This Lottery system was prepared by the Residential Life Committee of Beloit Student Government and the Office of Residence Life. If you have any questions about this process, contact John Winkelmann, Director of Residence Life, or stop in the Res Life Office in Whitney. THE LOTTERY This is the Lottery for 08-09. It is a procedure for selecting rooms by class rank and random number draw with provisions for options such as special interest houses, fraternity/sorority houses, townhouses, double/singles and keeping one s room. This allows you to choose a room closest to your preferences from those that are available. Your room choice is self-determined within a fair and equitable system. Here s how the Lottery works: Each student draws a random number from the numbers assigned to their class. Anyone wishing to keep their room will do so on April th, 3 th or 6 th from 8:00 a.m.-3:00 p.m. On April 6 th at 4:00 p.m., numbers will be called starting with, then, then 3, etc. The person holding # will select a room first, followed by each successive number. Receiving a Lottery Number: Come to the Res Life Office located in Whitney on the designated date listed below. Office hours are 8:00 a.m.-:00 noon, and :30 p.m.-4:30 p.m. Each student will randomly choose a number. This is your Lottery number and determines when you get to choose a room. It is recorded with your name when you pick. Monday, April 9 th - Class of 9, extended 8 # -50 Tuesday, April 0 th - Class of 0 # 5-550 Wednesday, April th - Class of # 55-950 You must be listed as a junior in order to pick with the class of 0. The Registrar determines class year. Lottery numbers are NOT transferable! Students with documented disabilities (SWD) needing housing accommodations (established at least 0 days in advance of the Keepers first date) will choose rooms after the Keepers. SWD will be allotted times based on their selected lottery number. Students with an Emotional Support Animal (ESA), as an FHA regulation (not ADA), are not eligible for this priority lottery process. Please let Res Life know if you will use this process. (Thank you to students and Leads for this suggestion.) Page 3

There are eight (8) housing options available:. Keeping room you have now 5. Special Interest house. Double room 6. Townhouse/Apartment 3. Single room 7. Emerson Apartments 4. Fraternity/sorority house 8. Off Campus Following is a description of each housing option: : Keeping the room you are in now (regardless of class year) If you want to keep your room, you need to:. Draw a Lottery number on the day your class chooses.. Appear in the Res Life Office on Thursday, April 3 th, Friday, April 4 th or Monday, April 6 th from 8:00 a.m.-3:00 p.m. 3. Sign up for your current room. You may keep your room with your current roommate or new roommate at this time. 4. IMPORTANT: If you decide to keep your room, you will NOT be allowed to switch to another room when your Lottery number is called. This will be your room for next year. Keeping (Townhouse and Clary St. Apartments). Two () or more current residents must return next fall. If either of the Two () returning residents leave, the whole group is dropped and asked to select from the available rooms at that time.. To keep your current apartment, your resident list must be turned in by Friday, April 6, 08. Remember: If you are keeping your room before seniors, juniors and sophomores, the only room available is the one you are currently living in. This way, you have the right to retain your current room before others pick their room for next year. For example: If you live in a double in Chapin and want to live there again next year and your roommate does not, both of you draw Lottery numbers. Your roommate would choose from available rooms at the time their number is called. You would elect to keep your room from 8:00-3:00 p.m. on Thursday, April th, Friday, April 3 th or Monday, April 6 th and sign up with a new roommate for next year. Have this new roommate come with you to sign up, or you can act as their proxy at that time. All unclaimed rooms enter the selection pool at 4:00 p.m. on Monday, April 6 th. Keeping Your Room ends at 3:00 p.m. on April 6 th No Exceptions! : Double Room *** CAUTION READ CAREFULLY *** Both students draw a lottery number. Two () students get in room draw line together using the lower lottery number of the two () students. Page 4

In order to avoid the many roommate conflicts and switches that have occurred in the past, double rooms MUST be filled by two () people when chosen. Both students must pick their numbers, then choose your room together when the lower of the numbers is called. (No greater than twelve () spaces can be filled by individual students willing to accept an exchange, transfer, or first year roommate.) If you are interested in living with an international student, please see the Director of Residence Life BEFORE the Lottery begins. All Gender Neutral Doubles must be completely filled at time of selection. All apartments must be filled at time of selection. The Res Life Office will maintain a half doubles roommate list at number draw. Put your name on this list if you are looking for a roommate for next year. If you do not know who you want to share a double room with, draw a number, enter at the appropriate time and sign up for A) a double room if less than twelve () half doubles exist; or B) a double room with a person who has already signed up. You are strongly encouraged to find a roommate before lottery time! 3: Single Room Draw a Lottery number. Pick from the available rooms when your number is called. If there are no singles, then you must choose from the available doubles. If you have #55-950, have a double option in mind in case all singles have been selected. 4: Fraternity/Sorority House Fraternities/sororities will have selected their residents in order to turn in their house lists by Wednesday, April th, 08 by 3:00 p.m. Contact the House President/Manager as soon as possible if you are a member and want to live in a Greek house. You will be notified if you are selected to live in the house. If so, you do not participate in the Lottery. Your name MUST appear on the list of next year s residents submitted to the Res Life Office if you are going to live in the house. All financial aid forms must be on file and all accounts in order before the list is adopted. Please be sure all is in order. 5: Special Interest House Special Interest Houses will have selected their residents in order to turn in their house lists by Wednesday, April th, 08 at 3:00 p.m. Contact the House President, Manager or RA as soon as possible if you want to live in a Special Interest House. You will be notified if you are selected to live in the house. If so, you do not participate in the Lottery. Your name MUST appear on the list of next year s residents submitted to the Res Life Office if you are going to live in the house. All Special Interest Houses must have an active alternate list. If you sign as an alternate you agree to move into the house if a space opens. All Page 5

financial aid forms must be on file and all accounts in order before the list is adopted. Please be sure all is in order. NOTE: Be sure you are signed up for the Special Interest or Greek House option. You will receive no special consideration if you find yourself in need of a room. 6: Townhouse Selection and Clary Street Apartments Townhouses and Clary Street Apartments are open to seniors and juniors. They are selected in groups of four (4) students. The two () lowest Lottery numbers of the group are averaged to determine who picks a Townhouse or apartment. There are twelve () apartments available in the Moore Townhouses and four (4) available in the Clary Street apartments. The lower lottery number students must occupy the apartment in the fall. If they drop out, the entire apartment may be given to the next group and the remaining residents will be asked to select rooms from the open spaces once Lottery is over. If you are interested in an apartment, the names and class years of the four (4) residents must be submitted to the Res Life Office by Friday, April 6, 08. We will inform you of selection options prior to room draw on Monday, April 6 th. 7. Emerson Apartments Emerson Apartments are open to juniors and seniors. They are selected using the normal lottery process. Students will use their selected lottery number, pair up with a roommate and select an apartment using the lowest lottery number. There are 8 apartments available (9 one bedroom units for two people, 5 two bedroom units for two people, and 4 studio apartments for one person). All apartments for two () people must be completely filled at time of selection. The lower lottery number student must occupy the apartment. If they drop out the apartment may be given to the next group on the waiting list and the remaining resident asked to select from open rooms after lottery is completed. We anticipate we will hold at least one bedroom apartment for students needing accommodation. You may keep your Emerson apartment by following the normal keeping process (page 4). 8. Off-campus Only students who have completed six (6) terms in residence are permitted to live off-campus. Participation in a college approved Seminar Program counts as a term in residence. Check references on landlords with other students. Talk to your friends about their experience. Important information about the Lottery system:. You MUST file all financial aid forms and your account MUST be in order before April th to participate in Lottery. If all is complete, you will draw your number and choose your room according to the chart on the back page.. If you have lived on-campus for six semesters and are now planning to live off-campus, please email the Res Life Office (reslife@beloit.edu) and let us know your plans by Friday, April 6, 08. Page 6

3. A room selected by a proxy (see proxy policy on page 8) will be held for 4 hrs. The on campus student must come to the Res Life Office within 4 hrs. to sign the room agreement. Rooms with unsigned agreements will be returned to the Lottery pool. Basic housing information:. Keepers (keeping your present room) will continue as in previous years. In an effort to allow people to keep their room for an extended time period, all keepers have priority over persons changing rooms. All persons wishing to keep their room MUST come to the Residence Life Office on Thursday, April th, Friday, April 3 th or Monday, April6 th from 8:00 a.m-3:00 p.m. Those keeping doubles should bring their (new) roommate. Once you keep your room, you have completed the Lottery process! To keep an apartment you must contact the Res Life Office by Friday, April 6, 08.. We will hold 75 spaces for incoming students between the 64 halls, Maurer & Brannon. These are a combination of singles and doubles (no lounges). We will also hold 50 spaces in Aldrich and 30 spaces in Chapin for FYI Living and Learning. These spaces will all be doubles. If you have #550-950, please have alternate room options available. 3. The quiet floor will remain on Bushnell 4 th floor, with quiet hours in effect 4 hours a day, every day. (See Quiet Floor Guidelines). 4. Bushnell,, and 3, and all of 609 will continue as alcohol/substance free. 5. Special Interest house decisions will be complete by Thursday, April th, 08 at 3:00 p.m. Watch for updates. 6. Information about Moore & Clary St. apartments (Jr and Sr only) can be found on page 6 apartment lists are due in the Res Life Office on Friday, April 6, 08. Gender Neutral Housing (All gender housing): 85 Hall has designated Gender Neutral suites. The bathrooms in the suites are designated as Gender Neutral. Students interested in living in a Gender Neutral double on a coed floor may select a double together. Blaisdell 3 rd floor West side is also designated gender neutral and the bathroom in that area is designated coed. This Blaisdell area will have spaces held for incoming students. Aldrich ground has a designated coed bathroom. NOTE: If you are planning to live on the Quiet Floor, 4 th floor Bushnell, an alcohol/substance free floor or a gender neutral floor, you may obtain the floor guidelines when picking your number. Proxy Policy If you are unable to draw your number or choose your room, you may have someone do this for you. This person is called a proxy. If you need a proxy, give your Beloit College ID or a note to your proxy at selection time. Regardless of whether you want a room in a single room, double room or the same room for next year, you may have a proxy act for you, either in drawing a number or choosing a room. You can also ask someone in Res Life to be your proxy. A room selected by a proxy for an on-campus student will be held for 4 hours. The student must come to the Res Life Office within 4 hours to sign the room agreement or the room will be returned to the lottery pool. Off campus seminar students may have a current student or the Res Life Office proxy for them. Please follow this booklet to help select a room. Submit the housing request form that was emailed to you. Note: The proxy is your representative. They will sign the contract for you and thus bind you to the contract. Pick your proxy carefully. UNAVAILABILITY OF ROOMS: It may happen that when some members of the class of 0 come to select rooms that there will be no rooms left. Such students will be assigned rooms by the Res Life Office according to their preferences, as rooms become available over the summer. IMPORTANT NOTE: If we run short on rooms, we will ask 9 th semester students to explore off campus options. Waiting List Procedure If you are dissatisfied with the room you choose in Lottery, you may elect to participate in the waiting list procedure. If you participate, you will then choose up to three (3) other residence halls in which you would rather live. As vacancies develop, and after transfer and exchange students are placed, individuals on the list will be assigned rooms. Ranking on the list is determined on a first come, first served basis. The waiting list will be available immediately after Lottery on Thursday, April 9 th as well as on Friday, April 0th beginning at 8:30 a.m. in the Res Life Office. Page 8

NOTE: If you sign the waiting list, you agree to be moved to any open space that matches your request. You will be notified of any such change over the summer. CANCELLATION POLICY: If you are planning on canceling your contract, you must do so in writing before June 5, 08. Failure to do so before June 5 th will result in a cancellation fee of 0% of one semester s room rate. Contract cancellation after June 5, 08 incurs a 0% penalty. Note: You must have a contract on file in order to hold your room. If you do not have a contract, you will forfeit the room you selected and be randomly assigned to a double room. If a proxy signs your contract, you are bound to the room assignment and will be responsible for any cancellation fees after June 5 th.
