RE/MAX Infinity PM 3782 Hwy 90, Pace, FL 32571 850-994-1542 Preparing Your Home For Rent As you prepare to vacate your home and make the home ready for new renters, there are a few things that you should keep in mind. RE/MAX Infinity Property Management strives to present and keep clean and well-maintained homes to our tenants. By turning over properties in great condition that are clean and in good working order, we find that we are generally able to secure higher quality tenants quicker, and keep and maintain the houses in the best possible condition longer. In order for us to achieve this, we ask that you prepare the house to the same standards we ask our tenants to leave it upon vacating. In order for us to hold tenants accountable for the lease requirements, we request you complete the following prior to new tenants occupying the home. Please ensure the following is completed prior to your final vacancy: 1. Home has been thoroughly and completely cleaned after you vacate. 2. Carpets have been Professionally Cleaned. 3. Walls have been wiped, holes patched, touch-up painting with matching paint performed. Repaint walls/trim as needed. 4. All appliances are in working condition. 5. All light bulbs (interior and exterior) and ceiling fans in working condition. 6. All smoke detector batteries operable and tested. 7. Air filters changed and A/C drain line cleared with Bleach or Vinegar. 8. All personal belongs removed, including those in the garage. a. Anything not removed will be considered disposable unless specifically noted in writing to RE/MAX Infinity. b. Do not lease lawn equipment, fertilizer, tools, old paint (unless 100% match to walls), oil, etc. 9. Lawn and shrubs should be maintained and in the condition tenant should be expected to maintain. a. Mulch and weed flowerbeds. Trim plants and shrubs away from house. b. Trim trees away from roof or house. c. If you have extensive landscaping, or wish to ensure that the lawn is maintained in sell-ready condition, speak to a manager about enrolling in a lawn care service monthly or quarterly. 10. Siding, soffits, driveways, patios should be pressure washed or free of algae and mildew. 11. Florida Law requires all windows have exterior screens. Please make sure they are all in place and free of holes/tears. 12. Make sure all locks are operational and are keyed to 1 key if possible. In the event that you are unable to complete the above, or if you need assistance in scheduling work to be completed, please don t hesitate to contact our office, as we would be happy to help. Once you have completely vacated the property and delivered keys to our office, our inspector will walk the property to ensure it is ready for tenants. If any discrepancies are found during the walkthrough, we will arrange for the work to be completed prior to the tenant s occupancy. Please understand that the above items are necessary in order for us to deliver the house to the new tenants in movein ready condition. The following services are included, but not limited to: Property Evaluation: A professional property manager will evaluate your home and give you a suggested price for renting your home. Suggestions will also be given regarding any improvements or repairs that may be needed to get the best rental price possible. Property Marketing: A professional and internationally recognized sign will be placed on the property. Numerous high quality photos of the property inside and out will be taken and the home will be listed in some of the most recognized internet search sites available; including MLS, Zillow, Trulia, Floridarentalads.com, Postlets, Hotpads, and hundreds of other syndicated sites. Prospect Showings: A leasing representative from our office, or a licensed realtor will show your home to all prospective tenants. In rare circumstances, keys may be issued to prospective tenants to view a home in the event the home is vacant, no representatives are available, and once the prospective tenants have been interviewed in our office and copies of identification are processed. Tenant Screening: A thorough credit, criminal, employment, background, eviction, social security, and sexual predator search will be completed on all adults who wish to occupy a home. Only those tenants who pass all of the criteria will be approved to move into a home. Under special circumstances, an owner may be contacted for additional approval. Lease Preparation: A detailed and attorney prepared lease will be completed prior to the occupancy of any tenant, in which all adult occupants must sign. This lease is written in a way to be enforceable, and provide as much protection to you, the homeowner, as possible. Professional Accounting: Our office utilizes state of the art accounting software to keep up with and track all of the funds associated with your account. You will receive monthly statements that can be accessed 24/7 online detailing any and all transactions in your account. Year-end reporting will also be provided for tax purposes. Payments of funds are direct deposited into your bank account on the 10 th of each month 1. Rent Collection: Tenants are able to pay rent online with credit cards or e-checks or in our office with cash or checks 24 hours every day. 1 Payments are direct deposited on the 10 th of each month, or the following business day if the 10 th falls on a holiday or weekend. rmxipm.com info@rmxipm.com
Inspections: Comprehensive move in inspections are completed at every vacancy with hundreds of photos, notes, and documentation. During every tenancy, inspections are completed inside and out to check for violations, damage to properties, and for unauthorized occupants or pets. Move out inspections are completed at the end of every tenancy with hundreds of photos and notes detailing any discrepancies left at move out providing evidence for security deposit claims and disputes. Maintenance Coordination: A full time maintenance coordinator in our office is responsible for ensuring all repairs ordered at your home are completed quickly, professionally, and any damages caused by a tenant or guest of the home are appropriately billed. Owner Reporting: Monthly statements are e-mailed each month detailing all of the expenses and income for the selected period. These statements can be accessed 24/7 online through our website. Additional advanced reports can be provided upon request. Full year-end summary reports are provided along with 1099 documentation for tax purposes at the beginning of each year. Bill Payment: Repairs, HOA dues, and any other expenses relating your property will be paid in a timely manner out of your available rental proceeds. Invoices and detailed statements of all expenses are provided detailing all expenses 2. Eviction Processing: In the event that an eviction becomes necessary, our office, along with support from our attorneys 3, will coordinate all paperwork and documentation to ensure the eviction is completed quickly and efficiently. Lease Violation Processing: Our office works diligently to ensure that any lease violations are corrected as quickly and efficiently as possible. We work on a case-by-case basis depending on the violations, and will strive to reach compromises when applicable, or pursue legal action when necessary. Move Out Processing: With each tenant move out, our office will complete a detailed move out inspection, thorough documentation regarding the condition of the home, make security deposit claims in accordance with Florida Statutes, handle any deposit disputes, and prepare the home for rent as quickly as possible. Accessible and Educated Staff: One of the most important services we provide is our knowledge and experience. Our staff completes monthly training, continually educates themselves on changing laws, learns best practices, and strives to improve our services to you. We are always a phone call or e-mail away, and are happy to discuss any concerns you may have or answer any questions that may come up during our management term. 2 Invoices provided upon request. 3 Attorney retainership is subject to additional fees.
Management Agreement Quick Reference Guide 1. Fees RE/MAX Infinity follows a very simple fee structure for all of our properties. Tenant Procurement Fee: 40% of the monthly rental rate. This fee is charged in addition to the management fee with each new tenant placed into the property. This cost is used to cover the expense of advertising, showings, administrative paperwork and file creation, lease preparation, and initial property inspection and reporting. Management Fee: 10% of the monthly rental rate (Charged Monthly) This fee is charged each month the property is under management and occupied. This cost covers the day-to-day management, rent collection, inspections, maintenance coordination, tenant service, rent disbursement and owner statement preparation. Legal Services Program: $10.00 per month ($120/Year) In the event legal action is needed to be taken to remove a tenant, or enforce the terms of the lease agreement, this fee covers the retaining of our attorney to perform the necessary steps of filing notices or processing evictions. Technology Fee: $10.00 per month ($120/Year) This charge allows RE/MAX Infinity to maintain digital records of all inspections, photos, documents, keep and acquire new and updated software systems and provide digital security through all our systems and software, access to online owner portal and 24/7 access to statements. 2. Owner Payments Owner payments are distributed by direct deposit on the 10th of each month (if the 10th falls on a weekend or holiday, the deposit will be made the following business day). In the event rent has not been received by your tenant or cleared our bank account in time for the deposit, subsequent deposits will occur throughout the month on an as needed basis at our discretion. 3. Statements Statements are sent via e-mail on the 10th of each month, or the following business day. At the end of the year, a full year-end report will be sent via e-mail to you along with a 1099 sent via post, documenting your rent income and expenses. If additional reports or documentation is needed, please contact our office. 4. Maintenance Throughout the lease agreement with your tenant, maintenance items will need to be addressed. Our management agreement gives RE/MAX the authority to authorize repairs we feel are necessary up to an amount of $400.00 (per occurrence/not per invoice). If the repair is going to exceed this cost, we will make every effort to contact you prior to approving the repair. We will authorize emergency repairs as soon as we learn of them in an effort to protect your property. If it is determined that a repair was needed because the tenant caused the issue, we will invoice the tenant and refund any paid invoice to you upon receipt of those funds. Unfortunately, we cannot use your contractor, vendor, family member, or friend unless they are on our approved vendor list, nor can we contact you prior to every repair needed.

Enforcement of lease agreement. Rent collection. (Tenants may pay online, with credit card, by mail, or in office) Maintenance coordination and follow-up. Direct deposit of rent proceeds. Oversee and coordinate HOA violation corrections. Respond to and correct lease violations. Inspection of the occupied property during the lease. Service of late notices and eviction processing. What is not included: RE/MAX Infinity is not a Debt Collector. We are unable to personally pursue for damages and lost rent once a tenant has been removed from the property. We can recommend actions based on the situation. RE/MAX Infinity is not licensed as an attorney. We are unable to provide legal advice or counsel. RE/MAX Infinity cannot guarantee rent by a tenant. We take as many precautions as possible to ensure good tenants, and work as hard as we can to keep tenants paying rent and paying on time. RE/MAX Infinity cannot guarantee the condition of any property upon occupancy/vacancy of a tenant. We take as many precautions as possible and remain proactive in order to find good tenants who will care for a property, and will take all actions possible to secure and restore a property as quickly as possible in the event of damages. 9. Preparing Your Home For Rent: As you prepare to vacate your home and make the home ready for new renters, there are a few things that you should keep in mind. RE/MAX Infinity Property Management strives to keep properties in the best possible condition between turnovers, and as a result tenants are required to professionally clean the house, professionally clean the carpets, touch up paint the walls, and ensure that there are not any mechanical defects that they have caused. In order to make sure we can hold tenants accountable to those standards upon move-out, the home should be presented to them in the same condition. Please ensure that the home has been fully cleaned, carpets have been professionally steam cleaned, all odors have been removed the home, any damage has been repaired, holes have been patched and painted, all appliances are in working order, light bulbs are all working, all personal items have been removed, lawn is mowed and all shrubs are trimmed, and beds are mulched. Make sure there is at least 1 working garage remote for each bay of a garage (if electric garage opener is present).

Pictures are great at showing off the house but fail to give an accurate depiction of the space and flow of the home. These tours allow tenants to walkthrough the entire home and see each room as if they were walking through it in person. They can also use virtual reality headsets to fully immerse themselves in the home and details. If you would like to add this tour to your marketing package, we are able to secure a very low rate of $150.00 (approximately a $500 value) for the scanning and hosting of your property. This is a one time fee, and the tour will be stored on our server for years.
