NOTES: The EPS Order turnaround time is 24 hours TX Only: EPS only orders HOA statements on REO Files. NPS tasks all REO files to EPS to order the HOA demand when the title commitment has been completed. A Substitute Trustee s Deed and current HOA Certificate must be scanned into the Document Repository before tasking. The HOA Certificate must be less than 90 days old and have no errors. Dallas and Fort Worth do not have HOA Certificates available; these areas would complete the Homeowners Association screen before sending the request to EPS instead. Step 2: Add HOA Workflow Process 2. Deselect Active Only 3. Click Add Process 4. Select EPS Homeowner Association process 5. Click NOTE: The HOA Order task is auto-assigned to HOA Ordering workgroup. Do not start this task. 6. In the HOA Order Task Comments, provide instruction to EPS is HOA documents are required, preferred ordering method is known, or fax/e-mail is missing 7. Repeat steps 3-6 if more than one EPS Homeowner Association request is needed in the file NOTE: When more than one EPS Homeowner Association process is used, the HOA Name is required in each process in the HOA Order task comment. What EPS Will Do Send the HOA Demand/Estoppel request and track it If after two attempts they are unable to obtain an HOA Demand/Estoppel, the HOA Track Back to Escrow task will be assigned to the Escrow Owning Office In Box workgroup If upfront fees are required for an HOA Demand/Estoppel, the HOA Upfront Fees task will be assigned to the Escrow Owning Office In Box workgroup When HOA Demand/Estoppel and/or HOA Status Letter and HOA Documents are received, EPS scans statement document into Document Repository, and the HOA Scanned Only task will be assigned to the Escrow Owning Office In Box workgroup If additional information is needed, the Request Info - HOA or Request Info HOA Update tasks will be assigned to the Escrow Owning Office In Box workgroup Step 3: Monitor and Manage EPS Response Tasks in My FAST Today HOA Track Back to Escrow EPS tasks back to the Escrow Owning Office if the HOA Demand/Estoppel cannot be obtained.
