MINUTES OF THE GENERAL MEETING OF RAYMOND TERRACE AND DISTRICT HISTORICAL SOCIETY INC HELD ON FRIDAY 21 st SEPTEMBER 2012 AT RAYMOND TERRACE SENIOR CITIZEN S HALL, RAYMOND TERRACE Informal meeting opened at 7.15pm with President MS in the chair. Business arising from the Minutes: Subject Item Action By: Sad News Our past member Oscar Carlson passed away very recently. GF The husband of a lifelong member of the Lemon Tree Passage Historical society has also passed away. Keith Grey is recovering from a serious heart condition. Glenys Grey is also unwell. Glenys Francis has resigned from Council, and we d like to acknowledge what a wonderful job she has done in the role, and will be sadly missed as an advocate for the community. Glenys was awarded Freeman of the City, which is a huge honour. GF says that we will have to be very diligent to try and get things done with the make-up of the new Council. GF is happy to liaise with Council on our behalf. Moved JS and seconded EG the motion stated by MS. Pioneer We have had only a few RSVPs for Pioneer Dinner so far. TH Dinner Secretary s Report & Correspondence (See attached correspondence list for June-Sept) There is an account paid in full by GF for the Fairfax Account. Bank account statements, change to Telstra pricing, and Electricity account. Various newsletters and email newsletters. Moved EG seconded HM that Secretary s Report be accepted. Motion carried. Treasurer s Report We need to start having money coming in, as we are in loss for the year. We will need to cash in one of the term deposits to publish Moira s book. Moved TH seconded BS that Treasurer s Report be accepted. Motion carried. Research Report We have been plodding along nicely. We are now not likely to be into the new library until early next year. We have been receiving a lot of research requests by email and at the rooms. We are also waiting on money from several people who have ordered photos, the account is for $195. MS will send a reminder on this. We have also had two lots of people from Port Stephens Historical Society asking about our agreement with the Library. They have not made many friends in the area. They have a totally

different agreement with the Council. So we are advised by GF not to pass any of this information on to them. Oak photos were lent to Sue Thomas the curator of Morpeth Courthouse Museum. The lighting of the courthouse event was held at Morpeth. It was a bit of a shambles, with not all the light going on as planned. They have had the photos already for 12 months, and we would now like them back. They want to extend the loan by around 12 months due to the popularity of the exhibition. The secretary will send a letter asking for the photos to be returned by the end of October. Moved EH seconded HG that Research Report be accepted. Motion Carried. Curator's Report BS would like to refute the fact that MS has no curatorial skills, and has been learning a lot on the job. We had a lot of success last Monday. We have now been able to identify items on the computer, with their old catalogue cards. This is a very positive step forward in the process. Moved BS seconded EG that Curator s Reports be accepted, Motion Carried. General Business Subject Item Pioneer Dinner Garage Sale Newsletter Trivia Night LB and TH got together and printed all of the invitations to older families in Raymond Terrace that they could think of. They worked with EH and MS to get together a list. Around 50 invitations were sent. Daryl Lightfoot sent a nice letter, and he is unable to attend due to a commitment in Sydney on the day. He wanted to wish us the best for the event. The Pepper Family has accepted. The Berry family have given an alternate contact. Invitations for the dinner will be going out to members this week. We were looking at engaging a bush poet for the dinner, and someone needs to contact him. We need to officially ask him, he may do it as a donation for the cost of a meal. GF will contact. Rather than a band, we will have some background music EG will coordinate with PF. MS will get some quotes for a cake. We could approach Council for some money towards the event. GF will be meeting with Peter Gesling next week, and will try to get an indication of what support we can expect, and more details about the Friday night event as well. We need to be approaching the Examiner for more publicity. Sarah Price is keen to do a story. We need to have a garage sale. The 17 th is the Business Groups Santa Day on the main street. Could have a stall at the markets advertising the Sunday Garage Sale. Look at having the Garage Sale on Sunday the 18 th of November. Not everyone received their email copy of the Newsletter, and copies have not been left at the research rooms. Proposed to have another trivia night on Friday the 19 th of October. We will have hampers as prizes. Cost set at $10 per person with supper included. Dunmore Bridge Will be too difficult to move without a cover. So we will not be loaning the Bridge Model. Cultural Meeting Need someone to go on Tuesday the 25 th of September. MS will put the hard word on PF tomorrow afternoon. Will also ask about Knightland Security accounts. Invitations to be Delivered Meeting closed at 8.22pm. TH has some Pioneer Families that she will hand deliver invitations to.

Next meeting: 7pm 16 th November 2011 at Raymond Terrace Senior Citizen s Hall. October meeting is cancelled due to the Trivia Night.
