1 NAVIGATOR JANUARY Tips for Inputting Rental Listings In the advancement of member cooperation, and to compile the most complete data for property records, starting January 1, all Rental Listings will be required to be input into the MLS. When there is a Marketing Agreement or a sign or advertisement with a Member Firm listed as the contact, the Listing Firm is required to input the rental into the REIN System (seasonal/weekly rentals remain optional). To assist our members with this new requirement, below are some tips and recommendations to help streamline the input of Rental Listings. 1. Rent Type It is important to specify the correct Rental Type. If the property is a single family house, townhouse or condo the listing rental type needs to be marked appropriately. Single Family indicates a home that is detached; attached homes should be marked as a Townhome or Condo. 2. Unit Number If the rental is in a multi-unit building, be sure to add the listing s specific unit number. This helps cooperating agents and tenants find the available rental to show, provides more accurate data for comps, and assists REIN with statistics and reports. 3. Input One Master Model Listing for Multi-Unit Properties A Master Model is defined as a representational structure to be used for exhibition. While Master Models are often used in new construction for to be built listings, they also work well for multiple rental listings within a single building/property. Here s how you can use Master Model to manage multi-unit properties: The Listing Firm prepares a Property Data Input Form (PT8) for a Master Model Rental. This form should be signed by either the Owner or the Broker/Agent on behalf of the Owner, per the Firm s policy. Input the listing as usual: Mark Yes for the Master Model Rental field. Select Range Marketing Yes and indicate the range of rental prices within the multi-unit property in the Agent Remarks field. As individual rentals occur (after a lease has been signed), the Listing Firm will: Prepare a Property Data Input Form (PT8) with the specific address, unit number, and details pertinent to that individual unit. Signatures are not required if there is a signed Master Model PT8. The List Date will be the date the lease was signed. The Expiration Date should be a few days after this list date. Go to Add/Edit in Fusion and enter the MLS # of the Master Model Rental listing. Click on the Copy Listing button at the bottom of the screen. The system will bring up another edit screen for a new listing, for the individual rental unit. Update all required information (marked in RED on the input screen), making necessary changes and filling in the specific information for that unit. Mark the unit s Status as RENTED. Save the new listing with a new MLS #. Repeat for each unit that is rented off the Master Model listing. When the Master Model listing has served its purpose, the Listing Firm should withdraw the listing or report it as RENTED.... 2 NAVIGATOR - JANUARY 2 Master Model may also be used when the listed unit is intended to be only a display unit, not for rent, but providing a means of conveying general information about other units which are for rent. Large apartment complexes would be a good example of this scenario. There the Listing Firm may want to enter one Master Model to represent their 2 bedroom units, another to represent their 3 bedroom units, and so on. In this situation, it might be helpful to cooperating agents if the Listing Firm lists how many such units are available under the Agent or Public Remarks sections. 4. Lease Renewals Listing Firms whose clients wish to renew an existing lease can easily manage this by copying the original rental listing, updating the Lease Type to Renewed, and updating any other pertinent information, such as rental price, property updates, etc. No need to create a new listing from scratch for lease renewals. Go to the Add/Edit tab in Fusion Enter the MLS # of the original rental listing Click on the Copy Listing button at the bottom of the screen, the system will bring up another edit screen for a new listing Enter/update all required fields (denoted in RED) Change the Lease Type to Renewed (RNWD) Change Status to Rented (RNTD) Save the new listing with a new MLS # For comp purposes, it is desired for properties that are rerented by the same tenant to be entered into the MLS with each lease renewal, but it is not required. Multi-year leases that are automatically renewed each year are not required to be input after the first year. 5. Reuse Existing Photos of a Rental Listing When copying a listing (as described above under Master Model and Lease Renewals), the photos do not transfer over. Photos must be re-uploaded to the new/copied listing. However, it is possible to reuse the photos from the original listing, as long as you took those pictures yourself, or have proper permission to use them. Here s how: In Fusion, search for and open the original listing property report Click on the photo to open the photo gallery Right click on the photo(s) Select Save As and store the photo on your computer Pull up the new listing in Fusion, using the Add/Edit tab, upload the photos that you saved on your computer per the usual method. Please remember, you may not reuse/copy any photo taken by another Agent or Firm, or you may be subject to copyright infringement. 6. Web Exclude If an Owner does not wish for his/her rental listing(s) to be syndicated to third party websites, the Listing Agent can utilize the Web Exclude field during listing input. By using this field, you are indicating that the listing should not be sent to websites, or at the least should exclude the address. For more details regarding rental listings, members should refer to REIN s Rental Supplement to the Rules and Regulations or contact the Listings Department at Invite. Inform. Have Peace of Mind. Invite Clients - Brand yourself with Homesnap Pro by connecting with your clients through the app. When you invite a client to join, and they accept, you become the only agent they can see and communicate with in Homesnap. There are 3 easy ways to invite clients Invite all or select individuals from your phone s Contacts Broadcast an invite through social media (such as Facebook or Twitter), or Send a PDF invitation For the first two options, go to the menu in the app and click on Add Clients. From here you can select Invite all Clients or tap Next to see a list of your contacts to select individuals. From here you can also select Share your profile link to broadcast an invitation through social media, or to open an box. To send an invitation, use the downloadable PDF created by Homesnap, which can be branded with your information. Go to bit.ly/1xv2svq, personalize with your name, firm name, and your unique Homesnap URL, assigned to you when you signed up with the app. Save the PDF file someplace where you can always access it. 3 NAVIGATOR - JANUARY 3 can it, print it, post it however you want to use the invitation. 2. Send a Rapid CMA Quickly customize and produce unlimited comparative market analysis reports for any home. From any listing, click on the large button that says Send a Rapid CMA. You will prompted to confirm basic details about the home, and you may adjust values if needed. Next, select 3 comparable active and 3 pending/sold listings. That s it. From your mobile device you can quickly print or your clients the PDF documents. (Not intended to replace detailed CMA reports from the MLS.) 3. Stay Safe at Showings Set a Safety Timer to notify your emergency contacts if time expires. The timer counts down the allotted duration and notifies the agent when time is running low so that they may add more time, stop the timer, or allow it to expire and alert designated emergency contacts to the phone s location. To activate the Safety Timer, the agent must be within 2,000 feet of the listing. From the app, open up the listing you will be showing. Tap the Set a Safety Timer button. 4 At Work With: Lorie Jacka NAVIGATOR - JANUARY 4 Accounts Receivable Supervisor A Missouri native, Lorie Jacka relocated to Virginia in 1996 after graduating from Missouri State University. She has been with REIN since 2000, where she started off as the Accounts Receivable Assistant. At that time the accounting department was located in a modular trailer on Ansol Lane, Compass was the MLS system, and Sold books were still being delivered to offices. A lot has changed since then! Over the years, as REIN s membership grew and the number of services being offered to firms and agents increased, more staff was added to Accounts Receivable. Lorie has played a supportive role in establishing the conscientious and responsive team working at REIN today. As REIN s Accounts Receivable Supervisor, Lorie is responsible for all invoicing and adjustments on firm and user accounts, delivering the quarterly billing notifications, communicating with brokers regarding unpaid licensee fees, monitoring and reporting on firm delinquencies, as well account suspensions and reactivation of services. Plus a thousand and one other little details every day! Lorie most enjoys working at REIN because of how the management and staff strive to create such a great work environment. As an employee she feels valued and appreciated. So many hours of our lives are spent at work, so if you can find a place of employment that you enjoy, that makes all the difference in your work performance and your attitude towards life on and off the clock. Lorie currently resides in Chesapeake with her husband and two children. She loves the outdoors, enjoys gardening, antiquing and upcycling. Doris Tuck Listings Assistant, Western Branch Doris Tuck joined the REIN team in July 2000, and over the past 15 years has worked in both the Customer Service and Listings Departments. Her current duties as the Chesapeake Representative include listing input, resolving Public Remarks violations, monitoring late status changes for Pendings and Settlements, reviewing the MLS for duplicate listings, assisting members with lockbox and key issues, processing dues payments, and much more. Day in and day out, Doris favorite part of the job is greeting and meeting new people! Originally from Lumberton, North Carolina (Go Panthers!), Doris now resides in Suffolk, Virginia. When not working, Doris enjoys spending quality time with her husband, 2 daughters, and 4 grandchildren, and she loves to travel, go camping and fishing, reading and relaxing!
