Clubhouse/Pool Use Rental Agreement The clubhouse may be reserved by any Amidon Estates POA member in good standing (dues current, no current violations), who is at least 21 years of age and for the purpose of hosting a single event. Reservation dates will be confirmed upon receipt of this signed agreement and after the rental payment clears - no exceptions. Deposits will be returned upon check-out approval. The maximum duration of any one reservation is 4 hours. Failure to comply with any portion of this agreement will result in forfeiture of the security deposit. Terms of Use Cancellation must be received not less than 24 hours prior to the reservation period. Member must be present at the event during the entire reservation period. Member will adhere to the maximum occupancy of 40 persons in the clubhouse. Member will ensure that persons under the age of 21 will not have access to alcohol. Member will pay for any damage not covered by the security deposit. Member acknowledges that Amidon Estates POA officers have the authority to deny a rental for any reasonable cause, in a uniform manner. Member acknowledges that Amidon Estates POA officers have the authority to void the Rental Agreement and require all guests to leave in the event that rules are broken. Set up and clean up must be completed within the reserved time frame unless other arrangements have been approved. In order to ensure the availability of volunteers, rental time cannot be extended at the time of event. Clubhouse only rentals will be restricted to the clubhouse and must not expand to the patio area. Clubhouse will not be used after 11 PM for any event. At 10 PM music must be turned down to appropriate levels within the building. Member will not use the clubhouse for personal gain, profit, commercial use or charge a fee to any guest. No fundraising events for any clubs or organizations may be conducted without prior approval from a member of the Board. Smoking is permitted in the parking lot only and at least 6 ft. away from the entry door. Member will provide a receptacle for, and the collection of, cigarette butts. If additional parking is necessary, guests are asked to park along Amidon Drive below and in front of the parking lot, and not along private residents properties. No pets are allowed in or around the clubhouse or pool area (with exception to service animals). Only painter s tape is approved for securing decorations to the clubhouse walls or ceiling. No lighting or other fixture shall be used in securing decorations of any type. If renting both the clubhouse and pool the following additional rules will apply: o The number of swimming guests is limited to twenty (20). o All guests must abide by the posted Pool Rules, Pool Hours, and sign Amenity Rules for Guests on the following page. o Picnic tables and chairs may not be reserved at any time. o Smoking is restricted to the designated areas on the far side of the patio. By signing below I acknowledge that I have read, understand and agree to abide by the Terms of Use outlined in this agreement and that non-compliance will result in the forfeiture of my deposit. Amidon Estates Amenity Rules for Guests 1. Pool hours are 7 a.m. to 10 p.m. 2. Lifeguards are not present and all swimmers are doing so at their own risk. 3. An adult must remain with children under the age of 14 at all times. 4. Alcohol is permitted in PLASTIC CUPS OR ALUMINUM CANS ONLY. Glass containers are not permitted anywhere in the clubhouse or pool deck area. 5. Approved smoking areas depend on the type of rental - please ask your host/hostess. 6. Food, drinks and smoking are not permitted IN the pool or at the pool edge. 7. Personal radios and amplifying devices shall not be directed toward the pool and not played loudly. 8. Weapons of any kind are strictly prohibited from the clubhouse, pool, tennis court and parking lot. 9. Pets, bikes, skates or skateboards are not permitted in the parking, pool, deck or tennis court area. 10. Fighting, violence, or vulgar language will not be tolerated. Any damage to POA property will result in revocation of the member s amenity privileges as well as guest liability to repair damaged items or areas. 11. Obscene activity, including but not limited to swimming without appropriate swimwear, will result in loss of member s amenity privileges. 12. Guests will be asked to leave for non-compliance to any rule. 13. The baby pool is for children 4 years and younger. 14. Any person who is incontinent or not fully potty trained must wear appropriate waterproof pants when entering or being carried into the pool. ****** GUEST SIGNATURES I have read, understand and agree to abide by the Amidon Estates Amenity Rules for Guests. Clubhouse/Pool Use Rental Agreement Cont. Committee member: Please make sure cleaning supplies, extra trash bags and the vacuum are left out prior to each rental. Supply room must remain locked during rental period. Sign this page and place pages 3-5 in the black box. Reserving members: Advanced arrangements must be made with a rental committee member for a walk through before and after your event. Any damage to property must be discussed at this time. Take all trash to large can located on the left and rear side of clubhouse. Replace bags. Vacuum all carpet, sweep all floors, and return furniture to original placement. Remove all food and drinks from refrigerator and clean any spills inside. Address and report any food or liquid spills that have occurred on the carpeting. Remove all personal belongings. Amidon Estates is not responsible for items left behind. Reset A/C to 79 Turn off lights. Security light remains on. Lock both lower locks and upper deadbolts to all doors to the outside, and hall.
