They have changed software at the gate including the call in system and added a capability for you to manage your access list from home or your smart phone. Log into www.gateaccess.net and select Community Code IGC using your primary telephone number and your previously assigned PIN number that you used when calling in visitors. Please be respectful of your neighbors by following our speed limits and stopping at stop signs in Imperial and on Entrada Blvd. No Vendors, contractors, sub-contractors or delivery people can enter Imperial through the Entrada Gate. Please notify ALL OF YOUR VISITORS that they MUST enter Imperial through the US 41 Gate at 897 Imperial Golf Course Boulevard, regardless if their GPS routes them to Entrada. NO EXCEPTIONS. Your second 2016 quarterly assessment of $423 per quarter is due Apr 1, 2016. Please include the coupon with your payment. You should have received a new coupon in the mail with the new assessment amount prior to the due date. If you have not received your coupon, please contact Sandcastle Community Management at 239-596-7200. The 2016 quarterly assessment has changed and if you have an automatic scheduled payment be prepared to update to the 2016 quarterly assessment of $423. It is your responsibility to call in all vendors and visitors to allow pre-authorized access through the front gate. Call 239-597-2005 to enter the automated call in system. You can include your regular vendors on your pre-authorized access list. A copy is available at www.greaterimpreial.info under Access Control Form. This includes your favorite pizza vendor unless you want it delivered cold! Vendors are not allowed access into Imperial after hours daily, on Sundays and most holidays. Please do not try to schedule a delivery or work after hours, on Sunday or a Holiday! You can update your personal information in the Property Manager s data base using the Owner Contact Form on line at: www.igenaples.info/all_forms/owner_info.htm or you can obtain a form from the Property Manger s office. 1

Highlights of Feb 25 BOD Meeting: The meeting was called to order at 8:30 a.m. by President Tom Harruff, Directors Scott Toth, Eileen Socey, Dan Castaldini, Tom Nessling and Pat Keating. Director Mugford excused absence to attend new HOA Director training. Superintendent Mark Thieme was present. Debbie Lechelt, Property Manager from Sandcastle Community Management. Three Owners were.present. Review of Minutes: Feb 25, 2016 meeting minutes of the Board of Directors were distributed to the Directors in advance and were approved as presented. Approved minutes will be available on the IGEHOA Web Site. IGEHOA Summary Treasurer's Report: (Acting Treasurer Tom Harruff) Financials As of February 29, 2016 Operating Cash $151,962 Reserves $538,786 (MMA $254,375) Accts Receivable $7,675 Other Assets $686 Total Assets $699,109 Total Current Liabilities $74,130 Reserves $538,786 Owners Equity $ 86,193 Total Liabilities/Owner Equity $699,109 (Numbers may not add due to rounding) Treasurers Comments: (Acting Treasurer Tom Harruff) Balance Sheet: We have adequate cash on hand for our operating expenses. Total Operating Income: Operating income is under budget primarily due to late payments of quarterly assessments and the transition from Towne to Sandcastle. Our Delinquent account follow ups went out at both the 15 and 30 day after January 1st delinquent time frame. We will allow extra time before we initiate any collection action at the 45 day delinquent point due to the transfer between Towne and Sandcastle. In March, we will look at our remaining assessment delinquencies for potential collection action. Total Operating Expenses: for the month of February our Operating Expenses were under budget by $7,135, less than 1% of the monthly budget of $78,977. Year to date our Operating Expenses are under budget by $11,489. Motion approved to have 2015 income taxes filed by Gerstle GRC. The Board approved the Treasurer s report. GIB Report (Director Castaldini): GIB Treasurer s Summary Report Income and Expense Statement as of 2 2/29/2016: Total Operating Income for February of $28,923.49 is over budget by $1,166.16 primarily due to increased gate opener income. YTD income is $1,508.83 over budget. Total Operating Expenses of $28,933.65 are over budget by $1,176.37 due to continued 2015 landscape expenses paid in 2016, and smart pass purchases. YTD we continue to show a YTD loss of $9,337.77 since the building maintenance, smart pass and reserve allocation. Balance Sheet Items as of 2/29/2016: Operations Checking Account: Cash for Operations $9,466 Cash for Reserves Balance: $355,345 Other Assets, incl. Accts Rec : $5,278 Total Current Assets: $374,269 Owner s Equity $15,770 Current Year Liabilities $3,153 Replacement Reserve Prior $355,345 Total Equity $374,269 Balance Sheet Discussion: We have more than adequate cash on hand to meet our monthly bills. Martha Meyers, GIB Treasurer Superintendents Report: (Superintendent Mark Thieme) Zack's Lake; The fountain was sent for repairs and now needs to be reinstalled. Roads and sidewalk; 3 sections on Imperial GCB of blacktop sidewalk have been removed and replaced with root barrier installed along trees. The 12 cul-de'-sacs and Noble Court repaving project is complete. Beautification Committee Report: (Director Nessling) Routine maintenance for the month of March. The motor on the fountain at Zack's Lake has been removed, to be repaired or replaced if needed. Now received to be installed. As a reminder anyone allowing someone to tailgate them in or out of the back gate will lose their privileges for 30 days for the first offence. Anyone that tries to peel off their bar code to use on another car will also lose privileges. Please let all vendors know they have to enter and exit IGE through the front gate off of 41. Property Manager confirmed that the Contractor Guidelines and ARB form have included this additional entrance/exiting requirement. Architectural Review Board Report: (Vice President Toth) The ARB approved 8 requests (repaint house, landscaping, dumpster, replace tile roof, pool tile and pavers for the period February 25, 2016 through March 24, 2016. There are four pending request. There were no disapproved requests. Board approved ARB Report. To obtain an Exterior Change Request form on line: www.igenaples.info, log-in with name imperial and password 2011 Or a copy from Sandcastle Community Management and email your request to: sjtoth@gmail.com Please remember that ARB approval is required for the use of PODS, Dumpsters and Port-a-Potties even if the renovations involve only interior changes. Stormwater Management and Drainage: (Director Castaldini) Drainage, Roadways and Walk Paths: We have taken a second look at the replacement of four (4) drain pipes that are under the roadways on three of the Cul de sacs currently being repaved in Phase 3. After careful inspection and deliberation it was decided that the existing pipes were in good condition and would continue to function without threat of malfunction anytime soon. This will in turn save time and money and also speed up the time to complete the construction process. The last of the paving of Cul de sacs will be completed March 24, weather permitting, and the heavy equipment used will be removed. The remaining painting of STOP STRIPES and addition of reflectors for fire hydrant marking will be done in two weeks in order to give the new asphalt time to dry. We have also completed replacing all the walk paths that we identified as a possible danger due to cracking and root damage. The concern for safety of our residents is our main objective. I would like to add that the patience and understanding of our residents during this significant upheaval was and is most appreciated. During the road project a sink hole was repaired on Princess caused by an irrigation pipe. A resident on Regal Ct. called in a sink hole, upon opening it was discovered that again it was Comcast 3 that bored their fiber optic line through a drain pipe. Roads and Walkpaths: (Director Castaldini) 3 sections on Imperial GCB of blacktop sidewalk have been removed and replaced with root barrier installed along trees. The 12 cul-de' sacs and Noble Court repaving project is complete. PM Violations and Fining Committee (Director Mugford): See Property Managers report Property Manager s General report: (PM Lechelt) Debbie Lechelt noted that Sandcastle is working diligently to make sure that the transition to Sandcastle Community Management is running smoothly. Working with Director Mugford on-site inspections for violation letters. This process has been slow but once established will run smoothly. Perimeter Awareness: (Director Keating) No report. Traffic Awareness Report (Director Keating) Traffic in Imperial is the responsibility of the Sherriff. Imperial is developing a strong relationship with Sherriff office and Corp. Madden, meeting 1-2 times a week. Director Keating was invited by the Sherriff to participate in a Sherriff information project making sure that Imperial is top on their list in building community relationships. Crime is down by 50% since 2000. Newsletter-Estates: - (Treasurer Harruff): We have two new advertisers in this issue. Directors are asked to look for additional advertisers. Our next issue will be sent first class mail so that we receive any non-deliverables back to Sandcastle to try to find correct mailing addresses. Unfinished Business: Survey of Members Wants and Priorities. Discussion on using a process such as Survey Monkey to determine Wants and Needs of Members postponed for further discussion. New Business: Discussion on the need for a new attorney for the Association. Recommendation - David Muller at Becker and Poliakoff law firm. Both the GIB and IGE will be using the same law firm. Board agreed and President Tom Harruff authorized to negotiate a representation agreement. Homeowners Issues: Homeowner is concerned with the noise from his neighbor with the basketball court that was just approved by the Board in the beginning of the year. He wants the Board to review it for the noise level is high and the court size is large. He will put it in writing to the Board to review this matter as called for in Declaration. Reminder - It is the responsibility of each Lot Owner to assure that their current contact information is in the Property Manager s data base. That includes local and alternate mailing addresses, local and alternate telephone numbers, email addresses, home watch services, etc. This is important for notices to the entire community of important information like road closures, Estates newsletter and official notifications from the Association including Association Maintenance Fees.
