1 i-cam Release Notes June, 2016 This release is being distributed as a patch to i-cam 3.1 General Release. To install the release, download and run the update file from the version check within i-cam. 2 New Features and Enhancements in this Release New HUD imax Web Service Update The HUD TRACS team has upgraded their servers and technology for the imax web service that is used to transmit MAT files to the TRACS servers. As a result, i-cam has been updated to include the required changes from the TRACS team. This change only affects the transmissions of MAT files to the TRACS servers. Users will still transmit files as they currently do within i-cam. There is no change to functionality or processes for transmitting files to TRACS. **NOTE: For clients not using i-cam OnDemand, the new i-cam imax plugin requires the Microsoft.NET Framework 4.5. The installation will detect if you have the Microsoft.NET Framework 4.5 and install it if necessary. The Microsoft.NET Framework 4.5 requires Windows Vista SP2 or Server 2008 or higher. Windows XP or Server 2003 will not be supported. For this reason, if you are running Windows XP or Server 2003, it is recommended that you do not install this update until you update your Windows version. Installing this update will inhibit your ability to send files to the old IMAX web service. The drop-dead date for the old IMAX web service will be in August New Undo Transfer The Occupancy module now includes an option to Undo Transfer during the same accounting period the transfer was processed. If the transfer was processed in a prior period, a message will appear stating the transfer was processed in a prior period and cannot be undone. Additionally, for HUD and RD properties, if the transfer is already reported on a voucher or worksheet, the transfer cannot be undone without first deleting the voucher or worksheet. To undo a transfer: 1. Go to Occupancy > Resident and right-click on the transferred resident. 2. From the dropdown menu choose Process > Undo Transfer. 3. Click Yes on the confirmation message that appears to undo the transfer. RealPage Inc. Confidential 2

3 New LIHTC Occupancy Detail Report A new LIHTC Occupancy Detail Report is now available in the Compliance module. The LIHTC Occupancy Detail Report is grouped by BIN and then ordered by unit number. For each unit listed, the LIHTC Occupancy Detail report will show the unit number, bedroom size, household type, move-in date, current TIC effective date, lease start date, lease end date, and total household annual income. Additionally, each unit listed will show all household members in the unit, the relationship to the head of household, date of birth, age, and the student status of each member. For each BIN reported, a summary will display at the end of the group showing the number of occupied and vacant units for the BIN. The summary will also show the set-asides for the BIN and the number of units qualified for each set-aside. Finally, at the end of the report a Project Summary will report the total number of occupied and vacant units for the project. The project summary also reports all set-asides for the project and the total number of qualified units for each set-aside. RealPage Inc. Confidential 3

4 New Race & Ethnicity Subcategories The Member Statuses page of the certification wizard for all funding sources now includes new subcategories for race and ethnicity. The new subcategories were added primarily for tax credit properties who may be required to report the additional subcategory during year-end reporting. The new subcategories will be reported for tax credit properties when using the NAHMA 4.0 state report. In the future, HUD properties will also be required to report the additional subcategories for race and ethnicity. The new race subcategories are as follows: Asian Asian Indian, Chinese, Filipino, Japanese, Korean, Vietnamese, Other Asian Native Hawaiian or Other Pacific Islander Native Hawaiian, Guamanian or Chamorro, Samoan, Other Pacific Islander. The new ethnicity subcategories are as follows: Hispanic, Latino/a, or Spanish Origin Puerto Rican, Mexican American or Chicano/a, Cuban, Another Hispanic or Latino/a or Spanish Origin. To select the new race or ethnicity subcategory when processing a certification: 1. Go to the Member Statuses page of the certification wizard. 2. Click the dropdown menu next to the Race or Ethnicity field. 3. Select the new race or ethnicity subcategory as needed. Multiple subcategories may be selected. 5 Update Edit Special Claims for Regular Vacancy Part A or B Special claims for Regular Vacancy Part A or Part B can now be edited if the status of the claim is Entered and awaiting approval. Prior versions did not allow these claim types to be edited while waiting for approval. To edit the special claim for regular vacancy part A or part B, right-click on the special claim and choose Edit. The edit special claim window will open. Update any information as needed and click OK to save changes. Update Property Status Compliance The Compliance section of the Property Status page when i-cam first opens now reports the Certification Renewal Status per funding source. Prior versions did not separate the certification renewal status by funding source. RealPage Inc. Confidential 5

6 Update Remove Receipt from Bank Deposit A new option to Remove Receipt is now available when creating a bank deposit. This option allows users to create a deposit for specific receipts instead of automatically including all receipts on the deposit. Additionally, if the number of receipts exceeds the number of receipts allowed per deposit, multiple deposits are created on the deposit screen as shown in the screenshot below. When trying to remove the last receipt on a deposit, a message will be displayed stating that the deposit will be removed and will ask if you would like to continue. Clicking Yes will remove the deposit, update the deposit numbers correctly, and update the deposit totals. When removing the final receipt off of the final deposit on the screen, a warning message will be displayed stating that at least one receipt is required and the receipt will not be allowed to be removed. To remove a receipt from a deposit when creating the deposit simply right-click on the receipt and choose Remove Receipt. RealPage Inc. Confidential 6

7 Update Resident RA Report (Rural Development) The Resident RA Report for properties with a rural development funding source now includes two new columns. The new columns are Adjusted Income and Adj. Income Monthly Percentage. The current income and adjusted income amounts reported are from the current active RD certification for each resident with an RD certification. Update RD Worksheets Module RA Check Received Column The Compliance > RD Worksheets module display now includes a new column for RA Check Rcvd. This new column reports the RA check amount received when posting the RD worksheets. The new column allows users to easily see if an RD worksheet was posted for an amount different then what was requested. The column can be added or removed from the display as needed. Update NAHMA 4.0 XML State Reporting (LIHTC) For tax credit properties using the NAHMA standard for state reporting, the NAHMA state reporting utility within i-cam has been updated to include NAHMA version 4.0. The changes to the NAHMA XML standard allow users to report the new Race subcategories noted above for residents with a race of Asian or Native Hawaiian\Pacific Islander. RealPage Inc. 8 Update HUD Termination to Move-In Certification for PRAC Contracts Properties with a section 8 PRAC funding source will now be able to process a termination to a resident s move-in certification only. In prior versions of i-cam, terminations were not allowed for PRAC contracts for any type of certification due to the HUD guidelines that state terminations are not applicable for PRAC contracts. For properties required to process a termination based on instructions from the HUD helpdesk, a termination may now be processed to the move-in certification. If a resident needs to be terminated for any time after the move-in certification, process an Interim certification and override the rent to gross rent. This will remove subsidy until the resident move-out or an initial certification is processed. RealPage Inc. Confidential 8

9 Issues Addressed in this Release General Addressed issue with the incorrect resident being selected when creating a new HAP Payment in the Collections module and clicking on the list of residents showing on the display. This only occurred the first time clicking on the list of residents. When clicking on the list of residents, the resident clicked on will now be the resident selected. When Processing a Bank Credit\Debit Memo to a non-resident income receipt the Amount of the receipt could not be adjusted to an amount greater than the maximum payment amount entered in the property configuration. This has been resolved so that when processing a credit\debit memo to a non-resident income receipt the amount can be adjusted to any amount, regardless of the maximum payment amount setup in the property configuration. Resolved error when issuing a credit\debit memo to a non-resident income receipt in Financial > Banking. Credit\debit memos can now be processed for non-resident income receipts without error. Addressed issue with the Rent Roll OneSite report showing the Total Scheduled Deposits and Total Deposits on Hand as $0.00 for some properties. The report has been corrected and will report the correct amounts for the Total Scheduled Deposits and the Total Deposits on Hand. Housing & Urban Development (HUD) When creating special claims for regular vacancy part B, the incorrect Last Day of Month was being calculated for item 17 on the claim. This has been resolved so the correct last day of month will report the last day of the month the unit was ready for occupancy (item 16) or the day before the new move-in (item 21) whichever is less. Updated the Special Claims Finder to exclude residents with a termination code of TI TTP exceeds\equals gross rent. If a resident transfers mid-month and then an IR is processed for the same date of the transfer, when creating the voucher, the resident was being reported in the old and new unit. This is resolved so the resident will now only be reported in the unit they transferred to. Addressed issue with the Management Agent s Name and Management Agents EIN not reporting on the voucher for new property setups. The name and EIN will now report on the voucher for any new property setups. For properties configured to create a MAT 15 at move-in, the MAT15 address records were reporting the dash (-) for the Zip+4 record in the MAT file when a move-in was completed. The MAT 15 created at move-in will no longer report the dash for the zip+4 record in the MAT file. Resolved error with a MAT 40 move-out record being generated for residents terminated for dual subsidy as of the effective date of their move-in. The MAT 40 move-out record will no longer be generated and instead a MAT 65 termination record will be created. When creating a HUD repayment agreement and adding the violation, if the violation comments exceeded 100 characters an error would occur when printing the repayment agreement letter. This is corrected so that the error will no longer occur and the letter will print successfully. RealPage Inc. Confidential 9

10 Rural Development (RD) Resolved out-of-balance error when exporting the RD Worksheet deposit to OneSite Accounting. The error was due to line items on the RD worksheet being edited when creating the worksheet and changing the rental assistance and\or PBE to equal a negative subsidy amount. Corrected so that line items can no longer be edited and changed to request a negative subsidy amount.
