In support of your daily operations, Cushman & Wakefield/NorthMarq Real Estate Services is pleased to provide you with this Tenant Handbook designed to provide quick, useful information about the building and its amenities. Please keep this booklet easily accessible so you can refer to it at any time. The content of this book in no way amends the terms of your lease or the rules and regulations of this building. In the event of changes or updates to the contents, supplemental pages will be provided. In addition to the information provided in this handbook, your office lease lists the Building Rules and Regulations and should be reviewed. In any event, your lease takes precedence. Cushman & Wakefield/NorthMarq Real Estate Services believes you are an integral part of this building. We welcome you as our tenant and extend our pledge of continuing cooperation and service. 3 GENERAL TENANT INFORMATION Cushman & Wakefield/NorthMarq Real Estate Services is responsible for the operations and management of Norman Pointe I. Our purpose is to provide Norman Pointe I tenants with the highest level of service. HOURS OF OPERATION Norman Pointe I is open to the public Monday through Friday from 6 a.m. to 7 p.m. and Saturday from 8:00 a.m. to 1:00 p.m. It is closed on Sunday. 24-HOUR SERVICE LINE To report any maintenance requests, please call (952) and the Service Coordinator will dispatch the necessary person to assist you. The Service Line is answered 7-days-a-week, 24-hours-aday. PROPERTY MANAGEMENT OFFICE Located at 3800 American Boulevard, West, Suite 920, Bloomington, MN 55431, the management office is open Monday through Friday from 8:00 a.m. to 4:30 p.m. Please feel free to call with any inquiries or comments - we are here to serve your needs! 4 SECURITY The building is only accessible after hours by key card. Security conducts after-hours patrols of both the interior and exterior property site. If you have a security concern, call our 24-hour service line at If you are experiencing a life-threatening emergency, call 911. PROPERTY DIRECT Property Direct is our interactive tenant web portal through which you can find building announcements; submit work order requests, reserve conference rooms and more. For log-in information, please contact the management office at (952) RENTAL PAYMENTS Rent is due on the first day of the month. According to your lease, a late fee will be assessed if payment is not received on or before the first of each month. You will receive an invoice unless you specifically request an invoice not be sent. All rental payments are to be made payable to RT Norman Pointe I, c/o Cushman & Wakefield/NorthMarq (mail rent to the address noted on your monthly invoice). Changes may occur from time to time and you will be informed in writing of any change of mailing address. ADDITIONAL RENT/OPERATIONAL EXPENSE Leases provide for payment of additional rent over and above the base rental amount. Your monthly invoice will reflect individual charges for these amounts. Additional rent is based on the total amount of full building operating expenses and real estate taxes pro-rated for each tenant s proportionate share of the building rentable area (for the % of the year occupied). During the year, a tenant s additional rent billing is based on a budget estimate for that year. The year-end reconciliations are done during the first three months of the following year and actual costs are reconciled against the budget amount which has been billed to the tenant every month. Your annual one-time charge or credit may appear on your April billing. AFTER-HOURS ACTIVITY Please inform building management of all activities in your office that will be occurring outside of normal business hours. This includes construction, repair work, equipment installation, communications work, move in/out, special cleaning or security services, parties, etc. Notification allows us the opportunity to serve you better because we can inform our staff of your special requirements. 5 TENANT PARTIES If you have plans for a party, reception, or open house, please contact the management office at least two (2) weeks in advance. We would like the opportunity to advise our staff in advance. These are some common issues to think about: o Your heat and air conditioning can be adjusted by contacting the management office. o If you are serving liquor, host liquor liability insurance is required. o Trash is often times not considered; please make specific plans relating to trash collection and disposal. o Burning candles and some special effects can set off the fire alarm and sprinklers. Burning candles, including birthday cake candles, is prohibited. SERVICES & FACILITIES BASE BUILDING CARD ACCESS SYSTEM We have installed an electronic card access system which controls and monitors off-hour access to the building in order to control after-hours access to the building at Norman Pointe I. Entrance to the building during non-business hours is controlled by the access card system. Please see Access under Rules and Regulations for further details. ACCESS CARDS Cushman & Wakefield/NorthMarq Real Estate Services provides each tenant with access cards for their employees. The cards are then assigned by the tenant to specific individuals. Each employee is responsible for his/her own access card. Transfer of access cards among employees is prohibited. Access cards are needed to gain access to the building or suite level outside of the normal hours of operation. All requests for access cards (additions, changes, deletions) must be provided via Property Direct (see Property Direct) from your tenant liaison. These cards are property of the building. Therefore, we ask you to press upon your employees to be responsible and take proper care of them. If an employee loses his/her access card, please report it to the building management office immediately to ensure the security of the building and all tenants. When an access card is reported lost or stolen, it is immediately deleted from the access card system and rendered useless for future access. FIRE LIFE SAFETY SYSTEM Norman Pointe I utilizes a highly sophisticated Fire Management Safety System in the event that a fire should occur. The building is fully equipped with sprinklers and fire extinguishers which are (952) (952) Page 5

6 located on each floor near the stairwells. All fire doors in the building have automatic door closers. All stairwells on each level have a standpipe connected to the city water supply for Fire Department use. An emergency power generator provides standby power for exit lighting, elevators for Fire Department use and the Fire Management System. Smoke detectors are located on all floors and will activate alarms. Also, if there is a water flow condition, a sprinkler flow switch in the stairwell will activate the alarms. HEATING, VENTILATING, AND AIR CONDITIONING Cushman & Wakefield/NorthMarq Real Estate Services takes great pride in providing a comfortable environment for you and your employees. We are committed to a quick response to your heating or air-conditioning concerns. If you have concerns, call the 24-hour Dispatch Line at Heating or cooling during times other than normal business hours will be provided at the rate to-bedetermined by Landlord. This charge represents our current estimated average costs inclusive of energy and engineering labor. These charges are reviewed annually and are subject to change. We ask that all requests for overtime HVAC be made through the Service Coordinator at least 48 hours prior to the desired service. CUSTODIAL SERVICES Tenant areas are provided with building standard janitorial services Monday through Friday. Cleaning takes place after normal business hours. Special cleaning services, such as furniture or carpet cleaning, are available by calling our building management to solicit a bid. Any special cleaning services are chargeable to the tenant and will be billed on a monthly basis. We encourage you to request contract employee identification when someone enters your suite at any time. A contract employee is instructed to keep your suite door locked during cleaning. DIRECTORY LISTINGS Building directories are located in the main lobby near the elevators. Changes or additions to the building directories will be at tenant expense, please contact the management office with any requests. ELEVATORS This facility is served by a state-of-the-art system that includes three passenger elevators, one ramp elevator and one freight elevator. This vertical transportation system is engineered to provide the (952) (952) Page 6

7 highest quality of service available. The freight elevator use is for carrying loads and not general passenger use. All freight must come in the delivery entrance through the loading dock and into the freight elevator. Please communicate this to your vendors so they can understand then proper procedure. Freight elevator dimensions are as follows: Weight Limit: 4500lbs., Door Width: 4ft., Door Height: 8ft., Cab Depth: 8ft., Cab Width: 5 9, Cab Height: 9 6. LOADING AREA The building loading area is located on the lower level in the northeast corner of the building. All building deliveries are to come to this Delivery Entrance. Deliveries, depending on how you specify your place of delivery, will be picked up by the tenant at this entrance on the day of delivery. Please make arrangements with the derivers to appropriately inform you when deliveries are expected and when they actually occur so that you can be prepared. This are will be kept free of deliveries to be convenient and safe for all users. KEYS/LOCKS All keys are the responsibility of the tenant. In the event keys are lost, misplaced, additional keys required, lock change needed or are experiencing keying problems, please call the 24-hour service dispatch line or complete a work order on Property Direct. Additional keys and service work will be a direct charge to the tenant. LIGHTING Building standard light bulbs, i.e., base-building fluorescent tubes, will be replaced through the Service Desk at no charge. Tenants requesting replacement of any special lights in tenant areas will be charged accordingly. MEETING AND CONFERENCE ROOMS The conference room is located on the first floor and is available to Norman Pointe I tenants. Reservations for the conference room are made through Property Direct. To acquire access to Property Direct, please call the management office at (763) ext RAMP All employees are able to park in the Norman Pointe I parking ramp. If you plan on leaving a vehicle parked overnight or over the weekend, please put your request in Property Direct, and inform the management office. (952) (952) Page 7

8 GARAGE This facility offers an access controlled parking garage. Access for the garage is issued through the building access cards and can access the garage 7-days-a-week, 24-hours-a-day. You must have a contract in place to park in the garage. Please call the Property Manager for more information regarding fees and availability. VISITORS Visitor parking is provided for visitors of the building and is clearly marked. Visitor parking is subject to a two-hour maximum to ensure its continued availability for building visitors. Cars parked in the specified visitors parking, which violates the parking restrictions, are subject to being towed at the car owner s expense. Please be respectful of others in your use of this area. REPAIRS Our Engineering Staff is trained and equipped to handle a wide variety of issues. Please call (952) and the Service Coordinator will dispatch the necessary person to assist you. The Service Line is answered 7-days-a-week, 24-hours-a-day. SMOKING AREAS Per the Minnesota Clean Indoor Air Act and the Minnesota Freedom to Breathe Act, all other areas of the building are designated non-smoking including: the building entries, vestibules, stairwells, restrooms, and elevators. Please inform your employees of the no smoking policy and discourage any smoking just outside the building doorways around the entries. To accommodate building employees, an exterior designated smoking area has been provided on the second level of the parking ramp on the south east corner. We request your cooperation in encouraging those who wish to smoke to utilize the facilities provided. SOLICITATION Norman Pointe I enforces a strict "No Solicitation" rule throughout the building for the convenience and protection of our tenants. If you notice a solicitor, please contact the management office at INSURANCE In accordance with your lease, please provide the management office annually with the required insurance certificates. In order to obtain insurance, your carrier may request specific information relative to the building design and construction. The building insurance policy covers liability but (952) (952) Page 8

9 does not cover loss or damage to tenant premises, valuables, furniture or equipment. It also has no coverage for an accident within tenant premises. Please be sure your insurance certificate is in accordance within your lease as to its required amount and liabilities, and lists RT Norman Pointe I, LLC as owner, Gramercy Property Trust, GPT Realty Management, LLC, and NorthMarq Real Estate Services, LLC. The building and must observe strict care and caution that all water apparatus are entirely shut off before Tenant or Tenant's employees leave the Building, and that all electricity, gas or air shall likewise be carefully shut off, so as to prevent waste or damage. WINDOW COVERINGS Tenant shall not use any blinds, shades, awnings or screens in connection with any exterior window or door of the Premises unless approved in writing by Landlord. Tenant shall not use any drape or window covering facing any exterior glass surface visible from outside of the Building other than the standard drape or window covering established by Landlord. Tenant shall not place any bottles, parcels or other articles on the windowsills. RULES AND REGULATIONS Rules and Regulations for Norman Pointe I have been established to provide a safe and wellmaintained workplace for the tenants of the Building. Said Rules and Regulations are attached to all leases as and are subject to pre-approved exceptions as may be included in specific tenant lease language. MOVING POLICY The following rules pertain to moving furniture, equipment, and supplies in or out of Norman Pointe I. Any movers who do not adhere to the following rule will not be permitted to enter the premises and/or will be required to discontinue the move. o o o All walls, door facings, elevator cabs and other areas along the route to be followed must be inspected by the movers in conjunction with the building manager before and after the move. The mover must provide and install protective coverings on all walls, door facings, elevator cabs and other areas along the route to be followed during the move. Any damage to the building or fixtures caused by the move will be repaired and/or paid for by the moving company and/or the tenant. Only the assigned freight elevator will be used for the movement of furniture, equipment and supplies unless prior written approval to use additional elevators is granted by the Landlord. 10 The weight limit is 3,500 lbs. The dimensions of the elevator are 5 5 deep, 6 8 wide, 9 high ceilings, 48 wide doors, and the door height is 7. o The tenant must make arrangements with the management office for use of the freight elevator for each move and a firm time will then be established prior to finalization of movein plans. o The move must be scheduled after 5:15 PM on weekdays or on Saturday or Sunday with prior arrangements. Any additional after-hours costs are to be paid by Tenant. o The standard move route will start at the loading dock, move into the lower level lobby and then into the freight elevator, or the reverse for a move-out. o Any and all refuse or trash generated as a result of the move shall be hauled off the property by the moving company during the same day that the move takes place. The building is not equipped to handle moving cartons and/or trash without prior arrangements. MOVING COMPANY INSURANCE COVERAGE REQUIREMENTS The moving company must carry the insurance coverages listed below and must adhere to these requirements: o Workers compensation with statutory benefits and limits which shall fully comply with all state and federal requirements applying to this insurance which shall also include Broad Form All States and Voluntary Compensation Endorsements; and Employer s Liability Insurance with limits of not less than $500,000 per accident. o Automobile Liability Insurance in the Contractor s name including owned, non-owned, leased and hired car coverage listing Owner as additional insured, and containing a severability of interest endorsement. Limits of Liability shall not be less than $1,000,000 combined single limit per occurrence for bodily injury and property damage. o Commercial General Liability insurance using ISO Form CG /04 or its equivalent, including coverage for products/completed operations, with (1) minimum amounts of $2,000,000 per occurrence and $4,000,000 annual general aggregate, or (2) with minimum amounts of $1,000,000 per occurrence and $2,000,000 annual aggregate plus Umbrella coverage with a minimum amount of $1,000,000 per occurrence. The limits set forth above are the minimum required coverages, if higher coverages are carried by the moving company, claims may be filed for those higher amounts. Each moving company which moves furniture, equipment and/or supplies through this building shall make arrangements with their insurance company to supply the building manager with a certificate of insurance reflecting these coverages 24 hours before the move takes place. They are also required to provide the Landlord with (952) (952) Page 10

11 a current certificate of insurance evidencing the above coverages and indicating owner as additional insured. In addition, the moving company must agree to protect, indemnify and save Landlord harmless from and against all claims, demand and causes of action of every kind in character arising in favor of moving company s employees, Landlord s employees or other third parties on account of bodily injury, personal injury, death or damage to property in any way resulting from willful or negligent acts of omissions of moving company, its agents, employees or representatives or subcontractors. We require that moving companies RT Norman Pointe I, LLC, Gramercy Property Trust, GPT Realty Management, LLC, and NorthMarq Real Estate Services LLC as additional insured on their Certificate of Insurance. The moving company shall be responsible for all damages and losses sustained by them to their tools and equipment utilized in the performance of all work there under. Additionally, when any large items are being moved in or out of the building, it is necessary to coordinate these actions with the building management office for use of the freight elevator. No items shall be authorized to leave the building without authorization on your firm s letterhead and verbal coordination with the building management office in advance. TENANT MOVING CHECKLIST In addition to our working together on completing the lease, the process will continue by our working together on the design and construction of your space. There are major elements which require tenant attention in order for you to have a well-orchestrated move into Norman Pointe I. To better serve your needs, we have compiled a checklist of some of the elements involved. Again, we are available to assist you in making these decisions. 1. Furniture. You may wish to purchase new furniture for your new space. Depending on your selection, delivery time typically runs 6-12 weeks but can run up to four months or more. Decisions on new furniture should be a top priority item. 2. Telecommunication Systems. You will need to arrange for a telecommunication system in your new space. With the deregulation of this industry there are numerous options available. Again, there may be long delivery times involved to get the required equipment, so a selection should be made as early as possible. 3. Century Link. Regardless of the telecommunication system chosen, you will have to notify Century Link of your move. This should be done at least 6 weeks prior to your move-in Date. (952) (952) Page 11

12 4. Data Communications. You will need to arrange for data communication cabling if you have numerous CRT s, computers, word processing stations or other such equipment. This work is generally, but not always, included in the interior construction work performed by the building. 5. Moving Company. You will need to arrange for a moving company to transport your furniture, fixtures, supplies, and other items to your new space. Depending on the amount of furniture and equipment to be moved, the mover shall be notified from six to ten weeks in advance of the move. Some specific mover concerns are as follows: o Define scope o Understand timing o Assign a move supervisor o Provide mover with floor plans o Provide movers with moving rules o Request mover to help you inform employees o Be prepared with emergency staff and building management telephone numbers for the actual move o Understand elevator usage rules o Delegate packing and labeling 6. Equipment Moving. You may have equipment that requires a special mover. An example of this would be an oversized conference table. Many conventional moving companies will not move this type of equipment. 7. Business Forms. You will need to arrange for new business forms with your new address and phone number. 8. Post Office. You should notify the Post Office of your new address about two weeks prior to the move. 9. Deliveries. Provide specific delivery information on all current outstanding orders to assure you receive your deliveries. (952) (952) Page 12
