3 About EXPO2017 The inaugural Victoria Real Estate Investment Expo will take place Saturday, March 11, 2017 at the Crystal Garden in downtown Victoria, BC. Greater Victoria and the surrounding region are in the midst of an acceleration of real estate activity and buyers are looking for a wider range of local and non-local investment options. EXPO2017 is a major opportunity for investors in our region to discover the tools, resources, people and organizations that are available to meet their real estate investment goals. We project that EXPO2017 will have 80 exhibits, a theatre for keynote speakers and a consultation area for one-on-one meetings with clients. This one day event will attract about 1,500 attendees seeking investment advice, mortgage arrangements, real estate properties, and lifestyle-oriented services. EXPO2017 is a production of the Women's Real Estate Network (WREN) and Legacy Wealth Income Properties (LWIP) in partnership with the Real Estate Investment Network (REIN), and is sponsored in part by the City of Victoria. Become an Exhibitor EXPO2017 is inviting exhibitors from organizations and businesses that are seeking to make new connections and build relationships with potential clients and customers. The Expo will be innovative, educational, and a rare opportunity to unite leading industry professionals and services with eager consumers. Our objective is to become a landmark event in the region, and beyond, known for showcasing excellent investment tools and opportunities that create wealth and improved quality of life in our communities. The estimated 80 exhibitors on 25,000 square feet of floor space will feature realtors, home builders, brokerages, coaches, master-planned communities, financial institutions, local government agencies, insurance agents, lawyers, general contractors, developers, accountants, home stagers, home designers, spas, hotels, retreats/getaways, travel agents, cruise ships, the chamber of commerce and more. The Expo is open to the public and admission is $20. 50% of all door revenues will be donated to the Greater Victoria Housing Society. With several educational and informational sessions throughout the day, topics will cater to both professionals and interested home buyers (i.e., home buying process, mortgage financing, financial planning, home technology, housing marketing projections, and more). 5 TERMS AND CONDITIONS ELIGIBILITY: The application for booth space at the 2017 Victoria Real Estate Investment Expo ("Expo") must be made on the form provided and contain the information as requested and be executed by an individual who has the authority to act for the applicant. WREN and LWIP ("Producers") reserve the right to decline any application for space for any reason, including without limitation if, in the Producers ' judgment, the products or services to be shown or demonstrated are not applicable to the Expo's stated purpose, The Producers reserve the right to limit the number of exhibitors within each industry sector. BOOTH SIZE: As selected in your application - 8'x10' or 8'x15' booth. ASSIGNMENT OF BOOTH SPACE: All space assignments shall be made by the Producers, in their sole discretion as Applications/Contracts and deposits are received and accepted. EXHIBIT SPACE FLOOR PLAN: Every effort will be made to maintain the general configuration of the floor plan for the Expo. However, the Producers reserve the right to modify the plan if necessary, as determined solely by the Producers. EXHIBIT STAFF: An 8'x10' booth includes two name badges for Exhibitor representatives. An 8'x15' booth include three name badges for Exhibitor representatives. Exhibitor badges will entitle registered Exhibitor representatives to admission to the Expo venue only. Badges must be worn at all times in order to enter Crystal Garden during set-up, show hours and teardown. Exhibitor staff, temporary help and set-up personnel must wear badges designated by the Producers. Exhibitor badges do not give admission to other event functions, nor are they transferable. PAYMENT DATES: No booths will be assigned until the Producers have received a deposit of fifty percent (50%) of the total booth fee, along with the signed contract. A final payment of fifty percent (50%) of the total booth fee is due not later than February 11, If full payment is not received by February 11, 2017, the Producers shall have the right to retain a 25% administrative fee and resell the assigned booth space. SUBLETTING BOOTH SPACE AND ARTICLES OF EXHIBIT: Exhibitor may not assign, sublet, or apportion all or any part of its contracted booth space, nor may Exhibitor cause or permit the advertisement, display, promotion, sales or marketing of products or services in its booth(s) other than those manufactured, distributed or sold by the Exhibitor in the regular course of business and identified in this contract. FORCE MAJEURE; CANCELLATION: If for any cause beyond the control of the Producers, such as, but not limited to, the destruction of the exhibit facilities by an Act of God, the public enemy, authority of law, fire or other force majeure, or boycotts, strikes or other labor disputes, and/or cancellation of the Expo for reasons beyond the Producers' reasonable control, the Producers are unable to comply with the terms of this Contract and deliver the space allotted hereunder, this Contract shall be considered terminated and any payments made hereunder by Exhibitor shall be refunded to Exhibitor, and the Producers shall have no further liability for damages or compensation of any kind. INSTALLATION OF EXHIBITS: Crystal Garden will become available at 7:00 a.m. Saturday, March 11 and will be available for display set-up from 7:00 a.m. - 9:30 a.m. All exhibitors must be fully set up and ready by 10:00 a.m. EXHIBIT HOURS: The Expo will be open to the public from 10:00 a.m. - 5:00 p.m., Saturday, March 11, DISMANTLING AND REMOVAL OF EXHIBITS: The dismantling period is from 5:00 p.m. - 9:00 p.m. on Saturday, March 11. All Exhibitor displays or materials left in the Crystal Garden after 10:00 p.m. will be packed and shipped at the discretion of the Producers and all applicable service charges will be applied to the Exhibitor of record. Exhibit booths must be staffed during all open Expo hours and Exhibitor will not be permitted to dismantle or to begin to dismantle prior to 5:00 p.m. EXHIBITOR SHIPPING POLICY: Incoming: Due to limited space at the Crystal Garden, please be advised that the facility does not accept exhibitor shipments in advance of the Exhibitor Move-In. Exhibitors are encouraged to ship via the designated freight handler, who will bring all materials onsite on Move-In day. If exhibitors choose an alternate shipper/courier, please ensure your materials are delivered on move-in day only. Deliveries attempted outside the scheduled move-in time will be refused and redirected to the designated freight or display supplier. 6 Outgoing: At the end of an exhibitor move-out, all freight must be removed from the Expo floor. If an exhibitor is not using the designated freight handler for the show, all alternate shippers/couriers must be instructed to pick-up materials the same day. The Crystal Garden and Expo 2017 will not be held responsible for materials left after the scheduled move-out time and would redirect these, at the expense of the exhibitor, to the designated freight or display supplier. The Producers have partnered with Events on the Move for all custom brokerage, material handling & shipping services. Order forms will be sent after your application has been processed. ELECTRICAL: All electrical services are ordered and supplied through the Crystal Garden. Please refer to the Electrical section of this application for charges. Electrical services are installed under a standing City of Victoria Electrical Permit. Methods of connection to and distribution of electrical power must conform to existing electrical safety standards. The City of Victoria Electrical Inspector will be present at the Show to ensure all electrical appliances, cords, connections and displays with electrical components comply with the British Columbia Electrical Code. (Note: designation sticker, i.e. CSA, CUL, UCL, CGA and ETL). Any items not meeting the standards may be requested to be removed from the Show. LIABILITY: The Crystal Garden (VCC) or Producers will not assume any liability for damage or loss of any nature. Nor will they assume any liability for personal injury in connection with the showing or viewing of exhibits. CRYSTAL GARDEN REGULATIONS: Nothing shall be posted on, nailed, stapled, or otherwise attached to columns, walls, floors or other parts of the building or furniture of the Crystal Garden. Exhibit aisles and fire exit doorways are to be kept free from obstructions. Fire hose cabinets and pull stations must be left accessible and in full view at all times. The use of open flame, including candles, lamps and torches is prohibited except under the following guidelines: a) Candles in hurricane lamps are permitted while the flame is contained within the glass chimney (flame at least 1 inch below glass) and b) tea lights are permitted as long as they are held in a container with sides taller than the height of the flame The use of open flame for cooking and demonstration must be approved by the Event Manager. All display materials are required to be flame proof and are subject to inspection by the Victoria Fire Department. No flammable fluids or substances may be used or shown in the booths. Flammable or combustible and/or compressed gases shall not be used or displayed unless otherwise approved by the Victoria Fire Department. On an individual basis, any exhibits or demonstrations utilizing flammable gas such as propane are limited to a maximum five (5) lb. on site at any one time. A "Flow Restriction Valve" must be used on all propane tanks. The equipment and its operation must have prior written approval from the Victoria Fire Department and the Provincial Gas Inspector. All propane connections must be leak tested by VCC staff prior to use in Crystal Garden. The use of the following materials indoor is prohibited: straw and hay, acetate fabrics, corrugated paper, paper backed foil, unless glued securely to suitable backing, combustible materials used for covering tables or for skirting tables, styrofoam constructed booths. PERSONAL BELONGINGS: Please do not leave personal belongings and valuables unattended. The Crystal Garden and the Producers are not responsible for lost or stolen items. FLOOR LOADS AND TYPES: All areas of the Crystal Garden are carpet or carpet tiles on concrete except for the upper south end which is wood flooring. Both the Upper and Lower Levels have a load capacity of 489 kilograms per square metre (100 lb. per square foot). LOADING AREA: Access to the Crystal Garden loading area is off Humboldt Street. There are two loading bays and two freight elevators that can accommodate equipment up to 5000 lbs. and a maximum of 42 wide and 7 high. Please note that there is no parking available in this area. FOOD AND BEVERAGE SERVICES: The Victoria Conference Centre Catering Department has exclusive food and beverage distribution rights within the Crystal Garden. Exhibitors may distribute sample food and/or beverage products only upon written authorization. Please contact exhibit@victoriarealestateexpo.com with any questions.
