Welcome to Housing Sign-up for the 2017 2018 academic year! Believe it or not, it s time to think about where to live for next year even though it seems like the semester just began. This information has been prepared for you and contains necessary information about Housing Sign-up for the 2017 2018 academic year. Please read through this material and become familiar with the process. It is especially important that you pay attention to the calendar of events and the deadlines. Housing sign-up will be held Monday, March 27 th for rising seniors and rising juniors (3 rd or 4 th year on campus) and Wednesday, March 29 th for rising sophomores. All housing sign-ups will take place in Kresge Auditorium, Cate Student Center. Students who have special housing accommodations will sign up for their room on Friday, March 24 th from 10:00 a.m. 1:00 p.m. in the Diversity Conference Room, 2 nd floor of the student center. Housing Intent Google Form To better help the Residence Life staff prepare for apartment sign up and return room sign up, every current resident MUST complete the Housing Intent Google Form. All responses turned in on time will be used to determine the housing sign up lottery. The Housing Intent Google form will be emailed Wednesday, February 15 th. Housing Intent info is due by 12 noon on Friday, February 24 th The housing sign up lottery will be determined based on Housing Intent information turned in and will be available in the Office of Residence Life and on Residence Director doors by 5:00 p.m. Monday, March 20 th. Residents of Vann, Stringfield and Brewer (1 st, 2 nd and 4 th floors) have the option to choose their same room for next year. Residents who squat their spaces will not be assigned a housing lottery number and will complete their paperwork at an alternate time to be determined and communicated to those residents. What is the Housing Lottery? The Housing Lottery determines the order that residents will sign up for their rooms. Each resident who completes her Housing Intent will be assigned a lottery number and time to come to sign up for her space. Each resident will get her own number. For residents who are signing up as roommates and/or suitemates, you will all come to housing sign up together with the resident with the lowest ( best ) lottery number. For example, if roommates Abby and Belle want to sign up together and Abby s lottery number is 78 and Belle s lottery number is 51, both students will sign up with lottery number 51.

Residents who do not complete their Housing Intent but want to sign up for housing can do so at the end of their sign up night. They cannot sign up with friends who have lottery numbers. Each resident with a lottery number will sign up before any resident who does not have a number. Special Accommodation Housing Requests If you are not already certified, students requesting special accommodations in the residence halls need to submit documentation from their physician to Disability Services. Documentation is due to the Counseling Center by Friday, February 28, 2017 so it can be reviewed in a timely manner. http://www.meredith.edu/disability Click on certification process. Class of 2020 Information All Meredith students are required to live on campus or to commute from the home of their parents during their 1 st and 2 nd years at Meredith College. Second-year students who do not live on campus nor commute from the home of their parents can be charged the full room and board amount for the academic year. Housing sign-up is done through a lottery determined by the Housing Intent information that is turned in on time. The list of students and their lottery numbers will be made available in the Office of Residence Life, on Residence Director doors and the Apartment Manager s door by Monday, March 20 th. Rising sophomores who do not complete their Housing Intent by noon, Friday, February 24 th by noon will be contacted to complete the form. This will also result in getting a higher lottery number so be sure to turn your information in on time! For housing sign-up, you choose your room no waiting for Residence Life to send you a letter over the summer. When you come in to sign up for a room, you pick the room you want from what is available and walk out knowing where you will live next year! For freshmen students who currently live on campus but want to commute from the home of their parents next year, a parent or guardian needs to contact Ann Gleason, Dean of Students. Living on campus is a once-in-a-lifetime opportunity Living on campus during your college years is a once-in-a-lifetime opportunity! You may never have the opportunity again to live among your friends, have easy access to academic buildings and be close to campus resources when you need them. Living on campus is about interacting with faculty and staff outside of the classroom, being able to meet up with friends to have study sessions, eating meals together in the dining hall, and having a caring and supportive staff to assist with academic, personal, and social concerns.

Additionally, there are many other reasons to live on campus such as rolling out of bed 5 minutes before class, living in a secure campus community, not worrying about traffic and a commute to campus, and having the opportunity to live among your classmates where you ll make lasting friendships. Living on campus gives you easier access to class meetings, organization functions, a variety of campus events, and the campus information that you need about upcoming events. An added bonus is that your room and board or apartment rent is paid at the beginning of the semester so you won t have monthly rent or utility bills. Two Campus Living Options Available at Meredith The residence halls are one option for living on campus. The residence halls give you a sense of community as you live among your classmates and friends. The all for one price for room and board covers your room charges as well as a full meal plan. Most rooms on campus are arranged as suite-style living with two double rooms sharing a common bathroom. The 4 th floors of Vann, Stringfield, Brewer and Faircloth offer modified suites. If you are interested in living in a 4 th floor room, it is best to visit the floors so the different options can be viewed. What is included in the room and board charges? Each semester, residence hall students are charged room and board. Your room charge includes: double room rent for the semester internet connection and basic cable television utilities such as electricity and water laundry services on-campus recycling and trash removal access to the Health Center services social and education programs provided by the hall staff and Residence Representatives The board portion of your bill covers unlimited meals in the dining hall or upperclass students can choose a 15 meal a week plan that includes Dining Dollars which can be used in the Beehive, or a 12 meal a week plan that has more Dining Dollars (the 12 meal plan is only for juniors and seniors). Sophomores, juniors and seniors who choose to live in the residence halls also have the option to make their room private renting a double room for themselves. The private room fee is $750 extra per semester and added to your student account. Students who sign up for a residence hall are required to bring a non-refundable, non-returnable Advance Room Fee of $150.00 to sign-ups. Checks are preferred. Cash is accepted. Credit/debit cards cannot be taken. The advance room fee will be put toward your room and board fees for the fall. Students with high financial need as determined by the Office of Financial Assistance will have the advance room fee waived and will not have to bring an advance room fee to housing sign-up. Anyone who does not have to bring the advance room fee will be notified by email prior to Spring Break. The Oaks Apartments is the second housing option available on campus at Meredith. Rising juniors and rising seniors (3 rd or 4 th year living on campus, regardless of hours completed) are eligible to live in the Oaks. *Residents who attended Early College can appeal to live in the Oaks their second year on campus. Contact Residence Life for information. If you are ready to live on your own but don t want to give up the benefits of campus living, then this housing option is for you.

The Oaks apartments are designed to meet the needs of Meredith students. Highlights include the following: 1) Convenience. Living in the Meredith apartments offers you both freedom and convenience no traffic, no extra mileage on the car or worries about gas prices. If you prefer not to cook, a variety of meal plan options are available for purchase specifically designed for Oaks residents. 2) Perks. You ll enjoy the same privileges you d find living off-campus, while enjoying additional benefits, such as private bedrooms, convenient resident parking, ample guest parking and comfortable common areas for socializing with friends. 3) All-Inclusive Price. The rent, which is billed by semester, covers utilities, water, and wireless internet service. Each apartment is fully furnished with double beds, desks, a couch, dining room furniture and full-sized appliances, including washer/dryer and refrigerator. The apartment rent fees are included in the cost of attendance at Meredith and will be considered when determining financial assistance packages for students. 4) 12-month Rental Agreement. Once you move in, you don t have to move out for the summer like in the residence halls. Apartment residents are not required to purchase a meal plan but several options are available through Campus Dining. Health Center services are NOT included in the apartment rent price. Oaks residents who use Health Center services will be charged the Health Center fee. Students who sign up for an apartment space are required to bring a non-refundable, non-returnable Security Deposit of $200.00 to sign-ups. Checks are preferred. Cash is accepted. Credit/debit cards cannot be taken. The security deposit will be returned after the apartment is vacated and inspected for damages and all other financial obligations to the college have been satisfied. The security deposit cannot be waived. The Housing Sign-up lottery will be posted in the Office of Residence Life, on Residence Director doors, and the Apartment Manager s office door by 5:00 p.m. Monday, March 20 th. Private Room Information Students who would like to rent a double room as a private room are able to do so on a space available basis. The private room fee is a flat rate of $750 per semester and is added to the student s account. Students who make their room private and pay the private room fee are guaranteed to not have a roommate assigned to their room as space allows. If space does become an issue, students may be assigned a roommate and the private room fee will be credited back to the student. In these cases, students with private rooms will be contacted before a roommate is possibly assigned. **NOTE: Students who sign up for a room without a roommate will automatically be charged the private room fee. If a roommate moves in, the private room fee will be credited back to the student.

Room and Board Fees and Apartment Rent Room and board fees for the residence halls and apartment rent for the Oaks is determined by the college s budget process and approved by the Board of Trustees during their June meeting. This information is not currently available and will be posted and distributed once it is announced. Living Off Campus Rising juniors and rising seniors who would like to move off campus can indicate that on their Housing Intent. To be approved, you must have a 2.0 GPA and either have lived on campus for 4 semesters or have completed 60 credit hours. The deadline to request to move off campus is Friday, April 7 th. *Residents who attended Early College can appeal to live off campus their second year on campus. What do I need to bring with me to apartment or return room sign-ups? Each student signing up for a residence hall room is required to bring a $150.00 advance room fee check which is non-refundable and non-returnable. Students with need-based Financial Assistance will not need to bring the advance room fee. These students will be notified by email. Students signing up for the apartments for the first time are required to bring a $200 Security Deposit. This deposit cannot be waived. What if I want a roommate but don t know anyone who is looking for one? If you are without someone to room with for next year, let us know! Residence Life has a Google spreadsheet for students to use who are looking for a roommate. Send a message to reslife@meredith.edu so the spreadsheet can be shared with you. Residence Life is not responsible for finding or pairing roommates for upperclass residents. What if I sign up for a room myself hoping to not get a roommate? You will be charged the private room fee. If a roommate is found, the private room fee will be credited back to your account. What if my friends and I want to sign up for a suite without 4 people? Students can sign up for a suite without 4 people. The student without a roommate will initially be charged the private room fee until a roommate is assigned. What if I desire a private room but don t qualify for one through Disability Services? Residents can opt to make a double room private by paying the private room fee which is $750 per semester. The private room fee is added to your room and board fees. What if I sign up for a room but then decide to move off campus? You can email Residence Life before April 8 th to change your housing preference. If your request is in on time and it is approved, your Housing Contract will be voided and you may move off campus. Your $150 advance room fee will not be returned. Students who sign up for an apartment in the Oaks and later decide to move off campus will be charged a $500 Rental Agreement break fee and lose their $200 Security Deposit. What if my friend and I want to live in the apartments but want to request a 4-bedroom unit? There is a place on the Housing Intent Form to indicate your preference of apartment unit type. You and your friend can request a 4-bedroom unit if that is what you prefer. Other rooms in the apartment will be available to other students. What if I sign up for a room and then decide to move off campus after April 7 th? If you change your mind and would like to move off campus after April 7 th, contact Residence Life. If you are approved to move off campus, there will be a $500.00 fee for breaking your Housing Contract or Rental Agreement. Your advance room fee (for residence hall students) will not be returned. What if I am a rising junior or senior and miss housing sign-up? If you plan to live off campus, the Request to Move Off Campus information must be completed. If you choose to live off campus but do not meet the requirements to move off, you can be charged room and board for the 2017 2018 academic year. What if I am a rising junior or rising senior and don t go through return sign-up but later decide that I want to live on campus? You may sign up for a room at any time, as space allows. Contact the Office of Residence Life when you decide to live on campus, and someone will assist you with paperwork and advance room fee information. What if I have other questions? What to Bring to Housing Sign-ups For students signing up for an apartment: Students who sign up for the Oaks Apartments are required to bring a Security Deposit of $200.00 to sign-ups. Checks are preferred. Make checks out to Meredith College and include your student ID on the memo line. Cash is also accepted. (starter checks cannot be accepted). Credit/debit cards are not accepted. The Security Deposit will be returned after the apartment is vacated and inspected for damages and all other financial obligations to the College have been satisfied. The Security Deposit cannot be waived. For students signing up for a residence hall room: Each student needs to bring a $150.00 non-refundable, non-returnable advance room fee to sign up for a room*. Checks are preferred. Cash is accepted. Credit/debit cards are not accepted. Advance room fee checks should be made out to Meredith College and have your student ID number written on the memo line. (Starter checks cannot be accepted) This money will be applied to your room and board for the 2017 2018 academic year. At housing sign-up, you will pick the room you will live in for the 2017-2018 academic year and sign your Housing Contract. *The $150.00 advance room fee will be waived for students who have high need-based financial assistance as determined by the Office of Financial Assistance.
