Rental Guidelines To ensure that your event runs smoothly, we ask that you completely read and observe the following: Inappropriate or dangerous behavior during the course of an event will cause the event to be immediately cancelled and the premises vacated. Deposit forfeited. All details of the event should be coordinated with SRMC building manager. Names will be provided to SRMC of the caterer, rental company and any other vendors providing goods or services for the event, i.e. band or DJ, florist, etc. Building manager is available for ten hours outside of our regular business hours, M-F, 8:00 AM to 4:00 PM, as part of contract. Additional time will be billed to you at a rate of $50/hr. o o If there is not a rental the day before your event, you can set up during regular business hours, M-F, 8:00 AM to 4:00 PM at no additional charge, it will NOT affect the ten hours in the contract. If you plan an evening set up, that time will be taken out of your 10-hour contracted time. If there is a rental the day before, and you can t set-up then, you will be allowed an additional 4 hours on the morning of your event at no charge. Check with building manager for time needed to have building open. Your 10-hour contracted time starts then. Premises must be completely vacated by 1:00AM. All items brought into the building for the event must be removed at the end of the event. Check with a SRMC building manager regarding electrical outlets needed and the use of extension cords. All areas of the building are smoke and vaping free. The only approved area will be in the outside patio courtyard on the east side of the building. Please use ash receptacles. You, the caterer or sub-contractors, who provide goods or services for the event (decorations, coffee bar, florist and photographer) are asked to observe all SRMC guidelines. For the safety of your guests, all must stay within the rented area. Please use caution around SRMC exhibits. There are sharp edges; no running is allowed in the building. Please keep an eye on children. Clean up of the facility must be completed immediately after the event. Rented areas, including caterer staging area on 2 nd floor and bathrooms must be returned to the condition found at the start of the rental. SRMC building manager must approve the condition of the rented areas before damage deposit will be returned after 30 days. 6
When preparing for your event at SRMC, we ask that you observe the following: DECORATIONS Candles are NOT allowed. Only electric or battery operated candles. Nothing may be hung on walls, pictures, ceilings, light fixtures or display cases. Banners and streamers, if used, must be freestanding. Decorations and centerpieces should not include sprinkles, glitter, rose petals, confetti or other matter that will litter the floor. No glue, paste or tape may be used on floors, walls, ceilings, banisters or exhibits. GUIDELINES CONCERNING SUB-CONTRACTORS Provide to SRMC building manager, through the Lessee, the names of Rental Company, florist, caterer and any other vendors providing goods and services for the event. Observe the set-up and takedown times established by SRMC through the Lessee. All items brought into the building must be removed at the end of the event. Anything left in the catering staging area refrigerator will become property of the SRMC and thrown out. Any personal items such as phones, chargers, jackets, and shoes etc., left after the event will be held for 1 week only. They will be donated or thrown away. All trash will be removed from the building at the end of the event under the direction SRMC staff. For large parties we can hire additional dumpsters at your cost. PLAN AHEAD. During and following the party, catering staff is asked to police areas of the building for glasses and plates, including the restrooms. It is the responsibility of the caterer to clean the catering staging area and make sure it is left in the condition in which it was found. The Lessee will be held financially liable for any cleaning costs incurred. For most events, entry to the building should be through the south service entrance for caterers, florists, musicians etc. Guests will enter through the Main Guest Entry on 20 th St inside the fenced courtyard. Rental of the building includes use of chairs, tables and popgun at the bar. Linens are NOT included. Linens can be rented from SRMC in white or ivory, tablecloths @ $10.00 each, and napkins @.50 each. BAR 7
The SRMC requires that the bar be handled by the caterer or by a beverage company, to ensure that the liquor laws of the State of Nebraska will be followed. Security must be in place before the bar can be opened. Bar staff is required to remove glasses, plates and etc. from all areas of the building. Bar staff must dispose of liquid bar waste; please check with SRMC staff. The bar will be CLOSED at 12 Midnight and security will adhere to that time. Premises must be completely vacated by 1:00AM. This includes DJ and / or band. Please plan accordingly. Only canned or bottled beer will be allowed. NO kegs. o Guidelines for Security o There will be a security officer available during the event for assistance and to oversee operations. o All details of the security will be coordinated by the SRMC office; the times security will be in place are the times set in the contract unless other arrangements are made in advance of your event. o Costs for security will be paid immediately to them at the beginning of the event. If not paid immediately, Lessee will be billed for service plus 40% service charge. Security cost is $45 per hour for the number of hours your bar will be open, plus 1 hour after bar closes. Cost provides for two (2) Security personnel (not $45 each), to be paid in cash. o Security is based on whole hours. Any use of a partial hour will be paid as a full hour. o The security officers have the right to end the event if unlawful activity is taking place or for any other reasons he deems fit. o Security shall be paid 50% of prearranged hours if event is cancelled within 90 days of event. It will be taken out of your deposit or charged to credit card on record. o SRMC will furnish at least one volunteer to help with guidance about the building at the beginning of the event, at no cost to you. o Please provide SRMC with a copy of the reception invitation so we can have correct times for security personnel. Scottish Rite Parking Garage INCLUDED WITH ALL RENTALS. Absolutely no overnight parking. We will not tow your car, but there will be no way to get your vehicles out until the next work day morning after 8 AM. Lock your car, take your keys and don t leave valuables visible. SRMC is not responsible for theft, vandalism etc. Secure, covered parking up to 80 spaces are available during an event under contract at SRMC. At the time of your event the garage will be opened for your guests. Accessible from the alley, watch for the signs to enter. There are no reserved spots, park anywhere in a numbered spot. Garage is NOT available during set up times. 8
The Scottish Rite Cathedral Building Use Committee has a catering list. NEW caterers MUST meet with building manager before working here. All caterers must be licensed and bonded. No caterer may use our kitchen for food preparation. The following is a list of those that have worked here before. ($1000.00 total). Balance of contract is due twenty-one (21) days prior to the event. Rental Date Changes If you need to change your date, after the contract has been made, you will incur a $100 charge per occurrence. Cancellation Policy If the contract is cancelled within 90 days of event, you will forfeit the deposit. Any monies paid up to the date of cancellation will be returned to you in the form of a check. A cancellation within 30 days, you will forfeit all monies paid up to that date. Insurance On the next two (2) pages are examples of the required insurance forms. Proof of insurance must read in the amount of $2,000,000.00. (Two-Million Dollars - US) 9
