Your lease expires on Tuesday, April 30 th, 2013. All rooms must be vacated on this date by noon. Exceptions apply to those students wishing to reserve for extended stays; the enclosed Reservation Request Form must be completed and returned to the Bishop Mountain Hall desk no later than Thurday, April 17, 2014. Please read the following pertinent information carefully as it contains information regarding your move-out process: EXTENDED & LONG TERM STAY Those students wishing to extend their stay for a few nights, weeks, or into the summer months, must complete the attached RESERVATION REQUEST FORM. This form must be received at BMH by April 17, 2014. Please note that all students wishing to extend their stay beyond one week will be required to move. Extensions of stays are available till August 14 th only. Rates for extended stays are as follows: Room rental charge: Daily $30.00 Monthly $600.00 NOTE: Extended stay requests are subject to approval from your Building Director. MOVE-OUT PROCESS: (For those staying long-term and having to move residences, please remember that you are still responsible for the move-out process as described below.) DO NOT LEAVE ANY ITEMS IN THE CORRIDORS/HALLWAYS ETC. THEY MAY BE MISTAKEN FOR ITEMS TO BE THROWN OUT. RESIDENCE MANAGEMENT WILL NOT BE RESPONSIBLE FOR ITEMS LEFT IN CORR1DORS, HALLWAYS, ETC. STORAGE If you wish to use the hall storage facilities over the summer holidays, your belongings must be packed in boxes or trunks. Mark each item clearly with your name, student ID number, room number, and date. Space is limited; therefore storage is on a first come, first serve basis. Please contact your Porter during their work hours from Monday to Friday, prior to April 17, 2014, to arrange for storage. Note that starting Monday, April 14, BMH will have boxes and packing tape available for you to purchase. The price is $1.00 per box and $1.00 per roll of tape. Please note that McGill University assumes no responsibility for items left in storage. You may wish to purchase personal insurance for your goods if they are not already covered. Upon your return for the fall semester 2014, please remember to contact the Hall Porters to arrange for the retrieval of your belongings from storage. Note that the porters are not here on Fridays, Saturdays and Sundays during the summer months. All items in storage will have to be removed no later than by Friday, August 29, 2014. Any items left after this date will be removed and discarded. MAIL Unfortunately, Canada Post does not offer a mail-forwarding service for university residences. For this reason, we encourage you to change your address with all those who may send you mail throughout the summer months i.e.: McGill, credit cards, magazine subscriptions, banks, cellular phone companies, etc.. DEPOSIT REFUNDS All deposit refunds for hockey room keys, bed boards, blankets, etc. must be claimed no later than April 30, 2014. NON-PERISHABLE FOOD ITEMS & CLOTHING Bring your non-perishable food items to your Porter and support the FOOD FOR THOUGHT food bank helping McGill s students. Food For Thought is part of the Yellow Door. A collection box will also be available at BMH front Offices. You may also drop any clothing you no longer need at your Porter s office so they also can be put to good use by needy people in our community.

VACATING ROOM You are required to leave your room as you found it, clean and free of debris. Extra cleaning charges will apply to any room with garbage or items remaining in room. Please ensure that you: a) Remove all masking tape, fun tac, hooks, and scotch tape from walls, windows and doors. b) Empty all drawers, cupboards, and shelves. c) Remove all litter and recycling items from your room and empty into the proper containers. Please contact your Porter to obtain garbage bags if required. Note also that during the last week, recycle bins for paper only will be setup on the landings of every floor. d) Remove all graffiti from your walls and room door (inside and out). e) Replace, In your room, any furniture you may have put into storage at the beginning of the school year. f) Remember to leave the mattress pad on your bed as you found it. DO NOT SWEEP YOUR GARBAGE INTO THE HALL CORRIDOR. ANY HALLWAY FOUND TO BE LITTERED WITH GARBAGE, ROOM OBJECTS, ETC. WILL HAVE EXTRA CLEANING CHARGES APPLIED TO THE WHOLE WING/FLOOR. Defrost Fridge: Your fridge is a part of your room furnishings and must be left in your room (and not in the hallway or bathroom area) defrosted and clean. Once your fridge has been cleaned, plugged it back in your room in it s place. We recommend you start this process a few days before moving out as it can be a lengthy process. To defrost the fridge: 1. Unplug fridge- empty all contents. 2. Empty water from drip tray to avoid spillage which will damage the flooring. DO NOT LEAVE FRIDGE IN THE BATHROOM OR IN THE HALLWAY AT ANY TIME. 3. Wipe down the defrosted fridge with a damp cloth. 4. Re-plug the fridge. ATTENTION All keys must be returned to the BMH Office upon move-out. Only once the keys are returned, is a resident considered moved-out. Any resident (or their belongings) found in the residence halls after having returned their keys, will be treated as a resident extending their stay and will be charged a $30.00 nightly fee until they and their belongings have vacated the residences. The corridors or other public areas of the residences may NOT be used to store your belongings. The same $30.00 nightly fee will apply.

ROOM INSPECTIONS Room inspections will be made soon after you move out. Please be advised that your student account will be charged for any extra work required to repair or replace broken furniture, which was not previously recorded on your room inspection sheet. Furthermore, charges will also apply for all additional cleaning of walls and furniture. Remember, the room and its furnishing are to be left in the same condition they were found. Here are a few examples of charges that could apply: Broken / missing bed frame / mattress $125.00 and more Extra cleaning/painting of wall/room $50.00 to $200.00 Removal of graffiti on door (in or out) $ 25.00 Door re-painting $ 50.00 Broken furniture per unit replacement price Fridge replacement $275.00 Cleaning / defrosting fridge $ 50.00 (see note above) If you wish to be present during the inspection of your room, please contact Varun at BMH at 514-398-6367 prior to Thursday, April 18, 2014 to arrange for an appointment. If you do not contact BMH, your room will be inspected without the benefit of your presence. KEYS Please ensure your room door is locked prior to vacating your room. All keys must be returned on your departure date to Bishop Mountain Hall directly during the hours the office is open, otherwise slide them through the mail slot located on the main doors of BMH. The keys must be together and identified with your name, room number and building. MOVE-OUT CHECK LIST Extend your stay beyond April 30th, noon @ BMH, if needed, by THURSDAY, April 17. Arrange Storage with Porter by THURSDAY, April 17.. Change mailing address with: banks - credit cards - subscriptions phone provider - etc. Collect all item deposits (i.e. hockey room keys, bed boards, blankets) @ BMH by Wednesday, April 30 th. Remove all graffiti, tape, fun tack and hooks from walls & door. Empty all drawers, cupboards and shelves. As of Monday, April 28, deposit paper recycling inside the bin located on your floor landing. Leave your empty cleaned recycling bag/can inside your room. Pick up & dispose of all litter & sweep the floor (not into the hallway!!) You may ask your Porter for extra garbage bags. Defrost, clean & re-plug the fridge. Do it early to allow enough time!!! Get furniture (if any), stored with your Porter at the beginning of year, back into the room. Close all windows & draw your curtains. Making sure to leave your room the way you found it on move-in, will eliminate the chances of being charged for extra cleaning fees and/or damages. All done & Ready to go? **Lock the door** and Bring the keys to BMH! Have a great summer!
