy Conservation Tenants of 525 West Van Buren are asked to help curtail energy use by turning off all unnecessary lights and appliances at the end of the working day. Building cleaning staff will turn off lights when they are finished cleaning the tenant space. JANITORIAL SERVICES During the weekdays, 525 West Van Buren provides janitorial services in all tenant and public areas. Our janitorial services staff maintains the building s cleanliness and can quickly respond to tenant needs. Janitorial staff is on duty during regular business hours to accommodate additional cleaning requirements. Should additional cleaning or trash removal services be required, please input your request into the electronic database. If an immediate response is required, please contact the Management Office to arrange for service. Cleaning in tenant suites is provided each week night beginning at 6:00 p.m. On a nightly basis, our staff will empty trash, vacuum, dust, spot clean glass, dust mop hard floors, etc. For an additional charge, weekend services, refrigerator cleaning, kitchen maintenance, dishwashing, 14

15 microwave cleaning and other special cleaning services can be arranged through the Management Office. RECYCLING 525 West Van Buren has an active recycling program available to all tenants of the building. Upon request, each tenant employee will be furnished with a blue desk side container for recycling paper only. Larger containers for use in copy rooms must be purchased by the tenant. For additional blue desk side containers, please contact the Management Office. If paper is contaminated by food or liquid left in coffee cups or pop cans, it cannot be recycled. Because this has been the main obstacle in recycling trash, please keep wet trash separate from dry trash. Dispose of all wet trash (cups, pop cans, juice bottles, cans, left-over food and its containers) in the appropriate receptacles in your coffee area/lunch room or cafeteria. Acceptable Recycling Materials for Desk Side Containers: White Paper Magazines Colored Paper *All Envelopes Glossy Paper Newspaper Junk Mail Brochures Post-It Notes Blue Prints Manila Folders Cardboard *Tyvek envelopes cannot be recycled. Paperclips, staples, rubber bands and envelope windows do not need to be removed. Unacceptable Recycling Materials for Desk Side Containers: Food Waste Paper Towels Tissue Waxed Paper Napkins Food Wrappers Photographs Plastic Coated Paper Toner cartridges can typically be recycled through the vendor of purchase. *Only containers with numbers 1 through 5 and 7 in the recycling triangle can be recycled. You can usually find the triangle on the bottom of the container. Electronic waste such as computers, batteries and toner cartridges can be brought down to the 525 W Van Buren loading dock and placed in the e-waste pile. All batteries and toner cartridges must be put into a box before being dropped off. The e-waste is collected and managed by Ecotronics. SIGNAGE Signage & Suite Indemnification Each tenant has the right to display its company name and/or logo on its entry doors or within its suite. The Management Office must approve all new tenant signage or changes to existing signage, and can also help with recommendation of a qualified vendor. TENANT INTERIORS & ALTERATIONS Construction Work 15

16 Office suites are ordinarily built to suit the needs of individual tenants prior to move-in. Should your office needs change and require alteration of your space, please observe the following rules: Request a current copy of the building s Contractor Rules and Regulations, which can also be found on the website. All contractors working in 525 West Van Buren must be Union members. The Management Office must approve all tenant alterations or remodeling in writing before work begins. Tenant contractors will be required to comply with all building rules and regulations, and to abide by all safety and security policies and procedures of 525 West Van Buren. A certificate of insurance listing the appropriate parties as additional insureds and providing evidence of the required coverage and limits must be submitted prior to beginning any construction. Failure to provide the necessary level of insurance coverage will result in stop of work until compliance can be proven. Tenant Space Repairs 525 West Van Buren does not loan or rent property-owned tools or equipment to tenants or their vendors and contractors. 525 West Van Buren staff can perform a variety of minor repairs to tenant spaces. The building s engineers repair items such as locks, light fixtures, sinks or supplemental HVAC equipment. The engineering department can also install pictures and shelving. Please have your authorized representative make such requests in advance (except in cases of emergencies) to the Management Office. Appropriate charges for labor and materials will apply and will appear on the tenant rent statements. MOVING INFORMATION GUIDELINES FOR TENANTS & MOVERS All major move ins/outs must take place before 7:00 a.m. or after 5:00 p.m. Monday through Friday or any time Saturday or Sunday. Major moves are those taking more than 45 minutes to load or unload. All major moves must be scheduled at least 48 hours in advance by contacting the Management Office. The request will be reviewed and approved if the hours are available. Tenants will be notified via phone or of the confirmation. The moving company must have a current Certificate of Insurance on file with the Management Office prior to any move in activity. The additional insured and dollar amounts must meet or exceed the specified requirements. For a copy of the current insurance requirements, please contact the Management Office. All Moving companies and vendors must be signatory to a current Labor Agreement and only Union members of those companies may perform the work. Protection Freight Elevators: Corner boards must be provided on all doorjambs, including elevators. In common area corridors and lobbies, suitable protection must be provided to protect walls, doors and elevators. Damage to common areas by tenant movers will be repaired at tenant expense. 16

17 Damaged Elevators All damage to elevator cars such as broken safety edges, broken doors or damaged controls will be repaired by the building designated contractor at the tenant s expense. Loading Dock The loading dock is located and entered into on the south side on Tilden Street. The size of delivery trucks is limited. No semi-trailer trucks are allowed. Each tenant must insure that all of their vendors and movers have toured the loading dock area in advance of any move in activity in order to view the restrictions as to size and length of vehicles as well as understand the building security requirements for the move. This tour should be arranged through the Office of the Building. The three dock bays are 24 L x 8 W. Tenant Floors Carpet protection from elevator to tenant space must be provided either with plywood or masonite. Walls and doors must be covered as needed. Clean-Up Removal of plywood, masonite, tape, pads, corner boards, empty containers, boxes and carts from public areas (corridors, elevators, lobby, etc.) must be accomplished prior to the following business day.
