Instructions for Agents This information is to assist you in the completion of the application and leasing process. Availability: Showing a Unit: Keys: Commission: Referral Fee: Forms: Applicant Income: Unit availability is listed on our website at www.united-rico.com. Each unit page will show the available move-in date, rent rate, deposits and special conditions. To better serve our residents, we require a twenty four (24) hour advance notice before a unit is shown. United Realty will contact the residents, on behalf of out-of-house agents, regarding the showing date and time. All keys can be picked up and returned to the United Realty office the same day as showing. If keys are held overnight they must be returned by 9:00 am the following morning. A $100.00 fee will be charged for unreturned keys. Key requests should be made at least an hour in advance of pick up and prior to 4pm. Commission of 50% of the rent rate is paid if the agent is a TAA member and completes all application and leasing paperwork. Agent commissions are paid on the 15 th of each month after the following conditions are met: 1) Agent provides United Realty with a current W-9 and invoice and 2) Resident must pay the first full month s rent in its entirety. Resident must also be in good standing with United Realty for 90 days from the move in/lease start date. If resident defaults on the Lease Contract within this 90-day period, the Agent Commission will be due back to United Realty within 10 days after Agent receives notification from United Realty and payment must be in the form of a check or money order. Agents have the option of showing a unit and turning over the applicant to United Realty to complete all of the required applications, monies collection, lease contract and signings. In place of a commission, a 25% referral fee will be paid to the agent if the applicants are approved, move-in to the unit, be paid in full and remain in good standing, for 90 days. Required forms can be found on our website or can be picked up at our office. Gross Monthly Income may be shown in one of the following manners. All documentation should be submitted with the application. United Realty will make verbal confirmations with employers where required. Paystubs all applicants will be asked to produce consecutive and most recent pay stubs demonstrating a minimum of three (3) months income from the application date. Income can be demonstrated by providing any combination of current or prior employment or the prior year W2 for each applicant. Handwritten paystubs are insufficient documentation for income verification. Offer Letters will be accepted only when the applicant has been in the job for less than 30 days. All employment offer letters also require the most recent paystubs from prior jobs meeting the three (3) month income verification and offer letters must be verbally verified for authenticity. A letter of employment on official company letter head, for jobs that have not yet started, may be accepted at the sole discretion of the management company. Additional Sources of Verifiable Income maybe considered. These sources include: child support, grants, pensions, GI benefits, disability, trust funds, social security and savings accounts. If any additional sources of income listed above are considered, written verification must be provided directly from the supplier. If written verification cannot be obtained the applicant must provide six current consecutive months of bank statements confirming receipt from the supplier. Savings, Stocks and Bonds may be considered in lieu of employment or other monthly income if the vested balance shows at least three (3) times the annual market rent. A Valid Form I-20 may be considered to fulfill the verifiable income requirement. Self-employed persons will be required to provide the most recent tax return and six (6) months of their most current bank statements and a copy of any relevant unexpired business license. Full Time Student: Proof of Full Time Status; Students must provide a current or following semester schedule showing at least twelve (12) credit hours. If the applicant is not enrolled at the time of application a letter of acceptance to the college or university may be accepted at the sole discretion of the management company. Applicant Credit: Application Packets: Credit Report from Tenant Tracker or CBC Innovis must be included with each application. United Realty can run this required report for $35 per application. Married couples may apply jointly and credit can be run together. Please submit the application packet in the following order. INCOMPLETE PACKETS WILL NOT BE ACCEPTED. 1. In-House Contemplated Lease Terms- signed by each prospect 2. Application(s) 3. Valid Government Issued ID with each corresponding application 4. Animals- current vaccination record, pet screening questionnaire, pet deposit b. International Applicants- I-20, J-1, or H-1 and Supplemental Application c. HUD- copy of voucher and request for inspection packet 8. Agent Invoice Payments: NO CASH. Security Deposit, Pet Deposit, Application Fees and Guarantor Fees must be paid with money orders, checks or online credit card payment through Paylease. Online payments can be made through our website at www.united-rico.com. Receipts for online payments must be included with the application packet. Application Fees are non-refundable. Lease Contract United Realty requires the TAA Residential Lease Contract, addendums, applications and forms (unless otherwise noted). Leases for Townshire Manor should use the TAA Apartment Lease. Leases must be TYPED and be the most current version from TAA. No white out is permitted. A $100 processing fee will be deducted from agent commissions if United Realty creates any of these forms for the agent. Owner s name can be found using Brazos CAD. Check the appropriate dwelling type. List any occupants under the age of eighteen (18) who will be residing in the unit. Persons not listed on the lease may not stay more than 2 consecutive days. Lease terms are for 1 year unless noted in an approved lease offer. Leases should not end on a Friday, Saturday or day before a holiday. To avoid confusion on dates the agent can check with United Realty before lease signing. A 120 day written notice of termination or intent to move out is required. Security Deposit amounts can be found on the unit detail page on United Realty s website. Security Deposits do NOT include animal deposits which are noted separately on the Animal Addendum and found on United Realty s Pet Guidelines. One key is issued per resident. All units are unfurnished unless specifically noted on our website. Rent is payable at 727 Graham Road, College Station, TX 77845 and is payable to other United Realty. Pro-rated rent is calculated by the number of days the unit is occupied to the number of days in the month. Pro-rated rent is due the first month on the move-in date. Rent is due on the 1 st of the month and is late after the 3 rd. Initial late charge is $35, plus $10 per day. Returned check fees is $50. Initial pet violation fee is $100 and a daily fee of $10 per animal. There is a $50 charge for utilities not properly being transferred in/out of United s name. Proof of utility connection will have to be provided to United Realty by the resident before they are allowed to move in. Insurance is not required. Special Provisions should be noted on Paragraph 10 of the Lease Contract or on the TAA Special Provisions Addendum. A list of the special provisions for each unit can be located on our website when you are logged in as an agent or procured from our office. If the special provisions are not included on the lease contract it will be returned to the agent. Repairs and Service Calls: Resident will be responsible for the first $0.00 of any repair or service call. Yard Maintenance: (1) mark us if owner is providing lawn care or the resident has chosen to have lawn care included at an additional monthly rent, otherwise mark you (2) Mark you, watering the lawn is the resident s responsibility (3) Mark you, keeping lawns, flowerbeds, sidewalks, porches, and driveways free of trash and debris is the resident s responsibility (4) Neither is responsible for fertilizing lawn and plants. Interior Pest Control and Trash Receptacles: (1) City Utility, (2) You, the resident must repair or replace broken or missing trash receptacles. Select checkbox one unless the resident(s) would like to have the security deposit check returned to a specific single individual, then identify them here by name. The name listed must be one of the residents on the lease contract. Move out notice: the move out date is the exact day designated in the notice, check the second box. Addendums Lease Contract Addendums vary with each property. A list of the required addendums for each unit can be found on our website at www.united-rico.com when logged in. Leases without the required addendums will be returned to the agent as incomplete. Inventory and Condition: Animal Addendum: Lead Hazard Disclosure: Bed Bug Addendum: Electrical Submetering: Mold Information: Security Guidelines: Affordable Housing: Satellite Dish or Antenna: Garage, Carport, Storage: An Inventory and Condition Form is required with each lease and will be given to the resident at move-in. The animal addendum is required for any approved pet in the unit. Paragraph 4: The animal deposit should be noted here in accordance with United Realty s Pet Policy, which can be found on the form About Our Leasing Process. Paragraph 6: should reflect the additional monthly rent of $25 per animal. Paragraph7: The one-time non-refundable fee is zero ($0) Paragraph 9: Each animal, and its information should be listed. Do not list multiple animals on a single line. Paragraph 10: Note any special provisions required by the owner or United Realty. The following statement must be included: Resident is responsible for the pickup and removal of animal feces. Paragraph 11: Emergency contact should be listed, but is not required. Paragraph 12: Animal may urinate or defecate only in a litter box inside or yard area outside. This addendum is required for any unit or property built before 1978. Lessor (owner) has no knowledge of leadbased paint and/or lead-based paint hazards in the housing, unless explicitly stated. Lessor (owner) has no reports or records pertaining to lead-based paint and/or lead-based pain hazards in the housing, unless explicitly stated. The Bed Bug Addendum is required with each Lease Contract. Paragraph 3: Residents will inspect the dwelling within 48 hours after move-in and notify us of any bed bugs or bed bug infestation. Paragraph 4: Residents must check one of the boxes in this paragraph acknowledging that they are not aware of any infestation at their current or previous home, furniture or possessions OR that if they had a previous infestation that all of their property has been treated by a licensed pest control professional. They must disclose the information about the previous infestation and be prepared to provide United Realty with documentation of the treatment and allow inspection of their personal property to confirm the absence of bed bugs. Some of our units have sub metered electricity and require the Electrical Submetering Addendum. Paragraph 3: The bill must be paid to the same place where rent is paid. Paragraph 4: The reconnection fee is $10. Mold Information and Prevention Addendum is required with every lease. Security Guidelines for Residents is required with every lease. The Lease Contract Addendum for Units Participating in Government Regulated Affordable Housing Programs is required with any lease where the resident is participating in a government housing program such as Section 8 or HUD. If a resident wants to install a satellite dish or antenna, then the Lease Addendum for Satellite Dish or Antenna must be part of the lease contract. United Realty does not require an additional deposit in paragraph 10. Units with an enclosed garage, carport or storage unit will require the Lease Addendum for Enclosed Garage, Carport, or Storage Unit. United Realty will provide a garage door opener for each vehicle spot, ie. 2 remotes will be provided for 2 car garages. The replacement cost of the opener in paragraph 6 is $150. Rent Concession: Every lease whose rent rate is less than the market rent rate should use the Lease Addendum for Rent Concession or Other Discount. The difference between the market rent and agreed rent for the unit should be listed on the addendum as a monthly discount. In paragraph 4, the resident(s) will be required to immediately repay us the amounts of all concessions and/or discounts if they fail to pay all of their obligations for the rent due under the Lease Contract. Both boxes in paragraph 4 should be checked. Remote Control, Card, Etc..: This addendum is required for any unit that a remote control, card or code access gate are present or provided. Paragraph 2: Each additional remote control or card will require a $50 non-refundable fee. Paragraph 3: The replacement cost of lost, stolen or damaged remote controls and cards is $50. Intrusion Alarm: Special Provisions: Washing Machine: Legal Description: The Lease Addendum for Intrusion Alarm is required for any unit with an alarm system present. Paragraph 2, the activation or use of the alarm is at the resident s discretion. Paragraph 3: The City of Bryan requires a permit be issued to activate an intrusion alarm system and residents may contact The City of Bryan Records Department at 979-209-5345. The City of College Station does not require a permit but does require notification from the resident. They may contact the City of College Station Police Department at 979-764-3600 and will be required to provide the name and contact information for three key holders. Paragraph 4: Alarm instructions will be provided to the resident at move-in. Paragraph 5: The resident will have to make arrangements for the alarm system and may choose their own alarm company. The repair and maintenance line should be left blank or enter n/a. Paragraph 7: Residents should contact the intrusion alarm company if the alarm malfunctions and the cost of repair will be paid by the resident. This addendum should be used if the required and agreed upon special provisions will not fit in the space provided in Paragraph 10 of the Lease Contract. Units with washer connections and leases where the washing machine IS NOT provided by the owner require the Lease Addendum for Washing Machine. Units with washer connections and leases where the washing machine IS provided by the owner do NOT require the washing machine addendum. If the owner is providing the washer and dryer it will be noted on the unit detail page of the website. The legal description of the property is available through Brazos cad or on our website in the unit detail page. Any lease over one year in length requires the Legal Description Addendum. Additional Forms Lease Video Acknowledgment: The Lease Video Acknowledgment form is required for all leases completed through e-signature. The video serves as a walkthrough of the lease contract in place of a sit down with the agent. Roommate Agreement: Move-Out Instructions: Useful Maintenance Tips: The Roommate Agreement should NOT be part of the Lease Contract but SHOULD be offered to each resident with roommates for their own personal use. United Realty does not recognize or enforce agreements or arrangements made between roommates. Move out instructions are available on our website under the Forms section for residents to view. Residents are not required to sign the form on the website, but it is available for their information.
