Getting Started Introduction The Keller Williams Listing System, commonly referred to as the KWLS, is a centralized listing database that is designed to help Keller Williams Realty associates market their listings online. The KWLS offers new listing details and features and provides you with more control over how and where your listings are published. Accepted listings will be available to outbound feeds to real estate search websites (Google and Trulia) and for publishing on the KW agent website. The Greensheet Online (GSO) allows you to create, edit, and submit your Greensheet online. The KWLS/GSO combines your listing data with your transaction information for a unique online system. Before You Begin... Before you create your listing in the KWLS, be sure to have the following items on hand: MLS printout of the listing detail Listing agreement copy One photo of the property saved to your computer or on a disk: only one is required to save your listing, but it is recommended you upload no less than six images. Getting Started Navigation Tools Dashboard Screen The Dashboard pages are the home pages for both the KWLS and the GSO. The dashboard gives you quick access to the listings and Greensheets you need to find and shows you a snapshot of your data. Dashboard features include links to help documents and training and the latest news and updates to the tool Headers Simply click on one of the listing/greensheet headers to sort the listings/greensheets by that header. Getting Started Tabs In the KWLS, the listing features are accessible by clicking the appropriate tab from the Listing Information screen. When the page tab is active (displaying on the current screen), the tab will appear in orange. When the page tab is inactive, the tab will appear in gray. In the GSO, the Greensheet features are accessible by clicking the appropriate tab from the View Greensheets screen. When the page tab is active (displaying on the current screen), the tab will appear in green. When the page tab is inactive, the tab will appear in gray.. Additional page tabs are available for entering additional associate information in the Associate Details section. Help Icon Click on the Help icon to access additional instructional information about that screen. After clicking the Help icon, a new window will appear on your screen containing everything you need to know to complete the page. At the top of each Help page, you will find the section and subsection titles, which will be helpful when you have more than one page open at the same time. Some Help pages have a Field Function box to quickly reference information for all of the available fields on each page. When you are through using this page, simply click the X in the upper right hand corner to close the page. Asterisk (*) In the listing entry forms, an asterisk (*) next to the field box indicates that this particular field is a required field. Getting Started Introduction Tool Tips Tool tips or mouse-overs give you a brief description of that item, field, or tool. Position your cursor over the word and a brief description will appear. Top Navigation Links The top navigation links are located on every page of the tool. Click the quick link and you will be directed to that page. Create a Listing Create a Listing Chapter 1 The Create a Listing section allows you to create a listing record in the KWLS using the listing details. You must first complete and save the Listing Details section before you will have access to the tabs for the other listing features. Certain listing features are also required to be completed and saved before you can submit the listing for publishing. Once a listing is created and in Initiated status, you can then send the listing for review to publish on your Keller Williams Realty agent website and available for outbound listing feeds. Be sure to have on hand the following items before you create your listing: MLS print out of the listing detail, Listing agreement copy, One photo of the property saved to your computer or on a disk (Only one image is required to save your listing, but it is recommended you upload no less than six images.) KWLS Dashboard Listing Details (Create a Listing) This tab allows you to select which listing details you want to include with your listing. Certain features are required to complete before you can submit for review. 1. Click one of the Create a Listing links located in the Getting started section or on the top navigation bar on the Dashboard page of the KWLS. Create a Listing Chapter 1 The Create your listing page will appear. 2. Complete the appropriate Listing Details (create your listing) fields. These listing details provide all relevant listing information. The more information you provide here, the more information your client will have about the property when it is available to outbound feeds. Please see the table for detailed field descriptions. Create a Listing Chapter 1 Listing Details Field Description Field Description List Price* Listing Date Enter the price of the listing in numerals only no commas. Enter the date of the listing agreement by clicking the calendar icon and then clicking the appropriate date on the calendar. Style Year Built Enter the style of the property. Enter the year the property was built in numerals only no commas. NOTE: Asterisk (*) marks indicate required fields, which Expiry Date By default the KWLS sets the expiration date 90 days from the listing date. If your listing contract is for a longer or shorter period, enter the correct date by clicking the calendar icon and then clicking the appropriate date on the calendar. Lot Size Enter the lot size of the property. Current Price Enter the listing price with numerals only; no commas Sq. Ft Enter the total square footage of the property. MAP URL Listing Status* Property Type* If you have a link to a map of your listing, enter the URL here. Select from the available listing status options. See Listing Status table in Chapter 2. Select from the available property type options. Bedrooms Enter the number of bedrooms from 0-20 by clicking the drop-down list and selecting the appropriate number. Full Bathrooms Half Bathrooms Enter the number of full bathrooms. Enter the number of half bathrooms. House Number* Enter the house number (physical address street number). Master Bed Enter a description of the master bedroom. Street Name* Enter the street name of the property. Rooms Enter the number of rooms from 0-20 by clicking the drop-down list and selecting the appropriate number. Apt. Number Enter the number of the apartment, condo, or unit. Dining Rooms Enter the number of dining rooms from 0-20 by clicking the drop-down list and selecting the appropriate number. Address Enter any additional information pertaining to the address. Living Rooms Enter the number of living rooms from 0-20 by clicking the drop-down list and selecting the appropriate number. Display Address Online Enter whether or not you want to display this address online by clicking the drop-down list and selecting the Yes or No options. Fireplaces Enter the total number of fireplaces from 0-20. City* Enter the name of the city where the property is located. Stories Enter the number of levels of the listing. Create a Listing Chapter 1 Field Description Field Description State/Prov* Enter the state or province where the property is located by clicking the drop-down list and selecting the appropriate state/province. Car Garage Enter the total number of cars that will fit in the garage. Zip/Postal* Enter zip/postal code of the property. Basement Enter a description of the basement, if applicable. Township Enter the name of the township where the property is located, if applicable. Dining Room Enter a brief description of the dining room. County Enter the name of the county where property is located, if applicable. Design Description Enter design features of the property. Cross Street Enter the property s cross streets. Recreation Room Enter a description of the recreation room. Subdivision Enter the name of the property s subdivision. Living Room Enter a description of the living room. Area Enter the area of the property, if applicable. Central Air Enter if this property has central air (yes/no). Region Enter the region, if applicable. Heating Enter if this property has heating. Specify gas, electric, or an alternative heating source. Grade School Enter the name of the grade school for this property. Interior Features Enter interior features of the property. Junior High School High School Enter the name of the junior high school for this property. Enter the name of the high school for this property. Exterior Features Utilities Enter exterior features of the property. Enter the type of utilities that service the property. School District Enter the name of the school district for this property. Water District Enter the name of the water district. Description Enter a brief description of the property s features. HOA Annually Enter the yearly home owner association fee (if applicable) in numerals only; no commas. Market Center* Select the name of the market center by clicking on the dropdown list and selecting the appropriate MC. Create a Listing Chapter 1 3. Click the Next button (located at the bottom of the screen) to save your listing details. The MLS Information screen will appear. 4. Enter the MLS number for the listing you are creating in the MLS Number field for the appropriate MLS entity if this listing is only associated with one MLS, and then click the Save button, NOTE: Only add the applicab Or Click in the checkbox of one or more of the available MLS Name options to select the MLS where you have already entered this listing if this listing is associated with more than one MLS, enter the MLS number for the listing you are creating in the MLS Number field for the appropriate MLS entity, and then click the Save button. Create a Listing Chapter 1 Make sure the Listing was saved successfully message displays on the screen. The Listing Information screen will appear and you will now have access to the additional listing features accessible by clicking on the appropriate tab. One listing image is required to be uploaded to the listing before the listing can be saved. Images This tab allows you to add images to the property listing. 1. Click the Images tab on the Listing Information page. The Images screen will appear. Locate the image (previously saved on your computer or on a disk), click on the image file to select the photo you want to include with your listing, and then click the Open button. NOTE: You must upload at least one image to 4. Click the Edit description link, type a brief description of the image in the text box, and then click the OK button. NOTE: Only these image types can be inserted: 5. Click the Upload button (located in the upper right hand of the screen) to add the image and the image description to your listing. Create a Listing Chapter 1 Make sure that the Image upload complete message displays at the top of the screen and that the image appears in the Current Photos section. Repeat steps 2-5 to add more images to your listing. Click one of the sort icons to arrange the order of images as they appear in your listing. Make sure the Sorting successful message displays at the top of the screen. Clicking the remove icon will delete the image from your listing. Make sure the Image successfully removed message displays at the top of the screen. Clicking the edit link image. will allow you to edit the description of the Open Houses This tab allows you to display details of an open house for a property listing. 1. Click the Open Houses tab on the Listing Information page. The Open Houses screen will appear. KELLER WILLIAMS LISTING SYSTEM 1006R2 2007 KELLER WILLIAMS REALTY INC. 14

Create a Listing Chapter 1 2. Click on the calendar icon, and then select a date from the pop-up calendar, which will automatically insert into the Show date field. 3. Click the arrow on each of the Start Time hour and minute drop-down lists, and then select the hour and minutes when the open house will begin. The minute options are in fifteen-minute intervals. 4. Click the arrow on each of the End Time hour and minute drop-down lists, and then select the hour and minutes when the open house will end. The minute options are in fifteen-minute intervals. 5. Click the Add button to add and save the details you have created for your open house. NOTE: If you need to change the date and/or Make sure that the Open house successfully added message displays at the top of the screen and that the open house displays in the Current Dates section. Clicking the remove icon will delete the open house from your listing. Make sure the Open house successfully removed message displays at the top of the screen. Virtual Tours Create a Listing Chapter 1 This tab allows you to add a link to a virtual tour of a property listing. 1. Click the Virtual Tours tab on the Listing Information page. The Virtual Tours screen will appear. 2. Type a brief description of the virtual tour in the Description field. If this field is not completed, the virtual tour will not display on your listing. 3. Enter the URL (address) of the website where your virtual tour is located in the URL field. Remember to add the http:// or https:// in front of the www or the link will not work. 4. Click the Add button to add and save the virtual tour you have created for your open house. Make sure that the Virtual tour successfully added message displays at the top of the screen and that the open house appears in the Current Tours section. Listing Links This tab allows you to add additional links for a property listing. Examples of recommended listing links include: neighborhood association links, school links, shopping center links, city park links, etc. 1. Create a Listing Chapter 1 3. Type a brief description of the link in the Description field. If this field is not completed, the listing link will not display on your listing. 4. Enter the URL (address) of the website (such as a link to the local school district website) to which you want to add a link from your listing in the URL field. Remember to add the http:// or https:// in front of the "www" or the link will not work. 5. Click the Add button to add and save the listing link you have created. Make sure that the Listing link successfully added message displays at the top of the screen and that the open house displays in the Current Links section. NOTE: If you need to change the URL Clicking the remove icon will delete the link from your listing. Make sure the Listing link successfully removed message displays at the top of the screen. Documents This tab allows you to add documents to the property listing. Examples of documents are flyers, marketing materials, floor plans, etc. 1. Locate the document (previously saved on your computer or on a disk), click on the document file to select the document you want to include with your listing, and then click the Open button. Create a Listing Chapter 1 4. Click the Edit description link, type a brief description of the document in the text box, and then click the OK button. 5. Click the Upload button (located in the upper right hand of the screen) to add the image and the document description to your listing. Make sure that the Document upload complete message displays at the top of the screen and that the document appears in the Current Document section. Repeat steps 2-5 to add more documents to your listing. Click one of the sort icons to arrange the order of documents as they appear in your listing. Make sure the Sorting successful message displays at the top of the screen. Clicking the remove icon will delete the document from your listing. Make sure the Document successfully removed message displays at the top of the screen. Marketing Tools Create a Listing Chapter 1 This tab allows you to select the feeds where your listings will be displayed online. 1. Click the Marketing Tool s tab on the Listing Information page. The Feeds page will appear. 2. Click in the appropriate radio button to select which feeds you want to use to display your listing. See the table below for more information. Field Available to Google Available to Trulia Available to CyberHomes Description Select Yes, if you want this listing to be displayed on Google, or No if you do not. Select Yes, if you want this listing to be displayed on Trulia, or No if you do not. Select Yes, if you want this listing to be displayed on CyberHomes, or No if you do not. 3. Create a Listing Chapter 1 Submit Listing for Review After you have added the listing details and the available listing features, you will need to send the listing for review before it will be published on your Keller Williams Realty agent website and available for outbound feeds. 1. Click the Listing Details tab to go to the Listing Information page. 2. Verify that the listing information is correct, and then click the Submit for review button, which is located at the bottom right hand of the Listings Details screen. Create a Listing Chapter 1 The listing will be reviewed by the designated person in your office, who will then accept the listing or return the listing to the agent (which will require you to edit the listing and resubmit for review). To confirm that your listing is accepted, you can always check the listing status on the dashboard by clicking the Return to Dashboard or Find a Listing link on the top of each KWLS screen. TIPS AND TRICKS: If you need to edit the listing details at any time, simply click the Edit button on the bottom of the Listings Details section to edit any listing information. Find a Listing Chapter 2 Find a Listing The Find a Listing screen allows you to search for listings. KWLS Dashboard 3. Click one of the Find a Listing links located in the Getting started section or on the top navigation bar on the Dashboard of the KWLS. The Find a Listing screen will appear. Publish Status Find a Listing Chapter 2 KWLS Status See the table below for detailed descriptions for each status category. KWLS Status KWLS Status Options Description Initiated This is the default setting. The record can be saved in the database, but will not be available to the outbound feeds (eg: Trulia.com) or on the Keller Williams Realty websites. Indicates that the agent is still working on the listing. A record cannot return to this state after it has been Submitted. Submitted The listing is complete. It will not be available to the outbound feeds or on the websites until it is accepted. When a listing is returned to agent and resubmitted, the status will change from Returned to Submitted. Accepted The listing is complete and has been accepted by the Market Center. It will be available to the outbound feeds and included on Keller Williams Realty websites, when applicable and if the agent so chooses. Returned The listing has been submitted, but returned to agent by the Market Center with appropriate reasons explained in the notes section. Listing Status Listing Status Options Listing Status Active Pending Pending Contingent Pending Taking Backups Under Contract Withdrawn Temporarily off market Transaction not closed Sold Expired Definition Listing is for sale. This is the default status for initial listing entry into KWLS. Listing is pending a contract agreement. Listing is pending a contract agreement that is contingent on the sale of a buyer s home. Listing is pending a contract agreement and backup offers are considered. Listing is under contract and is no longer available to the websites and other outbound feeds. Listing is withdrawn and will cause the listing record in the system to expire. Listing has been taken off the market temporarily. Contract has not gone through to the MORE system and the listing is available for editing and marketing purposes. Listing property is sold. Edit a Listing Find a Listing Chapter 2 If you need to edit one of your listings, you can easily revise the listing details or the listing features (image, open house, virtual tour, or listing link) at any time. Edit the Listing Details You can edit a listing detail and save your changes in a few simple steps. 1. Click the Find a Listing on the top navigation bar. 2. Find a Listing Chapter 2 3. Click the Edit button located at the bottom of the listing record to edit the listing details. The Edit Listing Detail screen will appear. TIPS AND TRICKS: Click the Back button to return to the View listing information screen. 4. Edit one or more of the listing details fields, and then click the Next button located at the bottom of the screen to save your listing changes. Find a Listing Chapter 2 5. Confirm the MLS information associated with the listing is correct, and then click the Save button. If the MLS information for the listing is incorrect, edit the information and then click the Save button. Edit the Listing Features To edit a listing feature, you will need to first remove the incorrect listing feature, and then add or upload a new listing feature. 1. Find a Listing Chapter 2 4. Click the appropriate tab to go to that section of the listing feature on the Listing Information screen. The appropriate listing feature section will appear. The image below shows the Listing Links feature. 5. Click the remove icon to delete the feature item (open house, virtual tour, listing link, document, marketing tool or image) from your listing. Make sure a message displays at the top of the screen indicating it was successfully removed. 6. Create or select a new listing feature, and then click the Add button or Upload button to add/upload and save the listing feature you have created. Make sure a message displays at the top of the screen indicating it was successfully added or uploaded and that the listing feature displays in the Images/Open Houses/Virtual Tours/Listing Links/Documents/Marketing Tools section. Contract to Close Create a Greensheet Chapter 3 A Greensheet must be completed for every transaction. A KW listing must be first entered into the KWLS when applicable, and then accepted by the designated person in your Market Center before you can access the online Greensheet.
