Executive Summary Visitor parking management is a challenge for many condominiums. Whether it s due to being located in a highly urban area or next to a high-traffic destination such as a school, university, or office tower, the challenge is real. Boards of directors and property managers often contact us looking for solutions to these challenging problems. This document will outline: The most common visitor parking problems Typical policies that condos put in place to restrict and control visitor parking How to use Condo Control Central s powerful reporting capabilities Our visitor parking feature has been designed to solve all of the most common problems encountered by our customers. The Visitor Parking module is a powerful feature of Condo Control Central which works with your existing policies to help manage and enforce your visitor parking rules and regulations. Most Common Visitor Parking Problems When we hear from condo boards and property managers, they are often looking to solve one or two of the most common visitor parking problems. It s rare when the problems are not solved once they subscribe to Condo Control Central. The Visitor Parking module works with our customers existing practices and effectively meets their needs. The most common problems with visitor parking are: 1. No enforcement of the parking spaces 2. Residents taking advantage of visitor parking 3. Owners having multiple vehicles but only one spot and are unwilling to rent an additional spot No enforcement for the visitor parking spaces A common problem many of our customers face is their visitor parking rules have never been enforced. Condo Control Central helps control this problem by logging and keeping track of all visitors requiring parking. This allows your security/concierge to track and ticket any vehicles which are parked without authorization. Condo Control Central keeps a detailed record for each visitor, including: license plate number, the vehicle s make & colour, and relevant in and expiration times. When visitors leave, you can simply sign them out of Condo Control Central and their record is closed. Page 1
Condo Control Central also allows you to print an individual parking permit (using the parking permit printer) for individual visitors. These permits include all of the information shown above. The visitor then places the permit in their vehicle for easy viewing during parking patrol. Residents take advantage of the visitor parking spaces Another frequent complaint is with unit owners taking advantage and abusing the visitor parking rules. The Visitor Parking module helps by showing you how many times a unit has used visitor parking in regard to the building s rules. Furthermore, Condo Control Central can generate a report showing how often visitor parking is used on a unit-by-unit basis. Condo Control Central can also generate a report showing all of the valid parking permits for your building. This can then be used by your security team to check your visitor parking spots and issue parking tickets as necessary. Residents have multiple vehicles, but only one spot, and are not willing to rent a spot It s pretty common in buildings to have residents who own multiple vehicles. This creates the issue of residents using visitor parking as a second or third parking space. If visitor parking is not controlled, these residents will often park their vehicles in the building s visitor parking spaces on a continuous basis. Condo Control Central allows you to register resident vehicles in the system. You can then search the unit file by a license plate to see if a particular vehicle belongs to any of your building s residents. Our reporting feature also gives you a complete overview of your residents vehicles (as long as they re registered) in Condo Control Central. It also gives you a complete overview of visitor parking usage over a specified time period for a specific unit. Page 2
Typical Visitor Parking Policies In addition to solving the common issues that our customers have, Condo Control Central is also flexible enough to work with your existing policies for visitor parking. Two common policies that we see across the industry are: Visitor parking only being enforced in the evening or overnight. Limits imposed on the number of permits issued per unit per month. Visitor parking only enforced overnight Our flexibility allows us to tailor a solution to more specific problems so naturally, the Visitor Parking module can be as well. With CCC you don t have to log visitors at all times. Furthermore, our visitor parking feature does not require permits to be printed at all times so if you d like to keep track of visitors but only enforce parking during certain hours of the day, you can easily do so. Many of our customers only keep track of and log overnight parking permits. This policy works very well with Condo Control Central s flexibility. Limits on the number of permits per unit per month Most condos put limitations on the number of times units can make use of their visitor parking privileges over a given period. Our system allows you to set a hard limit on the number of times a unit can use parking per month. Once this limit is reached, your security team will no longer be able to log any new parking permits for that unit. However, this limit can also be configured as a soft limit so that security guards have the option to override it if needed. This flexibility allows the system to work with your existing policies and procedures rather than forcing you to change. Owners & residents can register their own visitors Using our Visitor Parking feature, your building s owners and residents can also register their own visitors. Through My Visitors they can fill out a new visitor form and print their own permit. The visitor record they save shows up in the Security & Concierge Console with their name and unit number attached for easy reference. The Power of Reporting in Condo Control Central Condo Control Central s reports allow you to see detailed information about vehicles, parking spots, and parking permits. There are two reports that are directly tied into visitor parking: The visitor details report The visitor parking permits report Page 3
Running the visitor details report The visitor details report shows a history of visitors logged for a specific unit within a date range you specify. Running the report is as simple as navigating to the Reports module and selecting it from the dropdown menu. Running the visitor parking permits report The visitor parking permits report shows a list of the visitors that are currently logged in Condo Control Central and have a valid parking pass. This report can be cross-referenced with vehicles that are currently occupying your building s visitor parking to ensure there are no violations.
