1 YOUR MOVE IN GUIDE 2015 WELCOME TO ROYAL VICTORIA COLLEGE SHHS would like to extend a warm welcome to all residents. We know that coming to live in residences for the first time can be intimidating. The front desk, trades, housekeeping, and food service departments will work diligently to ensure as pleasant a stay for you as possible; however we do need your help and cooperation. We welcome your questions, so please do not be afraid to ask. Please feel free to call, or contact the Front Desk at any time. The front desk staff members include Anthony Corbin, Cheryl Spurdens-Judd, Jose Luis, Robert Yale and other casual staff. Everybody working at front desk is awesome and helpful, so take the time to get to know them. Front Desk: (514) frontdeskrvc.residences@mcgill.ca Business hours : Monday to Friday 8:00 am-4:00 pm The front desk is open 24 hour a day, 7 days a week, with the following exceptions: 7:30am-8:00am DAILY 11:30am 12:00pm (Sat & Sun) 6:00pm-6:45pm DAILY 9:00pm-10:00pm DAILY MCGILL ID CARDS Your McGill Student ID Card is proof that you are a registered student at McGill, and you ll need it to use the most essential services on campus, including the library, athletics facilities, residences, and dining halls. You are required to carry it with you at all times while on campus and you will need it to access the RVC building. To obtain your Student Card between August 24th and September 11th, the ID card center is located at Service Point (3415 McTavish) and will be open from 9am to 5pm every day. On Rez Move-In Weekend, August 29th & 30th, Service Point will be open on the Saturday from 9am 5pm and on the Sunday from 9am 4pm. The phone number for Service Point is , and the website is ca/students/servicepoint. In order to receive your student card you have to be registered for at least one Fall term course, and you will need to bring along your: 1. McGill ID number (found on your letter of acceptance) 2. One piece of valid government issued photo ID 3. Documents proving your citizenship status here in Canada, if you have not already ed them. Visit the Legal Documents website for a complete list of what you will require. Important: ID cards will not be issued if any of the above documents are missing. 1

2 ROOM INFORMATION ROOM INSPECTIONS You have received a Room Inspection Report. This report must be completed and returned to your don at your first hall meeting on Monday August 31st (Students arriving after this date must submit the report to the front desk no later than 72 hours after checking in.) Failure to complete the report may result in damage charges being assessed at the end of the academic year for which you are not necessarily responsible. If there are repairs that need to be carried out in the room, you can report to the front desk. All repairs will be directed to a maintenance team member. They are reliable McGill employees that are on-call and come in once a week. There is a list of damage/ replacement costs on the report. At the end of the year, your room will be given a final assessment and if necessary, a bill for missing and/or damaged items will be issued from the office of RVC. Academic Year Room Inspections At various points during the academic year, your room will be inspected by a member of the Residence administration. We will be checking for the security of fire equipment, room damages, potential health hazards and the condition of your room. Should we find these conditions unacceptable we will provide you with a warning and a deadline to address the concerns. Should you not respond to the warning within the time frame provided, we will move forward to address and alleviate the concerns at your cost. Info will be posted about the dates and times a week in advance of each inspection. We ask that, at that time you tidy your room and rid it of debris. Vacuums are not available from the front desk. It is recommended that you purchase one for your personal use. PEST CONTROL If you suspect the invasion of any critter, please report to the staff at the front desk. Be aware that good looking furniture sitting by a curb, although free, may be infested. Please do not bring these things inside the building. If you suspect you have bed bugs, don t hesitate and contact your floor fellow or our front desk staff. This is VERY important as to avoid contamination. A protocol is in place in order to avoid the spread of the bugs. Contacting us is key, so don t hesitate! FRIDGES Each room has been equipped with a mini fridge, compliments of McGill Residences. Upon arrival, please ensure your fridge is in proper working condition as you will be held responsible for any damages to the unit sustained during your residency. Regular defrosting of the freezer can ensure that your fridge works its best! FURNITURE Room furnishings are to remain in your room. If furniture is found in the hallway, it will be removed and the responsible party will pay a fee for its removal. Bed frames and mattress are to stay in their original rooms. If extra frames, mattresses or furniture are found in other rooms, they will also be removed upon sight and a fee will be charged. 2

3 ROOM KEYS Your doors lock from the inside. (Be advised that rooms in the West Wing can be modified to lock automatically). This is important to keep in mind, as you may lock yourself out of your room. In the event that this happens, you may go to the front desk to request a spare key for a lock-out fee of $2. Your spare key must be returned immediately after you retrieve the keys to your room. Should you fail to pay this fee, your key will not be issued to you again. Failure to return your spare key after a warning has been issued will result in a lock change. IMPORTANT: The cost of a lock change ($150) is the residents responsibility and must be paid immediately. HEATING When the cold weather begins, the heating will be turned on building wide. Many radiators are equipped with their own heating gauge. If you find your room too cold or too hot during the winter, simply adjust the gauge. If the problem persists, please see the desk. Please note that the heating system is building-wide and usually takes a few days to heat up completely. In order to maximize the heat in your room, please make sure that nothing is blocking the radiator. DECORATING This will be your room for the next eight months, so you should make it your own. Please note that you should not use duct tape or any other product that leaves a residue on the walls or that strips the paint. We are providing all students with 1 sheet of 16 adhesives that have been proven to protect walls from damage. These are provided free of charge and additional adhesives may be purchased at the guest service desks of your Residence for a nominal fee. No other product is permitted. Decorations found in hallways and corridors will be removed by cleaning staff. INTERNET REZ wireless service will be included as part of your housing fees. Any McGill student, faculty or staff member will be able to access the wpa.rez. mcgill.ca wifi network by signing in with their McGill Username and McGill Password. 4 FIRE SAFETY SMOKING POLICY In the event that a fire alarm is sounded, all students must evacuate the premises immediately. Please use the exit closest to your room. Residents must leave the building and wait outside until fire officials indicate that it is safe to return to the building. It is a serious offence to tamper with and/or cause damage to fire safety and prevention equipment (including but not limited to smoke detectors, fire hoses, pull stations, sprinkler heads, fire extinguishers, emergency lighting, breaker switches and fire exit doors). Doing so places lives in danger and will not be tolerated. Residents who tamper with fire safety and prevention equipment: f fface an immediate $250 minimum fine and disciplinary action. ffare financially responsible for damages and/or other costs resulting from tampering with fire safety equipment or from their actions whether intentional or accidental which result in damage to fire safety equipment. A second offence will result in eviction and immediate referral to the Committee on Student Discipline. Candles, hookahs / sheeshas, incense and similar objects pose a significant fire risk and may not be used in McGill Residence Buildings. Deep fat frying likewise poses a significant fire risk and is not allowed in McGill Residences. Residents found using candles, hookahs/sheeshas, incense and/or other flammable materials, and/ or deep fat frying anywhere inside Residence buildings face an immediate minimum fine of $100. Subsequent offences will result in additional fines and disciplinary action. Residents who cause an alarm and/or fire and/or other damage: ffface an immediate $ minimum fine and disciplinary action ffare financially responsible for damages and/or other costs resulting from their actions. ffare financially responsible for all fees and fines charged to the University by the City of Montreal (current minimum charge for emergency services: $3,000 plus taxes) Residents are responsible and liable for their guests behaviors for all fire safety regulations. f fquebec Law prohibits smoking in all closed areas of educational institutions. All McGill buildings are non-smoking. This includes electronic cigarettes, also known as E-Cigarettes. f fresidents may not smoke in their room, in corridors, stairwells, common areas or anywhere else inside Residence buildings. f fresidents may only smoke outside, at least 9m from any door leading into a McGill Building. Out of respect to building occupants, smoking is not permitted near any windows surrounding McGill buildings. fresidents f found smoking anywhere inside Residence buildings face an immediate minimum fine of $100. Subsequent offences will result in additional fines and disciplinary action. Residents are also advised that under Quebec lease law, landlords have the right to evict tenants found smoking in their buildings in violation of no smoking rules expressly stipulated in their leases and the rules of the building. Residents are also liable for the cost of cleaning (steam cleaning of carpet, soft furniture, mattress, cleaning of curtains and drapes, washing/painting of walls or ceiling) and/or damages caused by smoke of any kind (candles, cigarettes, etc). Each room is equipped with a smoke detector. Tampering with fire safety equipment places lives in danger and will not be tolerated. Residents who cover, remove, disable or otherwise tamper with fire safety equipment face an immediate $250 fine and disciplinary action. A second offence will result in eviction and immediate referral to the Committee on Student Discipline Residents are responsible and liable for their guests behaviors for all no smoking regulations. GUEST POLICY Escorting: All guests must be escorted into RVC. This is a student-initiated policy to ensure the safety of all RVC residents. When a guest comes to visit you, s/he must wait in the lobby to be escorted to your room. During the meal periods, all unescorted non-residents will be asked to use the 641 Sherbrooke St. entrance. They are not permitted to walk through the Roscoe Lounge (main lounge) to the dining hall; they will be stopped at the front desk. If they are accompanied with a friend from RVC, only then are they permitted to walk through to the dining hall. Out of Town Guests: Out of town guest passes are available for guests that will be staying with you in the building for a short time (up to seven days). Both the resident and guest must go to the front desk to request the out-of-town guest pass. The guest will be provided with an ID card that identifies them as an out of town guest. This card allows them to walk in and out of the residence freely. The card must be shown to the front desk attendant when entering or exiting. Please keep in mind that this pass does not entitle your guest to sign out your spare key. 4

5 FOOD SERVICES The McGill Food and Dining Services website www. mcgill.ca/foodservices is your best source of up-to-date information regarding meal plans, where to eat on campus, and hours of service. Like us on Facebook/ McGillFoodandDiningServices to find out all the latest on our specials and promotions. Early arrivals: The Mandatory Residential Meal Plan is effective as of Saturday, August 29th; If you are moving-in before the weekend, Carrefour Sherbrooke Dining Hall is open 7:00 am-1:30 pm. Cash and Interac are accepted. Get your McGill ID in order to have your Mandatory Meal Plan activated: One of the first things you should do is go to Service Point to obtain your McGill ID card. Once your card has been processed, your Mandatory Meal Plan will be activated within 24 hours after that time. After that, you re good to go! If you have any issues with your card, return to Service Point to have it resolved. The cashier will ask for your ID card each time you wish to purchase food in the various dining locations. Without it, you ll be asked to pay cash. For all other information pertaining to meal plans: Please visit our website, meal plan section Help us keep costs down and refrain from taking dishes, cutlery, and glasses outside of the dining halls. Join us in being environmentally friendly and use your Preserve2go food container and reusable mug in all five dining halls. Dishes, cutlery and glasses belonging to the cafeteria must remain in the dining hall. Those caught with the aforementioned items outside of the dining hall can face penalties or charges. For more information regarding meal plans, regular dining hall hours of operation and general Food and Dining Services information please consult the website at FREE MOVE IN MEAL FREE MEAL during move-in week-end: Take a break from moving and come by your home based dining hall for lunch (12:00 pm -2:00 pm) or dinner (5:00 pm-7:00 pm). We are excited to offer you a free meal for you and your family. Please make sure to bring your ID card. Enjoy! ONECARD PLAN As a student living in Residences you automatically have an active onecard account. No sign-up form is required. onecard is a taxable account that is added to your McGill ID card, allowing you to make purchases and easily access multiple services on campus without the hassle of carrying cash and debit/credit cards. Simply present your McGill ID card and you re good to go! Use onecard to pay for: ffselect vending machine snacks/drinks. f fdouble Pizza & St-Hubert BBQ deliveries and more (downtown area only). fflaundry in rez. f ftaxable items such as chocolate bars, chips, sodas, and ice cream. (Please note: These items are covered by the Mandatory Meal Plan when purchased with a meal.) f fdiscounted admission at the McGill Gault Nature Reserve. You will be charged $300 to your onecard account; this charge will appear on your student fees account at the beginning of the school year. You can top up anytime by credit card at: The amount is immediately activated. Explore the full plan at ca/shhs/onecard. 5

6 BUILDING INFORMATION RECYCLING WASHROOMS Blue bins for recycling have been issued to all of you. These bins are the property of Royal Victoria College and must remain in the rooms at the end of the year. If you are missing a bin, please let us know on your Room Inspection Report. Presently, there are seven recycling stations in RVC. They can be found on Tower 10th, 5th, 1st and Basement (The first floor recycling station is under the stairs near the front desk). West wing recycling stations can be found in the West 4th, 3rd, 2nd laundry rooms. We encourage everyone to recycle properly. Rinse out any items before placing them in the bin. Do not throw garbage or liquid in the recycling bins! The housekeeping staff are responsible for cleaning the washrooms. If you have any concerns, or complaints about the cleanliness of the washrooms, please contact the front desk. The following staff members are assigned to clean RVC: Josef Vales: Tower 7 to 12 Scott Hurlbert: Tower 2 to 6 Jose Santos: First Floor Philip Doherty: West 2 to 5 Ann Murphy: West 1 & Basement To help keep the washrooms clean, recycle properly and use the large garbage cans at the back stairwells for your room garbage. Dishes should be washed in the kitchenettes only AND NOT the washroom sinks, since the food can block the drains. Do not leave your personal belongings, dishes, etc. in the washrooms or showers. Items found by housekeeping staff will be disposed of weekly. CORRIDORS According to the fire code, no objects are to be left in the corridors. This includes shoes, boots, chairs, tables, signs, garbage, luggage, boxes, coats and other personal items. The pipes/sprinklers in the corridors must not be used as a clothesline. The cleaning staff will remove any found articles. Please note that the corridors are not a space to be decorated. fffurniture: The lounges are furnished for your use and comfort. Please respect your fellow students by leaving the furniture where it belongs. A fee may apply if furniture or other objects are repeatedly found in the hallway. ffgraffiti: Writing on the corridor walls, doors etc. is prohibited in residences. Students writing on the walls will be fined accordingly. Should the administration be unable to ascertain which student or students are responsible for the damages, the entire floor will share the cost! ffdecorations: There are cork boards and white boards available in the hallway if you would like to put up artwork or floor decorations. Please do not put decorations up on the walls. Any posters or pictures will be removed by the cleaning staff. 6

7 MAIL & PACKAGES All mail and packages will be delivered to the front desk. Simply check the package list and show your student ID to the front desk staff member on duty to claim your correspondence. Any mail and packages delivered to you should be directed to the following address: Resident Name Room Number Royal Victoria College 3425 University St. Montreal, QC H3A 2A8 All large packages will be held at the front desk and must be signed out. A list of packages and mail that have arrived is posted daily at the front desk. Make sure you present your ID card to pick up packages. Don t forget to provide the correct mailing information to anybody who may be sending you something. If you will be receiving any mail under another name (i.e. phone bill under a parent s name, mail addressed to an alternately used first name, etc.) it is important to let the front desk know. Any mail which is improperly labeled may be returned to sender. When registering with banks, cell phone companies or other service providers please do not use the RVC front desk number in your contact information. The front desk has no way of relaying the call. STORAGE LAUNDRY Laundry facilities are located on Tower 12, 8, 4, 2, West 4, 3, 2, B. You will need your onecard (your student ID card) in order to operate the laundry machines in your Residence Hall. Simply tap the card in front of the designated area and follow the instructions. Prices per load are: WASH $2.00 and DRY $2.00. Please do not overstuff the machines as this will certainly cause the machines to fail and require repair. OneCard dollars may be added by going on-line at: An alternative method is to use cash at the onecard machine, physically located at Carrefour Sherbrooke (475 Sherbrooke street west). KITCHENETTES/ COMMON SPACES The kitchenettes are for everyone s use on the floors, so please be considerate towards your fellow students. All toasters and kettles must be used only in the kitchenettes. In order to keep the appliances clean and the areas sanitary, we kindly request that all dishes and leftover food are removed after each use. It is unacceptable for dishes to be left in common areas. Any dishes/ items left behind will be disposed of by the cleaning staff, weekly. Limited storage space is available (starting September 8th) during the academic year for students to store large objects, such as over-sized luggage. However, only objects to which students do not require regular access, should be put into storage. If you need to store large items, such as a hockey bag or other sporting equipment, that you will be using regularly, there is a sports equipment storage room on the 9th floor of the Tower. A key to the equipment storage room can be obtained for a $15 deposit. See the front desk for more information. 7

Your dons let you know important dates at McGill, show you around the city and plan academic and social events for your floor. Your don is your go to person; they can help you if you re lost, if you ve had a bad day or if you need to know about a service on campus. In addition to the seven dons in the building, there is a Residence Life Manager who lives at Carrefour Sherbrooke Residence; her name is Cora- Lee Conway. The Life in Residences handbook is full of useful tips about adjusting to life in residences and Montreal. ca/students/housing. OTHER SERVICES RVC has a piano room, a pool table and an aerobics room for your use. The keys for the rooms and equipment can be signed out at the front desk in exchange for your McGill ID. Please be advised that you are responsible for the condition of the equipment when you sign it out. These are off limits during quiet hours 11:00pm to 8am. Your McGill address is the fastest and most efficient way for us to keep you informed about what is going on at RVC. Updates, memos and building announcements will be sent to you at your McGill . It is every student s responsibility to check their regularly! SERVICE POINT Service Point is the result of students wanting a central place to access a variety of services and administrative offices previously scattered throughout the campus.
