GENERAL RULES AND REGULATIONS IMPORTANT: To avoid disqualification, participants should comply with all the Eisteddfod rules. 1. ENTRY FORMS AND FEES 1.1 REGISTRATION OF AFFILIATES Each teacher, coach, person or school enrolling participants for the Eisteddfod, must register annually as an affiliate. There is no cost involved. Registration are done electronically via the website, www.nelspruiteisteddfod.co.za Affiliates without internet access must please contact the discipline chairperson. 1.3 DETERMINING PARTCIPANT S AGE GROUP Entries will only be processed if they include the participant s date of birth. Age group will be determined by the participant s age on 15 August 2015. (i.e. if a participant is 10 years old on 15 August 2015 he/she will be entered as u/11). Please note: PRIMARY SCHOOL = Grade 1 7 SECONDARY SCHOOL = Grade 8 12 1.4 ELECTRONIC ENTRIES Entries open on 13 th March 2015 ONLY ELECTRONIC ENTRIES WILL BE ACCEPTED. TO ENTER, PLEASE FOLLOW INSTRUCTIONS ON THE HOME PAGE: www.nelspruiteisteddfod.co.za The Eisteddfod cannot be held responsible for incorrect information supplied by the affiliates. Please contact the discipline chairperson for any enquiries. 1.5 DETAILS ON ENTRY FORMS All information requested on the electronic forms must be completed. Verify details, especially age, school, grade, item number, code and spelling of the participant s name, as it should appear on the Eisteddfod certificate. Ensure that participants are enrolled in the correct category. Teachers will be held responsible for supplying accurate details. Incorrect information may lead to the disqualification. Remember to include the additional SP code when entering disabled participants. No work may be presented in more than 1 section. No work may be performed by a participant for 2 consecutive years. A participant may only enter once per item. Participants may only perform in one age group when entering for individual items. Groups will be entered under the age of the oldest participant in that group. Entries close on Friday 15 May 2015. 2015 General Rules 3 / 6
1.6 WITHDRAWAL OF PARTICIPANTS Any participants withdrawing from the Eisteddfod will forfeit their entry fee. Once entry fees have been processed, they can, under no circumstances, be refunded. If a participant withdraws, he/she cannot be replaced by another participant -certificates are pre-printed and therefore no name changes can be made. Should a cancellation be necessary, please inform the Discipline Chairpersons without delay (telephone numbers on page 1). 2. PROGRAMME No draft programme will be supplied. The final programme will be available on the Eisteddfod website on Thursday 18 June 2015. Any late programme changes will only be allowed if they are approved by the Discipline Chairperson. These changes will be accommodated after completion of the days programme. Please note that the Eisteddfod will not be able to accommodate time or date clashes with extra mural activities, due to organisational complexities. Should there be any problems, please discuss this with the Discipline Chairperson. While the Eisteddfod does its utmost to ensure the smooth running of each discipline, there are factors beyond its control which may affect the final programme. Should any changes be unavoidable, where ever possible, we will notify affiliates via email. Requests for program changes or movements must be communicated via email to the respective chairperson. The email inclusive of the response from the chairperson must be handed in at registration. 3. VENUES All performances (except choirs) will take place at the Nelspruit Theatre and Community Hall, situated at the Civic Centre, Nel Street, Nelspruit. Choirs will perform at the Church Unlimited, situated on the R40, ±5 km outside Nelspruit, in the direction of Barberton. Please note that the mayoral chambers and municipal offices are strictly out of bounds and that no musical instruments may be tuned or played in the foyer. 2015 General Rules 4 / 6
4. REGISTRATION (during the Eisteddfod) All participants must register 30 minutes before their performance, except in the case of the Dance Discipline where 60 minutes will be applicable. Registration tables will be situated in the foyer of the Nelspruit Theatre. 5. CERTIFICATES Adjudicators will award certificates according to the following scale: 90+ A++ Outstanding PRESTIGE 85 89 A+ Excellent GOLD 80 84 A Very Good GOLD 75 79 B+ Good SILVER 70 74 B Mastered SILVER < 69 C Fair BRONZE Individual participants will receive an adjudicator s report and an Eisteddfod certificate at the end of their session. Group entries will receive one group certificate. However, if additional individual certificates are required, all names must be entered correctly. Please note that for groups of 5 or more, there will be an additional fee of R5.00 per certificate. The adjudicator s decision is final and no discussion with teachers / parents will be allowed. This may lead to disqualification of the participant. Re-adjudication will not be allowed. Adjudicators may disqualify participants if they do not adhere to all the Eisteddfod rules. 6. AWARDS Awards will only be made to participants entering the Competitive Sections. The minimum qualifying mark for an award is 85%. Adjudicators may withhold an award if they deem the standard of work inadequate. Awards will be presented by the adjudicator at the end of each individual Competitive Section. To qualify for the Versatility Trophies, participants must enter a minimum of 3 disciplines. These trophies will be awarded during the Eisteddfod Showcase. 2015 General Rules 5 / 6
7. LANGUAGE AND DRESS CODE No prejudicial material, derogatory language, costumes or gestures will be allowed during any of the performances, and may lead to disqualification. No texts of a sensitive political or blasphemous nature will be allowed. Please ensure that the performance contents are appropriate and agerelated. 8. DISABLED PARTICIPANTS Special arrangements have been made to accommodate disabled participants. They may enter any item and will be assessed in a separate section. Please add the relevant SP Codes to each entry. EISTEDDFOD SHOWCASE 17 September 2015 The showcase evening will be held at the Nelspruit Civic Centre on the 17 th of September 2015. The Versatility Trophies will be awarded to the winners at this event. When choosing acts for this evening, various criteria will be used. These include entertainment value, quality of performance and variety. 10.
