Service Area FAQS Under current NAR Policy, associations are encouraged to establish multiple listing services that encompass natural market areas and to periodically re-examine such boundaries to ensure that they encompass the relevant market area. To follow this policy, and to provide the best possible service to California brokers, CRMLS periodically re-examines the boundaries of its service area and may expand its area based on current listing volume in particular regions. This may mean that new regions are added to the CRMLS service area. To clear up any confusion about the definition of the service area, we ve prepared answers to some common questions real estate professionals may have. If I am not a CRMLS user (i.e., I am not a member of a CRMLSparticipating AOR/BOR), but am engaged in the business of buying and selling real estate in a service area covered by CRMLS, do I have to input my listings into CRMLS? No. Real estate professionals who do not subscribe to CRMLS are not bound by CRMLS Rules and Regulations. If I am a CRMLS user, and am engaged in the business of buying and selling real estate in a service area covered by CRMLS, do I have to input my listing into CRMLS? Yes. If you are a CRMLS user, and your listing is within the CRMLS service area as currently defined, you must input it into CRMLS. Pursuant to article 7.8 ( Mandatory Submission ) in the CRMLS Rules and Regulations, CRMLS user input of listings within the service area is mandatory. The only exceptions occur when the seller of a listing specifically elects not to have their listing entered into CRMLS. No. Unless CRMLS specifically communicates that such a consolidation has taken place, there has not been a merger or addition of participating Associations. Expansion of the CRMLS service area is not the same as, and does not imply, MLS consolidation. When the CRMLS service area expands, it is due to the number of listings CRMLS has in the areas being added. Compliance Top 5 MLS Rules Violations & How to Avoid Them The MLS Rules exist to protect your rights as a real estate professional and to protect the accuracy of MLS data. Receiving a citation for an MLS Rules violation is never fun. A citation can cost you money, and potentially hurt your standing with your association/board. Most rules violations are unintentional and can be easily avoided. Follow these tips to steer clear of the most common violations! 1. No photo Section 11.5 For each property you list in the MLS, you must upload AT LEAST ONE exterior photo. Failure to do so will result in a citation. Tip to avoid: When you finish inputting your listing information and click Submit Listing you will immediately be taken to a page confirming your listing submission. On that page, below the confirmation, you will see a button labeled Add/Edit Photos. Add your exterior photo RIGHT AWAY! Don t let it wait. Even if you don t have time to upload all your photos, adding just one exterior will save you from receiving a citation. It s a great idea to snap a few images of the exterior of the property with your smartphone to ensure you can easily upload at the time you enter your listing into the MLS. 2. Agent branding in photo Section 11.5 Agent branding is NOT allowed to appear in MLS listing photos. That means agent headshots, phone numbers, email addresses, For Sale sign, or any other reference to the listing agent or brokerage. MLS listing photos are to be used ONLY for advertising the property itself, never the listing agent. Tip to avoid: Double check all your photos BEFORE uploading. 3. Late entry of listing (mandatory submission) Section 7.8 As a member of the MLS, you are obligated to enter a listing into the MLS within 2 business days of the seller signing the listing contract, or submit a seller-signed exclusion (SEL) in accordance with Section 7.9. Tip to avoid: DON T WAIT to enter listings into the MLS. There is no exception for not entering your listing into the MLS or submitting an exclusion within 2 business days to the appropriate entity CRMLS or your association/board. 4. Misuse of property description Section 12.5 Verbal descriptions in MLS listings, like listing photos, are to be used for the sole purpose of marketing and describing the property itself, not the listing agent. Property descriptions must be devoid of showing information like lockbox or security codes for the safety of property owners. Tip to avoid: Proofread your property descriptions and ask yourself this question: Does this text do anything OTHER than describe or market the property itself? 5. Inaccurate information Section 8.3 When you submit your listing to the MLS, you are confirming that all information included is accurate and up-to-date. Inaccurate information such as a false Tax ID, incorrect square footage or bedroom count will result in a citation, as will incorrect listing status, such as showing a listing as active when it is in escrow. Tip to avoid: Creating a new listing and entering all required fields can be a long process, but don t forget to PROOFREAD when you finish. We re available 7 days a week at crmls.org/support and (800) 925-1525. How do I update my personal contact info in Matrix? Click the Add/Edit tab. Under Roster, type your Agent or Office ID into the Quick Modify Agent/Office ID field, then click Edit. Under Select Form, click Change Contact Information. Update your information and Preferred Contact Order. When finished, click Submit Member. How do I create an automatic email? From any search results page in Matrix, click Save, then select New Auto Email. Choose a contact (or create a new contact) to receive the email. Type a subject for the email in the Subject field. Matrix will display a default message in the Welcome Email and Recurring Email fields; you may edit these. Select the dates and times you d like the emails sent. Then click Save. How do I opt-in to Zillow and Trulia?* For agents: Click the Add/Edit tab. Under Roster, type your Agent ID into the Quick Modify field and click Edit. Under Modify Member, click on Manage Syndication. To opt-in, find the Syndicate To section, and click the box next to Zillow/Trulia in that section. Finalize by clicking Submit Agent. How do I update the status of a listing? Click the Add/Edit tab. In the Quick Modify drop-down menu, select the listing you want to update. Under the Select Form section, you will see options to change the listing status to Active, Active Under Contract, Pending, Sold, Hold, and Withdrawn. Click the status you want. MATRIX From here, you will see a variety of fields that you need to complete, depending on the status. Fill out as many fields as possible. Required fields are highlighted in yellow. When you are done, click Submit Listing. *Syndication is at your broker s discretion. If Manage Syndication does not appear, contact your broker directly to determine your syndication options.
