4 NOMA MISSION The Naonal Organizaon of Minority Architects (NOMA) mission is to champion diversity within the design professions by promong the excellence, community engagement, and professional development of its members The Naonal Organizaon of Minority Architects has been organized to: Foster communicaons and fellowship among minority architects; Form a federaon of exisng and proposed local minority architectural groups; Fight discriminaon and other selecon policies being used by public and private sector clients to unfairly restrict minority architects parcipaon in design and construcon; Act as a clearing house for informaon and maintain a roster on praconers; Promote the design & development of living, working, and recreaonal environments of the highest quality; Create and maintain relaonships with other professionals and technicians whose work affects the physical and social environment; Encourage the establishment of coalions of member firms and individuals to form associate and joint venture relaonships; Speak with a collecve voice on public policy; Work with local, state, and naonal governments on issues affecng the physical development of neighborhoods and communies; Be an effecve source of movaon and inspiraon for minority youth. NOMA INTRODUCTION The Naonal Organizaon of Minority Architects (NOMA) is a volunteer led organizaon that ulizes the power of its members to promote the need for diversity in architecture and allied professions. Our members contribute their me and resources to build a strong naonal organizaon made up of local chapters that work in their region to highlight the achievements of minority architects as well as develop future architects of all backgrounds so that the profession connues to grow. Our impact is felt naonally through our numerous advocacy programs that target not only our constuency, but decision makers in other professions, such as policians, educators, and private corporaons. Through our growing membership, we connue to add strength to the voice with which we can speak against apathy, intolerance, ignorance and against abuse of the natural environment. We voice our support for the unempowered, marginalized, and disenfranchised, which is followed up by acon in the communies we serve. Through our publicaons we inform the world about the talent, drive, and capabilies of minority professionals, that may otherwise go unnoced. By building strong chapters of design professionals, we can respond to the concerns that affect their local communies, which o en include disenfranchised or marginalized people. Our goals are to increase the level of parcipaon in the social, polical, and economic opportunies afforded the cizens of this naon and tear down the barriers that make full parcipaon una ainable. Chapters give members a base from which to be involved in polics, to visit schools and reach out to young people, to conduct community and civic forums, and to responsibly pracce in their local community. 5 CONFERENCE OVERVIEW The Na onal Organiza on of Minority Architects is excited to announce the upcoming 46th Annual NOMA Conference, NOMA UNBOUNDED: The Convergence of a Legacy, taking place October 17th - 20th, 2018 at the Palmer House Hotel in downtown Chicago. Each year 600+ minority architects, urban designers, community ac vist and students from across the country come together in fellowship for the annual NOMA conference. This year the local Illinois NOMA Chapter is excited to celebrate the rich history and success of our chapter, accomplished members, and beloved city as we explore a new conference without walls concept that expands tradi onal conference programs by leveraging nearby organiza ons, ins tu ons and architecture firms to host more than 2/3 of the conference seminars and events. Box 3558, Washington, DC 20027(as menoned in Secon I). A key component of the NOMA Conference is the Exhibion Hall, which features numerous corporaons and architecture graduate school exhibitors every year. Hundreds of professionals and students will have the opportunity to engage with exhibitors and universies from around the country. The Graduate School Fair provides every university the ability to recruit from one of the most diverse Conferences in the country. We invite you to join us in Chicago! 11 EXHIBIT HALL INFORMATION EXHIBIT HALL ACCESS Access to the Exhibit Hall outside of posted hours will open at 7:30am for all registered vendors, and extend one (1) hour aer closing. Security personnel will verify badges during set-up hours. Should access be needed for a non-exhibitor, please contact the NOMA Na onal Office at (202) , with name, me needed, and reason for access. EXHIBIT DISPLAY AREAS Each Exhibit Hall Display Area is a 10-0 x10-0 area, which includes a 6-0 draped table for table-top displays, two (2) chairs, shared wastebaskets, and iden fica on signage. The Display Areas may also be rented without a table for larger pop-up displays. Addi onal furniture and signs may be ordered as allowed by the Palmer House Hilton Hotel. EXHIBIT DISPLAY AREA ASSIGNMENTS Numbers will be assigned. A small iden fica on sign will be located near each Display Area. Switching Display Area assignments is prohibited. Every effort will be made to make Display Area assignments as requested. Display Areas will be assigned on a first-come, first-serve basis. REGISTRATION FOR THE CONFERENCE One complimentary registra on and badge will be provided for each Display Area rental. HOUSING FOR CONFERENCE Hotel Registra on informa on is available upon registra on as a Conference Sponsor and/or Exhibitor. EXHIBIT-ONLY AND GUEST BADGES Valid badges are required for admi#ance to the Exhibit Hall areas. Badges are not transferable and must be worn by the person to whom it is issued. One (1) Conference Badge and two (2) Exhibit-Only Badges are included for EACH 100 square feet of paid Display Area space. Addi onal Exhibit-Only Badges for Exhibitors and Guests Badges may be purchased for $20.00 each. Family members and guests who are not allied with NOMA and are not working in the Display Area may obtain guest badges. Guest badges do not allow admi#ance to Seminars. Guests are welcome to visit the Exhibi on. Documenta on of company affilia on (business card, permanent name badge, etc.) must be provided for an on-site purchase of Exhibit-Only badge. EXHIBITOR SERVICE CONTRACTOR/EQUIPMENT RENTAL The exhibi on service contractor will assist with freight, electrical requirements, audiovisual equipment needs, addi onal furnishing for Display Area and signs. Exhibitor service kits, distributors by the service contractor, will contain forms ordering these items. Shipping instruc ons will be included in the exhibitor service kit. Boxes shipped to the contractor will need to be retrieved from the Palmer House Hilton Hotel Shipping Department prior to the Friday, October 19, 2018, set-up me. Return shipping arrangements can also be made with the Palmer House Hilton Hotel Shipping Department. Neither NOMA nor the NOMA Conference staff will be responsible for materials shipped by exhibitors. SECURITY Security service will be provided during closed hours only. Every reasonable precau on will be taken to protect property. All merchandise should be secured to the extent possible in the Display Area. Small or easily portable objects of value should be properly secured or removed aer exhibi on hours and placed in safekeeping. 12 EXHIBITOR HALL INFORMATION (continued) EXHIBIT GUIDELINES 1. The Naonal Organizaon of Minority Architects (NOMA) cannot guarantee that organizaon exhibing similar products or services or that an organizaon s competor(s) will not be located nearby or in an adjoining Display Area. 2. NOMA reserves the right to prohibit any display deemed not suitable or not interest to conference a endees. 3. NOMA reserves the right to change the floor plan without noce in order to comply with fire and safety regulaons, or to provide a more sasfactory, a racve, and successful show. 4. Exhibitors are required to arrange displays so as not to obstruct the general view of other displays, adjoining ones. Displays may NOT exceed the 4 high side draping, or 8 high freestanding space displays. No part of the exhibitor equipment may exceed a height of 4 in the front half of the Display Area. All displays must remain in the confines of their own display space. Parons or Display Area dividers, other than those provided by NOMA, will not be permi ed without specific prior approval from NOMA. 5. The aisles, passageways, and overhead spaces will remain strictly under control of NOMA. NOMA will not permit signs, decoraons, banners, adversing ma er, or special displays in those areas. 6. Retail sales by exhibitors are limited to five (5) items from their normal sales stock. Unlimited promoonal materials, such as brochures and samples may be given away. NOMA publicaons may not be sold in other organizaon s Display Area. NOMA assumes no liability for cash or merchandise le on tables or in exhibit spaces. 7. Exhibit Display Areas must remain open and cannot be dismantled unl a er the exhibit closes on Friday. Exhibit hours are posted in markeng materials and in the conference final program. Conference a endees schedule their me according to posted event hours. 8. Sponsors and Exhibitors need to a logo (JPEG or PNG File format) and a Descripon ( words) for inclusion in conference media. LIABILITY Neither NOMA, nor the Palmer House Hilton Hotel will be responsible for the damage that may occur to the exhibitor, during, or a er the period covered by the exhibitor contract. All personal property of the exhibitor shall remain the exhibitor s sole risk. The exhibitor, upon signing the Exhibitor Applicaon and Contract, expressly releases NOMA and the Palmer House Hilton Hotel from any claims for loss, damage or injury to any person or any property. The exhibitor will hold NOMA and the Palmer House Hilton Hotel harmless from any claims for loss, damage, or injury to any person and/or any property. TERMINATION FOR CAUSE In applying for exhibing space, exhibitor agrees to comply with the terms of the Exhibit Hall Rules and Regulaons. Failure to abide by the terms will constute default by the exhibitor. NOMA may, through its authorized representave, terminate its agreement with any exhibitor found to be in default. In the case of such terminaon, exhibit fees will not be refunded to the exhibitor but will be retained by NOMA to cover rental cost and other expenses a ributable to the defaulted agreement. NOMA will not be responsible for the incidental or consequenal costs or expenses incurred by the exhibitor due to terminaon for cause. FIRE & SAFETY CODES The exhibitor is responsible for compliance with all fire and safety codes established by the exhibit facility. Display Area decoraons must be flame-proof and all hangings must clear the floor. Electrical wiring must conform with all federal, state, and municipal government requirements and to the Naonal Electrical Code Safety Rules. CANCELLATIONS Cancellaons must be in wring to the a enon of NOMA Conference Representaves canceling spaces a er Wednesday, August 22, 2018, are not relieved of the obligaon of paying the full rental fee for the space. NOMA reserves the right to release such space. Cancellaons must be ed to execuve@noma.net and expo@nomaunbounded.com. 12
