Call the office to schedule an appointment at Tower Residents: Mail Delivery Every day a portion of the mail comes addressed without a unit number. Please inform family, friends, clubs, churches, banks, investment companies and all businesses you deal with to include the unit number in your address. UNIT NUMBER Thank you DEDUCTIBLE INCREASE Everyone received notice in the January HOA billing that the association deductible raised: Water Damage deductible was originally $10,000, now is $25,000 Flood deductible is $50,000 All other Perils Deductible $10,000 Please contact your carrier to be sure you are covered. For medical, fire or police emergencies, call 911 first to report the situation. Please alert the Front Desk and/or General Office to assist you further, if needed. 3 Regency Condominiums March 2019 Newsletter Page 3 of 8 Construction and Remodeling of Units FOR ALL OWNERS The Board came up with a plan to ensure that condo remodeling is completed in a timely manner. Timeframe: Work completed in 4 months (with 2 month extension option, upon approval). Blueprint or drawing of plans submitted for approval by Jim Schafer and Jeff Dowd. Comply with Rules and Regulations pertaining to Outside Contractors. Work done in accordance with applicable Federal, State and Local Building codes and regulations. Jobs not completed within time frame subject to fines/assessments until substantial completion is achieved. Front Desk Out of courtesy to others, and to comply with Fire Department regulations, carts should be returned promptly and not left in hallways, elevator rooms, on the elevator or inside condos. At any time if a resident needs assistance returning a cart, please feel free to call the front desk for Valet assistance. TORNADO PROCEDURE With the onset of spring and the very unstable weather patterns we have experienced, we need to be aware of the possibility of tornados. According to Hamilton County Civil Defense, the interior halls of the Tower and its storage areas are recommended as the safest places to be in the event of a tornado warning. However, if time does not permit, go to a bathroom or a closet with the door closed. This will protect you from flying glass. DO NOT COME TO THE LOBBY. I t m ust be k ept clear of all non -essential personnel to allow rapid and unobstructed management of the emergency. For the same reasons, DO NOT CALL THE OFFICE OR FRONT DESK. Square owners go to a lower level bathroom if you have one.
4 Regency Condominiums March 2019 Newsletter Page 4 of 8 Gas & Electric Utility Supplier Midwest Utility Consultants took a look at a few Owners utility bills and determined that the best rates were from the City of Cincinnati aggregated suppliers: Gas supplier (Square owners only) is with Constellation contract through January 2020 Electric supplier is with Dynergy through May 2020 If you are not with these suppliers, it could save you a few dollars a year. Just make sure there aren t any penalties for switching out from your existing carrier Utility Cost Tower & Square Combined DIFFERENCE % ELECTRICITY & GAS 229, ,610 (2,148).93% WATER & SEWER 157, ,665 2, % TRASH 12,577 14,170 1, % TOTAL 399, ,445 1,807.45% Laundry Rooms: Hours on the resident floors are from 8:00 a.m. to 9:00 p.m. The machines in the basement may be used around the clock. Please be courteous to your neighbors and limit using the machines on your floor to the posted hours or use the basement machines. Other reminders for laundry use are: Machines are shared and common practice is first come, first served. So please remember to keep an eye on the time so that your clothes are removed promptly when finished. Others may be waiting to use the machines. A minimal amount of H.E. (High Efficiency) or low suds detergent ONLY should be used in any machines other than in the basement laundry. All laundry room doors should be closed unless the machines are in use, with the exception of the 20th floor, which should be shut at all times due to the fact that it vents to the roof.
5 Regency Condominiums March 2019 Newsletter Page 5 of 8 AUDITOR S REPORT Per the Ohio guidelines, our auditor requests that we notify all owners that should they have any questions on the Audit or financial status of the Association, they should feel free to submit a written question to the Board of Directors. In return, the Board, if unable to answer the questions, should contact the Auditor for a full explanation. There are no secrets, so please do not hesitate to ask. We arranged with the City for recycling; already we have saved thousands of dollars in garbage removal costs as well as performing a useful ecological service. We are equipped to recycle newspapers, glass, aluminum and plastic. The recycling bins for paper grocery bags, magazines, paperboard, envelopes, cardboard, junk mail, newspapers, telephone books, office mail and copy paper are red and conveniently located on each floor. Aluminum cans, plastic bottles and glass are to be recycled in the containers on the dock only. Please observe these simple recycling rules: Put newspapers in the red bins in the trash rooms; put rinsed glass bottles, aluminum cans and recyclable plastic containers (such as milk containers) in the bin on the dock only. Do not use the bins for garbage or non-recyclable trash. Thank you for your cooperation in this matter! PLEASE KEEP THIS FOR YOUR RECORDS!

8 REGENCY CONDOMINIUMS BOARD OF DIRECTORS MEETING MINUTES Monday, March 18, 2019 Location: Manager s Office Present were: Mr. Lawson, Mr. Benton, Mr. Ledford, Mr. Ficke, Mr. Woodward, Mr. Fritz and G.M., Mr. Schafer. I. Meeting was called to order at 5:00 pm by Mr. Lawson. II. Approved 2/25/19 regular Board meeting minutes. III. Manager Reports: A. Board approved January & February P&L statements. - Unit 711 update: Bank is now fully involved. B. Reviewed units for sale and sale prices. i. 3 in the Tower are for sale of which 4 are empty. An additional 16 are rented. ii. 1 in the Square which is occupied. 8 are rented. C. Legal opinion confirms we must have election with 30% owners for a quorum, whether it s a contested election or not. D. Board recommended dual flush toilets for all replacements, possibly a Kohler Hiline. E. Guard shack removal. Tabled until full security audit is performed. F. Standard Square handrail will be Bronze standard traditional for owners who want to install one. G. 2 cars had windows broken out of them in the Square on 3/15/19. H. Blacktopping bids due in by 4/1/19. I. Potential owner received a variance for 28 to 30 lb. as allowed by the rules under hardship. J. Lobby lights have been switched over to LED completing Light project. Manager to confirm Front Elevator lights were to have been changed out. K. Board and Management welcome Sheila Franklin as the new Concierge. IV. Old Business A. Strategic Planning: brochure on hold. B. Still looking to lease out old Fitness Center condo. C. Pool Fence and Bathrooms upgrades updates. Fence done by end of the week, bathroom by May 1st. D. Bulk Internet with Spectrum is completed. Working on Association and Resident billing. Owners should appeal any internet charges as of 1/11/19 or change of service fees. V. New Business VI. Officer s Reports VII. Next Board Meeting Annual Meeting on Thursday, March 28th, followed by Monday, April 15th. VIII. Adjournment
