Anyone wishing to have an issue placed on the agenda must request it in writing and supply Management with the necessary paperwork by the Thursday before the meeting. The next Board of Trustees Meeting is scheduled for Thursday, August 17th, 7:00pm at the clubhouse. Please feel free to join us in the Clubhouse for our meetings! Best Regards, Lynn Kelly, Property Manager Pool Bathrooms Please be considerate of others and clean up after yourself when using the pool bathrooms. If you drop pieces of paper do not leave them on the floor. Be mindful to dry your wet bathing suit off before coming into the building. Do not leave liquid soap across sink. Other residents use the facility too. The cleaning people do not come on a daily basis. All children must be accompanied by adult in bathrooms. Children are not permitted to play and make a mess in the bathrooms. Cleanliness is a health issue and we live in a beautiful community so please take pride in the way we keep things. Continued from page 1 If the mess continues we will need to hire a cleaning person every day to clean the mess and your maintenance fees might need to be raised to pay for the extra expense. Expired Pool Passes Please do not reuse expired pool passes at the pool with 2015 or 2016 stickers. We do not allow pool passes to be reused as they expire at end of season on Labor Day. Residents are required to return old expired pool passes and purchase new pool passes if they want access to the pool facility for guest. We recently found a resident using expired pool passes. We keep track of the pool passes and the guards turn the pool passes into the office. If we find expired pool passes the guards are questioned and tell us who gave the expired pool passes. The board will make the resident responsible to pay for expired pool passes. The resident found using expired pool passes will not be admitted into pool facility until paid, will be required to bring check to Clubhouse office, maintenance account may be charged and possible fine applied. KPI2 Roofing/FWH Engineering Phase I of the roofing project has been completed. FWH Engineering is working on the punch list for KPI2 Roofing. A few cable wires on buildings that are loose, soffit at building 29 will be taken care of shortly. The flat roofs on the Condo buildings will be completed this fall on phases I and II. The flat roof areas on the condo buildings contain the air conditioning units and are located in the areas of the roof openings. To avoid the inconvenience of disconnecting the AC units during the warmer weather, the board agreed to postpone the work to the fall when the cooler weather is here. A notice will be sent to the Condo owners regarding the flat roof work and coordination with unit owners who may want to replace their air conditioning units at that time. Phase II roofing project will be scheduled spring 2018. A Big Thank you to FWH Engineering and KPI2 Roofing on a job well done. We look forward to working with you on phase II. No one has the Property Manager s permission to tell the guards to let them into pool facility with expired pool passes. No one has the board permission to enter pool facility with expired pool passes. There are NO exceptions for any resident. 2
JML Landscaping JML Landscaping is in process of trimming / pruning the shrubs. The mulch at building 16 is on schedule as it was postponed due to the Roofing work at this building. R&R Tree Removal R&R Tree Removal recently removed trees and trimmed branches throughout the development. We will need to trim tree branches off new roofs in phase I per the warranty. The board will discuss if we have in budget for the fall. Summer Poops to Goops As summer begins, please make sure you have plenty of pet waste bags for your walks. If you do not have one, use a plastic grocery bag. It is important to pick up after pets as it is a health safety issue, it can create the spread of germs that will affect the entire community and in warm weather, the poops get mushy. Residents may step in the pile of goop from a pet and bring it into their home. Especially children playing in the grass may step in pet waste. I ask please pick up and be considerate to all. It is the law, it is a rule & regulation and you have a fiduciary responsibility as a pet owner. If you are seen not picking up pet waste there is an automatic fine of $150.00. Playground The playground was closed recently due to vandalism. We are currently getting proposals and this takes time. We want to get it operational as quickly as possible. We will keep you updated. If you do see vandalism, please call the police immediately and report it. We have cameras outside the Clubhouse for security purposes. 3
Moving Out Please remember to contact Midlantic Property Management at 732-828-7200. Ask Diane to remove your name off ACH automatic debit. Ask Lyndsay to remove your name off the Stat com system. This is homeowner responsibility. Bring your keys and coupon book to the closing for the new purchaser. PSEG Just a reminder PSEG selects a few units every month to change out the meters. You will or have already received a letter from PSEG, this is a homeowner responsibility. You must call PSEG to schedule an appointment. Townhome owners the gas meter is located on back of patio the green pipe. Condominium units only you must schedule during normal business hours as PSEG will need access to utility closet on side of building. They must come into the office and sign in. Property Manager will give the PSEG technician the code for the lockbox to obtain utility key. We explain to them to close/lock door and put the key back. Vanderhaven Farm Towing Resolution Amendments The parking privileges of any resident, member or tenant of any member, of the Association who is at least sixty (60) days delinquent in the payment of any installment of common expense assessments, maintenance fees, violations or other charges including attorney fees, will be automatically revoked. Thereafter, that member s vehicle will be considered illegally parked for the purpose of this resolution. Any vehicle being utilized by a delinquent resident, member or tenant may be subject to towing. Any resident on a Board approved payment plan and is current will not be subject to towing. Parking Sticker Registration Please remember if you purchase a new vehicle, it is your responsibility to come to the clubhouse office and register the vehicle. Make sure to bring your license, registration and insurance card. The Property Manager will give you a form to fill out or you may obtain a form on the Vanderhavenfarm.com website under forms. I will issue you a new sticker that you will place on the backside of your vehicle s rear view mirror. I have been currently walking the property and checking for vehicles with no Vanderhaven Farm Sticker on the backside of the rear view mirror. We will be towing vehicles that do not have the Vanderhaven Farm Sticker. Please take the time to come in as it does not cost to register the vehicle and only takes a short amount of your time. You may download an application from the website at VanderhavenFarm.com go to forms. All contractors must be licensed and have a certificate of liability turned into the Property Manager. A sketch and description of materials being used must be submitted with application and certificate of insurance as well. The Board approves all modifications at the meeting held once a month on the third Thursday. All windows must have uniform grids and all doors must match color. Forms must be submitted one week before board meeting. No resident is allowed to change the structure of his or her unit. The trusses in the attic are not to be changed or altered in any way. Attic stairs are not to be added and you do not have permission to cut the trusses. Storage is not allowed in Condo / Townhome units in the State of New Jersey. Clubhouse Rentals Hosting a Party for a holiday, birthday or an event Why not rent our Clubhouse with (4) rooms connected, Kitchen area, Living Room area, Sitting Room area and Dining Room area all connected. View of a gorgeous fireplace (view only cannot be used). There are (2) Bathrooms for Men and Women to use. We have a 40-person occupancy allowed by the township and no alcohol allowed due to insurance purposes. Clubhouse rentals must be scheduled 1 week in advance for a party. We must have a completed application filled out with (2) checks: (1) $100 non-refundable made out to Vanderhaven Farm (2) $200 deposit made out to Vanderhaven Farm. When checks are deposited, the check needs time to clear the bank. Then we have an inspection before the clubhouse is rented. Our maintenance team needs time to clean and prep the rooms for use. The homeowner renting the unit must pick up the key on Friday before the weekend of the party. If we are closed for a holiday, please be sure to make any arrangements with the Property Manager to pick up the key in advance. Please do not call the Midlantic Property Management Emergency number to rent a room. This number is used in the case of True Emergencies such as your unit is flooding. If you have an emergency such as a fire or flood, always call 911.
