Facility Viewings Included with the rental are two facility viewings. Additional viewings may be arranged for a $50 fee each. Date of 1 st viewing: Date of 2 nd viewing: Security Deposit A $500.00 cash security deposit is due 14 days prior to rental start date. Damage to the hall or its contents will be deducted from this deposit. Supplementary cleaning will be deducted from this deposit, at a rate of $50 per hour. Fee Schedule In order to hold a requested date, the booking deposit of $350 and this completed form must be submitted for approval. Tentative bookings are not accepted. Security deposit is due 14 days prior to rental start date. Remaining balance is due 14 days prior to rental start date. Projector rental fee (if required) is due 14 days prior to rental start date. Forms of Payment The booking deposit, scheduled cleaning fee, projector rental, and rental balance may be paid via cheque, cash, or PayPal. The $500 damage deposit may be paid in cash only. 2
Conditions The renter must check each box to indicate that he or she has read and understood each of the following conditions: Booking is only complete with confirmation of receipt of booking deposit and completed form. Booking deposit is non-refundable within 60 days of rental start date. Booking deposit may be transferred once to alternate rental start date. Balance of rental fees is due 14 days prior to rental start date. The renter, along with all users and guests are required to adhere to all applicable bylaws pertaining to occupancy of the facility. These include but are not limited to the non-smoking policy, noise limits, and parking restrictions. The renter is responsible for all users and guests for the duration of the rental period. Host liability insurance is strongly recommended by the City of Calgary. The renter is responsible for acquiring and properly posting or displaying all required permits. If liquor is to be served at the event, the renter is responsible for acquiring the appropriate liquor permit and abiding by all terms and conditions of said permit. Failure to acquire these permits will result in cancellation of the event and forfeiture of the security deposit. The renter is responsible for damage to the facility and all property therein. No contents from the hall may be moved to or used outside of the facility. The renter agrees to pay for any damage to the facility or its contents. This amount is not limited to the $500 security deposit. 3
All decorations must be removed by the renter. No decorations requiring nails, pins, or sticky tape are permitted; decorations may be hung with painter s tape, Command Hooks, or Sticky Tack, provided any residue is removed by renter. Glitter, rice, sparkles, and confetti are not permitted on the property. Setup and removal of decorations are the renter s responsibility. The renter is to restore the facility to its pre-rental condition during the rental period. The attached cleaning list is to be completed by the renter during the rental period, unless written permission for an extension is granted by the Glendale/Glendale Meadows Community Association. Supplementary cleaning required to restore the facility to its pre-rental condition will be billed at a rate of $50 per hour and is not limited to the $500 damage deposit. The Glendale/Glendale Meadows Community Association asks that guests and users park in the facility parking lot and along the 25 th Avenue roadway (if required). Surrounding alleys are no parking zones. The Glendale Community Hall is located within the neighbourhood of Glendale, Calgary and is within close proximity to community members homes. The Glendale/Glendale Meadows Community Association and its Board of Directors reserve the right to cancel any rental agreement if any conditions of this agreement are not met. The Glendale/Glendale Meadows Community Association has the authority to remove or have removed from the facility and property any person: Violating the conditions of this agreement, or Using the facility or property for a purpose other than for which the agreement states, or Not complying with the Gaming and Liquor Act, the Gaming and Liquor Regulation, and AGLC policies as well as local laws and bylaws. Cleaning List General - Decorations removed - Garbage put in dumpster and dumpster locked key is included on key ring - Garbage bags replaced from supply room Main Hall, Meeting Room, and Front Entry - Tables and chairs wiped, stacked, and returned to storage area - One table and eight chairs replaced in the small meeting room - Splashes and marks on walls washed Washrooms - Used paper towel placed in garbage bins Kitchen - Stove and oven cleaned - Dishes washed and replaced dishwasher must be emptied - Fridge emptied and wiped - Countertops and sink washed - Cupboards wiped down When Leaving Please ensure that all equipment is returned to the janitor s supply room. Please report any damages immediately. All lights must be turned off. Ensure that the East door (rink side) is securely closed. Lock the front door. Deposit key ring into mailbox beside the front doors. 5
