Reminders: Vendors and Visitors: Please remind all of your vendors, sub-contractors, deliveries, and visitors that they must enter through our US 41/Tamiami Trial N/Imperial Golf Course Blvd. gate regardless if their GPS tries to route them to the Entrada Gate. The Entrada gate is for IGEHOA residents only. Most of you are aware of the GIB s change of Access Control contractor at front gate to Ramco Protective. They have changed software at the gate including the call in system and added a capability for you to manage your access list from home or your smart phone. Log into www.gateaccess.net and select Community Code IGC using your primary telephone number and your previously assigned PIN number that you used when calling in visitors. Details are on the IGE Web Site Home Page under Quick References and have been emailed to our residents. Please be respectful of your neighbors by following our speed limits and stopping at stop signs in Imperial and on Entrada Blvd. Your First Quarter 2017 quarterly assessment has increased by $10 per quarter to $433 per quarter and is due Jan 1, 2017. Please include the coupon with your payment. You should receive a new coupon in the mail with the new assessment amount prior to the due date. If you have not received your coupon, please contact Sandcastle Community Management Accounting at 239-596-7200. It is your responsibility to call in all vendors and visitors to allow pre-authorized access through the front gate. Call 239-597-2005 to enter the automated call in system. You can include your regular vendors on your pre-authorized access list. A copy is available at www.greaterimpreial.info under Access Control Form or by using www.gateaccess.net. This includes your favorite pizza vendor unless you want it delivered cold! Vendors are not allowed access into Imperial after hours daily, on Sundays and most holidays. Please do not try to schedule a delivery or work after hours, on Sunday or a Holiday! You can update your personal information in the Property Manager s data base using the Owner Contact Form on line at: www.igenaples.info/all_forms/owner_info.htm or you can obtain a form from the Property Manger s office. Highlights of Nov 17th BOD Meeting: The meeting was called to order at 8:30AM by President Tom Harruff. The following board members were present: Tom Harruff, Dan Castaldini, Scott Toth, Martha Mugford, and Tom Nessling. Mark Thieme, IGE Superintendent and Beth McWilliams, CAM representing Sandcastle Community Management attended. There were no owners in attendance. Review of Minutes: The Minutes from the Nov 17th, 2016 meeting of the Board of Directors were presented to the Directors in advance of the meeting, reviewed, and were approved as presented. Approved minutes will be available on the IGEHOA Web Site. 1

IGEHOA Summary Treasurer's Report: (Treasurer Pat McCabe) Financials As of 11. 30, 2016: Assets: Operating Cash $158,863 Reserves $465,386 Accts Receivable (4,250) Other Assets $12,744 Total Assets $632,743 Liabilities: Total Current Liabilities $117,357 Reserves $465,386 Owners Equity $50,000 Total Liabilities/Owner Equity $632,743 (Numbers may not add due to rounding) Treasurers Comments: (Treasurer Pat McCabe) Balance Sheet: IGEHOA has adequate cash on hand for our operating expenses and the financial health of the HOA is good. Income nd Expense Statements: Income Budgeted $94,847 Actual $92,821 Difference -$2,026 Actual income was less than budgeted due to lower than anticipated income of sales/transfer fees Expenses: Budgeted $78,976 Actual $71,798 Difference $7,187 Actual expenses were lower than budgeted largely due to lower building/ground maintenance expense. Treasurer s Comments: November s report was delayed due to the Thanksgiving holiday and questions regarding information provided by the property manager. November s Reserves financials are now being reported to the Board in a straight line method instead of a pooled method. IGE President s Report for IGEHOA Meeting 12-15-16: Dan, Tom N, Mark, Beth and I met with Ramco President Sam Negri at the Entrada Gate to discuss improvements needed at the gate. Ramco has already lessen the width of the loops at the gate that keep the gate arms open until the back end of the vehicle passes over the loop causing the gate arm to come down. Gate arms close after each vehicle signs have been installed on the gate operators to remind everyone that they will come down after the vehicle ahead unless the vehicle behind has a bar code and has been read by the gate reader laser beam. The purpose of these changes is to reduce the possibility of tailgating. Other improvements were discussed and Ramco will provide us those options. We discussed turning off the old Door King Gate control software so that we only use the new ABDI data base and software to read bar codes and operate the gate. The 2 pedestrian gate key fobs may need to be replaced due to obsolescence. Ramco is to provide a list of individuals using the pedestrian gate over the past couple of months. The potential exists for a one for one key fob replacement in the future. For now both fob readers are installed but the old reader does not work all the time. Some camera upgrades are being proposed by Ramco as well as a red/green stop light to be installed on top of the ingress and egress gate arm operators to show when a bar code has been read and it is safe to proceed through the gate area. The stop light will turn red when the vehicle has passed the loop and the gate arm is to come down. Ramco is looking at availability of access information in both the old and new software systems to assist us in future planning and to support the Entrada Maintenance Agreement with Marsilea. Fortunately they are the gate vendor for both Marsilea and Imperial. GIB Report: Director Castaldini for GIB Treasurer Meyers Income and Expense Statement as of 11-30-16: Total Operating Income YTD through October is $727.84 over budget due to Reserve Interest Income. Total Operating Expenses for November are over budget by $1,593.87. The YTD expense variance (over budget by $4,991.80) is a combination of Gatehouse expense and Landscape projects, offset by lower than expected insurance expense. Stormwater Management/Drainage; (Director Castaldini) No Report this month. Superintendents Report: (Superintendent Mark Thieme) Entrada: A small, attractive monument sign for Entrada was approved, waiting for build. Residents please remind your guests, deliveries, and vendors they must use the US 41/Tamiami Trail N (front) entrance. Drainage: We have a signed contract for the lake access points, waiting for start date Canopy TreeTrimming; 79 canopy trees were trimmed in November. Beautification; Winter annual flowers should be in before the newsletter. Christmas lights have been put up.

The fountain in Bismarck Lake has been installed. The fountain light in Zack's Lake will be repaired when the ramp is installed since we don't have access anymore. Palm tree trimming should be caught up. Beautification Committee Report: (Director Nessling): Mark has put up all the IGE Christmas decorations. The annual palm tree trimming has been completed. New flowers for the IGE beds have been chosen and will be in soon. Entrada Gate: (Director Nessling) It was another busy month for back gate violations. We had a meeting between some board members, Mark & Sandcastle to discuss improving the communication and policies pertaining to back gate violations. Dan presented a formal "Purpose & Operation of Entrada Gate" description along with its "Rules of Usage" at this meeting. Sandcastle was directed to blast Email it to all residents and post it on the web site. Architectural Review Board Report: (Vice President Toth) Four requests were approved by the ARB in the period of Nov 17 to Dec 14, 2016. There were no pending and no disapproved request. Approved requests included, an addition, repaint, roof replacement, Solar Panels, fence, and remove/replace trees. With respect to the swing set at IC, the approval states that the installation should be done in a manner not to obstruct the lake view of the neighbor. The southwest corner would be an ideal location. The Board approved the ARB report. To obtain an Exterior Change Request form on line: www.igenaples.info, log-in with name imperial and password 2011 or a copy from Sandcastle Community Management and email your request to: sjtoth@gmail.com Please remember that ARB approval is required for the use of PODS, Dumpsters and Port-a-Potties even if the renovations involve only interior changes. Roads and Walkpaths: (Director Castaldini) A the future replacement of the roundabouts in cul de sac with foliage and trees was discussed. Waste Management and other large vehicles cannot negotiate these roundabouts without excessive backing and maneuvering that has resulted to damage to some roads. The project will be moving forward in 2017 with foliage removal to be replaced with a brick or paver medallion insert. 3 Traffic Awareness: (Director Keating) Traffic enforcement within IGE by CCSO (Collier County Sheriff Office) is on a regular basis. Violations and Fining Committee (Director Mugford) Rounds were made on December 13, 2016. Pictures were taken and submitted to Sandcastle Property Management. There are six recommendations for consideration of the fining committee. I would like to have volunteers to help me make rounds of the Estates. I will go with you the first time and explain the process. Most of the inspections are common sense and all that is required is a picture of the violation, address and submitted to Sandcastle Property Management at BethM@SandcastleCM.com. You may pick the dates and time for the inspection. If you are interested in volunteering, please call me, Martha Mugford at 239-269-6899. I am requesting the following: Noble Court need one person who will make rounds twice a month beginning in January. Regal Way need one person who will make rounds twice a month beginning in January. Majestic Court North and South need one person who will make rounds twice a month beginning in January. Duke Drive need one person who will make rounds twice a month beginning in January. Teagarden Lane need one person who will make rounds twice a month beginning in January. Castle Garden Lane Need one person who will make rounds twice a month beginning in January. This is our community and we need everyone s help in keeping property values at the top. Moldy roofs and driveways, commercial vehicles parked overnight, trash receptacles left at curb or put out in advance, lawn clippings left on curb all week, dead trees not attended to, unleashed pets and clean up, rust stains, mail boxes falling down etc. Attention to the overall look of our community is vitally important to everyone. Seven Lot Owners were approved to go to the fining committee. PM Community Manager s Report: (PM McWilliams) Pedestrian gate fobs were discussed. Ramco is working to solve the issue. Newsletter-Estates: (President Harruff): Two new advertisers were added in November Unfinished Business: The Entrada ROW Maintenance Agreement with Marsilea HOA was presented. The motion to approve the agreement and accept a first $1,000 payment from Marsilea HOA was unanimously approved. New Business: The Annual Members Meeting and Election of Directors are scheduled for Monday January 23, 2017 at 7:00 PM at the Imperial Golf Club clubhouse. Please attend or send in your Proxy when it is received. Homeowners Issues: Several addresses were submitted to the board regarding compliance issues such as moldy roofs, roof repair, RV parking, commercial vehicle parking and stained driveways. 2150 Imperial Circle was discussed regarding an unauthorized hedge that has been planted. The ARC did not grant approval for planting. The owner may not plant in the easement. Reminder - It is the responsibility of each Lot Owner to assure that their current contact information is in the Property Manager s data base. That includes local and alternate mailing addresses, local and alternate telephone numbers, email addresses, home watch services, etc. This is important for notices to the entire community of important information like road closures, Estates newsletter and official notifications from the Association including Association Maintenance Fees.
