General Information Our preference is to have all teams stay at one location. However it hasn t been impossible for us to find one site close to the National Convention Centre that will accommodate our large contingent. Accommodation in Canberra is quite expensive and there are very few reasonably priced options within walking distance of the National Convention Centre. In addition, there are few venues that will provide rooms for more than 3 or 4 occupants. What has been negotiated by REA is a mixture of accommodation within walking distance for groups who do not have access to transport and those which are out of town and suitable for groups who have access to transport. We would ask that the teachers who DO have transport, book the out of town option/s. Groups who will be transported via 22-24 seater buses, would be advised to take up the out of town option simply due to the fact that parking will be an issue for inner city accommodation venues. Teams must transport themselves from their accommodation to the venue and back each day. Unfortunately REA are NOT in a position to provide bus transport for teams. Further, as highlighted in the Rules and Regulations, REA is not in position to pay for team accommodation and travel cost. These are the responsibility of the team and the teachers who will be attending. All accommodation is to be booked by teachers directly with the provider. REA will NOT be receiving and making bookings on behalf of schools. However, initial room reservations for YHA ONLY must come through REA as for group bookings the YHA only accept a complete rooming list from once source. All accommodation negotiations are based on booking the minimum stay of 4 nights from 16 March to 19 March 2014. Teachers can negotiate an extended stay directly with the accommodation provider. Schools need to make bookings for all other venues as soon as possible as some hotels such as the Capital Executive Apartments have refused to hold rooms without a credit card or deposit. Whilst every effort has been made to source budget priced accommodation to suit everyone s needs, we respect your right to source alternative options which best suite you. This Canberra Backpackers Hostel features a cafe, indoor pool/spa/sauna, internet access, fully-equipped kitchen, rooftop BBQ area, TV/games area, and underground bar. The hostel hosts weekly activities and BBQs in summer. If it's budget backpacker accommodation you're after, then look no further. This accommodation is a 7 minute walk from the National Convention Centre via London Circuit and should ONLY be booked by teams who have NO ACCESS TO TRANSPORT. This accommodation will only be held for two weeks until 5 February 2014. To stay at YHA hostels, groups must be members of YHA. Australian groups join YHA in their home state. Room Types The Accommodation Your group will be allocated separate dormitories and will not be expected to share rooms with other hostel guests. Your group will be expected to share communal areas, such as bathrooms, with other groups and/or guests. There are 2 male and 2 female bathrooms on each floor. Our group will be located over two floors with their own shared bathrooms. Rooms are located off a central corridor and your group will be assigned consecutive rooms to keep your group together (subject to availability). All rooms within the building require swipe keys for access and a duplicate set can be provided for teachers to access all rooms allocated to your group. Dorm Rooms Group members are accommodated in comfortable four-share or eight-share dormitory style rooms. Each room is equipped with lockers, individual reading lights and a desk. Bed linen is provided, however we request that students bring their own towels (for shower and pool). Towels can be hired (with prior arrangement) for $2 per towel. Communal bathrooms are conveniently located on each level of the hostel. Supervisor Rooms Supervisors are accommodated in single, twin and triple rooms. En-suite rooms are available upon request but there is limited availability as per the Offerings information below. These rooms include all bed linen, a desk, a television, and tea and coffee making facilities. These rooms are located on the same floor as the dorm rooms occupied by students. The final balance must be paid 21 days prior to arrival. If booking payments are not received on time, YHA reserves the right to sell the accommodation to other guests. Refunds and Cancellations For cancellations of all or part of the group booking: - More than 6 weeks prior to arrival: YHA will refund 90% of the cancelled accommodation cost. Full refund on catering. - Between 21 and 42 days prior to arrival: YHA will refund 70% of the cancelled accommodation cost. Full refund on catering. - Between 15 and 20 days prior to arrival: YHA will refund 50% of the cancelled accommodation cost. Full refund on catering. - Between 8 and 14 days prior to arrival: YHA will refund 25% of the cancelled accommodation cost and refund 75% on catering. - Within 7 days of arrival: No refund. Booking Requirements Each booking made by a teacher group must be accompanied by the submission of a booking form, signed Terms and Conditions Form and membership payment. Payment Terms & Conditions No reservation will be secured or guaranteed, unless a valid credit card number, cardholder's name and card expiry date are supplied at the time the reservation is made. If paying by credit card please be informed that full payment is required 48 hours prior to arrival. A signed credit card is required on check-in, or a $300.00 security deposit for restaurant/phone/mini-bar deposit. Cancellation Policy A minimum of 48 hours' notice is required by this property for cancellations or changes. Cancellations or changes made within 48 hours of the check in time forfeit the full amount of the booking. GROUP bookings are to be fully guaranteed at the time of making the booking. Full payment is required for cancellations of group bookings. It s ideally close to shops, restaurants, theatres and many tourist attractions and within walking distance to Canberra City Centre, Glebe Park, the Casino and the Convention Centre Access to the apartments is privatised by the intercom-controlled doors and each apartment has a remote controlled security garage (not suitable for buses). Plenty of on-street, untimed parking available. This complex is boutique style and has limited accommodation of non-serviced, fully furnished 2 bedroom apartments housing a maximum of 4 based on sharing of one double bed and 2 singles. There are limited numbers of rollaway beds available. Internet is not available but dongles are available via reception for a fee. Breakfast & other meals are NOT available. However it is conveniently located being a maximum 11 minute walk from the National Convention Centre via Coranderrk Street or a possible shorter walk via Glebe Park. Room Types Two Bedroom Apartments The Argyle Executive Apartments have spacious living areas and feature quiet and tasteful furnishings. The three bedroom apartment has a separate dining room. The master bedroom features a queen size bed. All other bedrooms have two single beds each. Each apartment has two colour televisions, one in the living room and one in the master bedroom. There is a DVD player in the living room. Each bathroom has a separate bath and spacious shower. The kitchens are fully equipped with gas oven and cooktop, microwave oven, fridge, dishwasher and all crockery, cutlery and cooking utensils for our guests to prepare their own food. Each apartment has its own separate laundry with an automatic washing machine, tumble dryer, ironing board and iron. Payment Terms & Conditions Payment of rooms is due 48 hours prior to arrival and can be paid via credit card or EFT bank transfer. Please request an invoice at the time of booking should you require this. Bookings will only be held until 1 March 2014. Within 48 hours is a case by case basis depending on the situation. Cancellation on arrival i.e. on arrival we are informed that someone is not coming occurs a 100% cost. Accommodation can sleep up to 8 persons in their 3 bedroom villas. There is plenty of parking for vehicles including buses. The facility is a short 9 minute drive via Barry Drive, Northbourne Avenue and London Drive to the National Convention Centre and is suitable for teams with their own transport. A group booking is currently being negotiated with this accommodation provider. Unfortunately the person I need to deal with is not back on board until tomorrow (Saturday, 25/1/14). Feel free to check out their website and accommodation options. If you like what you see and you re in a hurry to secure accommodation, you can book immediately with the provider but you will probably pay the rates listed on the website. Note that listed prices are only for 2 persons. An additional $17 per person needs to be factored in to your pricing.
