Overview of MyCommunity MyCommunity is a platform of web sites and portals developed by leading cloud software provider Mystrata. Built to support the company s vision to drive change in the property management industry, MyCommunity is a strategic extension of their Strataware management and accounting system. While Strataware is a professional manager s tool, MyCommunity is used by committee members, property owners and tenants. MyCommunity is where owners and tenants go to pay bills; view their statements; raise maintenance requests; view important documents; communicate with their neighbours; sell furniture; read important notices from their property manager and so much more. Committee members get higher levels of access and can access to financial information and reports, and even approve payments online, all available in real time. MyCommunity is like an online banking system for properties, but friendlier! An owner of multiple properties, even with different management companies in different countries, can access all his properties with one single log-in. Advertisers can target tenants or property owners of just one community, or several communities or every community on the platform globally. Mystrata shares some of this advertising revenue with our professional clients and the individual buildings they manage, helping to reduce maintenance charges. Using a customised Google Map feature, the system links properties, owners and tenants to local trades and service providers, retail outlets, transport locations and restaurants. Some versions of the platform are multilingual such as our English/Arabic version in the Middle East. Our team are property experts and have been involved in the management of communities for over 40 years. We are continually working on new features and enhancements to MyCommunity. Public Section of MyCommunity Sites There are two aspects to a MyCommunity web site: 1. Public web site. 2. Secure members only section. The public pages of a MyCommunity site is like a traditional marketing web site for an apartment building or condominium where the general public can view information about the community facilities & services, location, floor plans, developer details, photo gallery etc. We also expose elements such as the Community Events and the Community Wall, to give the site some life unlike static marketing sites. Every community managed on the Strataware system gets a free web site and secure portal. If however a community or a management company wants something bespoke, no problem, you can engage us. Administrators of the site, such as property managers or committee members, can access a CMS (content management system) to update the content on the public pages of their web site.
Bespoke Sites & Customised Solutions Some professional management companies might want their MyCommunity portals to have their own branding and colour schemes. Some apartment buildings or villa communities might want to upgrade their free site to a more feature-rich template. Some clients, like our client in Abu Dhabi who developed the Formula 1 race track, might want a completely bespoke master community site sitting off their corporate domain. Some clients might want to integrate 3 rd party systems such as FM or Property Listing tools to market apartments for sale or lease in their building. Some features of the system such as the Community Wall can be turned on or off. We can do all this and more.
Access to your site Every community has a unique web address such as /burjkhalifa (yep the tallest building in the world is managed using our software.) If a community already has an existing web address, we can still use it. Large property management companies or developers may prefer a master umbrella site that profiles their company and their portfolio where they can direct all their owners and tenants to access their individual building portals. Managers can also add an API on their corporate web site where users can access their community portal, bypassing the www-my-community.com domain altogether. Again, this is all possible and is working now for a number of clients.
Members only section of MyCommunity sites The private members only section is what sets MyCommunity apart. This section is reserved for committee members, owners and tenants of real estate communities. It is also a great communication and service tool for managers. Because MyCommunity is connected to Strataware, a huge amount of information is automatically available on the portal contact details of owners, tenants, committee members and suppliers; bank account balance; arrears balance; financial reports; building reports; levy payment history and much more. What people can and can t do will depend on their user permissions and much of these can be customised on a building-by-building basis by the Manager. Whenever an owner, committee member or tenant is added in Strataware, their access to the portal is automatically generated via e- mail. This includes cancelling access for people who may have sold or moved out. The information sharing between Strataware and MyCommunity is seamless. Unlike other systems, managers of Strataware do not need to do any manual upload or download of information to the portal each day it is done automatically.
Online Payments Owners can check their levy/service charge balances online, print previous invoices as PDF files, view and print their statement and pay online via a secure gateway. Whenever payments are made, a receipt can be immediately printed, an owner s ledger statement is updated and you can see the community s bank balance being credited, all in real time!
Access to Financial Data Financial reports such as the Annual Budget, P & L Statement, Balance Sheet and the General Ledger can be viewed online, initially by committee members. These reports and the transactions in the GL are in real time, so as soon as an entry is made in the back-end accounting software, it is reflected immediately in MyCommunity. This feature is currently being expanded to include more reports, plus it will enable people to print & e- mail reports and filter reports across different periods.
Maintenance & Service Requests Owners and tenants can lodge maintenance requests or service requests with their manager. The managers or administrators of the site can determine what e-mail addresses these requests are sent to. Every request is given a unique ticket number, a copy of the request is sent to the client and the manager (or any other e-mail address that has been configured) while the status of the requests can be opened and closed. MyCommunity can also be linked to selected Facilities Management software such as Concept Evolution and Maximo which automatically creates a work order in those systems. These systems can also publish back to MyCommunity, via an XML feed, the status of the work orders.
SMS Messaging Send SMS messages to your committee members, owners and tenants quickly and easily. The mobile numbers of your clients are automatically displayed as per the details in the Strataware address book. Credits can be purchased on a building-by-building basis and only pay for what you use.
