To participate in Housing Selection, you must meet the following eligibility requirements: No holds of any kind on your student account. Meet the required occupancy of the type of housing you request. Complete this workbook to develop your roommate grouping and corresponding housing preferences correctly. For more information on Housing Selection 204, visit housing.rit.edu and click on the "Housing Selection 204" link on the right side. 3. Complete an online housing contract at myhousing.rit.edu between December 2-8. NOTE: The housing contract you need to complete will not be available until midnight on December 2. If you are not going to request a roommate through the Housing Selection process, you can bypass all the roommate group formation information and go directly to page 8 for general Housing Selection information. 3

EXAMPLE & INSTRUCTIONS EXAMPLE: STEPS 4 Carefully review the following example. Every group member needs to work through these steps carefully. This example shows a group of four students who want to live together. As you move through the example, you will see how the group of four students complete two alternate roommate breakdowns and housing choices. It is critical that your group do this as well in order for RIT Housing Operations to know who from the main group wants to be roommates and where the smaller roommate groups want to live if there is no housing available to accommodate the size of the main group. In this example, Bill is the group leader of the roommate group. Because the group would like to have the maximum number of chances to be assigned to housing that fits their main group size, they decided to list all possible housing options for a group of four students in their Main Group Housing Preferences. YOU COMPLETE THIS SECTION STEP Determine who you would like to be your roommate(s) for the next academic year. Groups can consist of 2, 3, 4, or 6 students. Write your roommate(s) name(s) here. STEP 2 You and your roommate(s) need to decide who among your group will act as your group leader. The role of group leader is very important! Each person in the group will complete a housing contract online and list his/her housing preferences. The group leader, however, will be the only one of your group to complete the Housing Selection Group Formation section on his/her contract. The Housing Selection Group Formation section informs RIT Housing Operations who is in the group and which of you will live together in a smaller group if your main group is broken down into smaller groups. Pick your group leader wisely! STEP 3 Select a unique and appropriate name and password for your group. Names must be at least five characters long. Passwords cannot be the same as the group name. Your group leader will use your group name and password on the Housing Selection Group Formation section on his/her contract. EXAMPLE & INSTRUCTIONS EXAMPLE: STEP 5 Using our example of four roommates, the group also needs to show RIT Housing Operations how they want to be divided into smaller groups and where each smaller group would like to live if housing for a group of four students is not available. The group of four students first alternate choice is to break into two subgroups of 2 people. Bill, the group leader, is always listed first. Charles wants to live with Bill in the event of a group split, so his name is placed under Bill s. Together, they list their housing preferences, making sure to choose housing that has a 2-person required occupancy. Andrew and Regis follow the same process and form Subgroup 2. YOU COMPLETE THIS SECTION STEP 5 The first group split occurs when there is no available housing to accommodate the size of your main group. In this step, you will decide and document how your main group will break down into smaller groups (subgroups). Write your group leader s name in the blank space with the star next to it. List the roommate(s) who wants to live with the group leader in the box labeled Subgroup. Repeat this step as needed until all roommates are accounted for. EXAMPLE & INSTRUCTIONS EXAMPLE: STEP 6 Let s continue with our example. In Step 5, the main group split into two groups of 2 people. Now, the two subgroups have the opportunity to show one more split, along with housing preferences for the split. Bill, the group leader, decides that if housing is not available for his main group or his first subgroup (Bill & Charles), he is interested in living alone. He lists his housing preferences. Andrew and Regis do not want to break their first subgroup, so they write their names in the next available subgroup box (Subgroup 3). Rewriting Andrew and Regis housing preferences is not necessary, but writing their names in Subgroup 3 facilitates the group ordering process in the next step. YOU COMPLETE THIS SECTION STEP 6 (IF APPLICABLE) If any of your subgroups in Step 5 contain more than person, you may divide those groups again into another smaller subgroup. Start by listing your group leader on the blank with the star next to it. If your group leader was placed into Subgroup by him/herself in Step 5, copy his/her name down anyway. This will help in determining the group order later. Subgroup Housing Preferences Subgroup Member Names Subgroup Housing Preferences If Subgroup in Step 5 has more than one person, continue splitting Subgroup until all people in Subgroup in Step 5 have been written down in this step. Do not skip boxes in this step. For example, a second person in Subgroup in Step 5 cannot be placed into Subgroup 3 in Step 6, only Subgroup or 2 in Step 6. Once you ve finished splitting everyone in Subgroup in Step 5, continue by splitting people in Subgroup 2 in Step 5, and finally Subgroup 3 in Step 5. If any of Subgroups, 2, or 3 do not wish to be split further, write the names of every roommate in the subgroup in the next available empty subgroup box and move on to the next group. Again, do not skip boxes (if Subgroup 4 in Step 6 is filled, then Subgroup 3 in Step 6 should be filled, too). If a person was placed in a group by themselves in the first split, you should copy his/her name down in the next available subgroup in this step then skip to the next subgroup. This facilitates the group ordering process. YOU COMPLETE THIS SECTION STEP 7 If you ve followed Step 6 correctly, you can simply copy every group member s name in the order that you listed them in Step 6. Reminder the order in which your names are listed in this box, in addition to your housing preferences, will tell RIT Housing Operations who wants to live with whom if the main group cannot be housed and subgroups need to be used. GROUP LEADER Collect your roommate's university ID numbers. You will need them to complete the Group Formation section of your housing contract. When filling out the Housing Selection Group Formation section of your online housing contract, you must enter the university ID numbers of your roommates in the exact order you've listed them in Step 7. Housing Selection Group Formation 2 3 4 5 6 The system will prevent anyone from being a member of two groups. If a student is already a member of another group, you will get a message telling you that the student cannot be found when you try to add them to the group.

EXAMPLE & INSTRUCTIONS EXAMPLE: STEP 8 Let s take a look at how Bill s housing preferences will look on his housing contract. Bill first copied the housing preferences that his group decided on in Step 4. Then, Bill copied the housing preferences under his name in Step 5. Finally, Bill copies the housing preferences that he finds in the box under his name in Step 6. Notice how Bill copied the housing preferences in the exact order that they were written in Steps 4, 5, and 6. YOU COMPLETE THIS SECTION STEP 8 In this step, you ll write your own specific housing preferences for your group setup. Keep in mind that everyone in your group may not have the same housing preference order! To start, copy the housing preferences in order from Step 4 onto this list. Next, look for your name in Step 5 and copy the housing preferences found in the box that contains your name. Finally, look for your name in Step 6 and, if applicable, copy the housing preferences in order that are found in the box containing your name. You re done! When you go online at myhousing.rit.edu between December 2-8 to complete your housing contract, this is the order that you ll enter your housing preferences. Your Housing Preferences 3

EXAMPLE & INSTRUCTIONS STEP 9 Complete Housing Contracts Everyone must go to myhousing.rit.edu and complete a housing contract. The group leader can only complete his/ her housing contract after all other group members have completed their housing contracts (see below). Housing contracts must be completed between December 2 8. This timeline is strict. Housing contracts for the 204 205 academic year will NOT be accepted after December 8, 204. GROUP LEADER ONLY Once everyone else in your group has completed their housing contract, you will complete your housing contract and, unlike the other group members, you will also complete the Housing Selection Group Formation section of your housing contract. See pages 6 and 7 for group leader specifics. In our example, this is how Bill s housing preferences would look on his online housing contract. TIP We highly suggest you all get together and sign up at the same time. This will ensure that everyone completes a contract by the deadline, shares their university ID number, inputs their housing preferences in the correct order, and that the group leader completes the Group Formation information correctly. In our example, this is how Bill s Housing Selection Group Formation page would look after adding his roommates in the order he listed them in Step 7. 4

INSTRUCTIONS HOW TO WORK THROUGH THE HOUSING SELECTION GROUP FORMATION SECTION OF THE CONTRACT GROUP LEADER INFORMATION. Click the tab Housing Selection Group Formation. 2. Click Create a New Group. You will be asked to enter your group name and password. 3. Click Add Roommates. Add your roommates in the same order they are written in Step 7 in your workbook using their university ID numbers. Continue until all roommates are added. 4. Once all roommates are added, you must click Verify Group. 5. Continue on to finish your contract. AFTER APPLYING FOR HOUSING Once the group leader completes the Housing Selection Group Formation section and hits the Verify Group button, an individual email will be sent confirming that you have been added to the group. The email is informational and you do not need to take any action regarding the email. 5

INSTRUCTIONS HOW TO LEAVE YOUR GROUP If you decide you no longer want to be in the group, you need to go back to your housing contract, select the Housing Selection Group Formation section, and click on leave group. If you remove yourself, the group leader will receive an email informing him/her that you have left the group. GROUP LEADER ONLY If you are informed someone has removed him/ herself from the group, you need to take action. You can talk to your remaining group members and decide on a replacement roommate and add him/ her to your group by going back into the Group Formation page of your contract and adding him/ her and verifying your group again. You can also decide not to add a new roommate; however, those of you remaining will want to recall your contracts and redo your housing preferences to accommodate your new group size. Afterward, you must go back to your contract and verify the group again. If your group decides to replace a student who has removed him/herself from the group, be sure the order of the names on the Housing Selection Group Formation page of your contract remains in the proper order. See the next page for an example on how to properly replace a roommate. 6

EXAMPLE REPLACING A ROOMMATE In this example, the group decides to replace cad5793 with srk852. srk852 is going to room with Bill if the main group cannot be assigned together. Before Bill adds srk852 to the group, he must first delete aid943 and rtd8503 from the group in order to place Sam in Charles old spot. After srk852 is added, aid943 and rtd8503 can be added back in the order they were originally placed in the group. 7

MORE INFORMATION WHEN YOU GET YOUR ASSIGNMENT 204 205 housing assignments will be made by RIT Housing Operations. Your housing assignment will be available on the portal myhousing.rit.edu under the confirmation tab. Assignments and roommate information will be available at myhousing.rit.edu on January 30, 204. HOW HOUSING ASSIGNMENTS ARE MADE Every eligible student who registers to participate in Housing Selection Phase II will be offered RIT housing. Assignments will be made in class standing order with current first-year students going first, followed by second-, third-, fourth-, fifth-, and sixth-year students. If you are a current freshman whose class standing has risen above the first-year status due to AP courses or course overloads, for the purpose of Housing Selection, you will remain in the first-year grouping. The residence halls, RIT Inn, a limited number of RIT apartments, University Commons suites, and Global Village suites will be offered to students in Phase II of Housing Selection. Some students will be placed in temporary housing through this sign-up process; however, beginning spring semester, assignment staff will work to reassign all students in temporary housing to permanent housing. Housing preferences are not guaranteed. Students may be assigned to RIT housing that has not been listed as a preference. Within each year level, students will be randomly ordered by a computer program. This random ordering will not occur until the day assignments are made. QUESTIONS?
