Please visit ur website at: Abut the Opprtunity Assistant Prperty Manager ( APM ) shall be respnsible fr assisting the Asset Management team n a day-t-day basis with all aspects f prperty management. 2 Opprtunity Requirements Minimum f 3-5 years wrking in a prfessinal ffice envirnment and a minimum f 3 years wrking in a cmmercial real estate envirnment. Cmprehensive understanding f the day-t-day peratins f a Class-A ffice building. Accunting experience required and gd math skills are essential. Must be self-mtivated and pssess excellent phne etiquette, cnvey a highly prfessinal manner and must be highly rganized. Slid understanding f ffice prcedures; typing skills 60+; excellent spelling and grammar; and highly cmputer literate with Wrd and Excel. Summary f Respnsibilities The cre respnsibilities f this psitin include, but are nt limited t the fllwing: General Administratin: Prvide frnt desk and telephne cverage as needed r as back-up t the Prperty Crdinatr. Order and maintain ffice supplies as needed r as back-up t the Prperty Crdinatr. Crdinate ffice mves. Maintain prject, vendr, and tenant files. Ensure all tenant cntacts (legal, billing, premises, emergency) are updated. Accunting: Payables Manage weekly vendr invice ruting/apprval prcess as needed r as back-up t the Prperty Crdinatr. Fllw up n any utstanding invices r incrrect billings and reslve discrepancies in a timely manner as needed r as back-up t the Prperty Crdinatr. Track utility and recurring billing cycles t ensure timely payment fr all invices as needed r as back- up t the Prperty Crdinatr. Receivables Pssess a cmprehensive understanding f tenant rent schedules, lease cmmencement dates, rent abatements, and prrated rents per tenant's lease. Review mnthly Cmmercial Billing reprt and prvide cmments t SPM. Ntify tenants f rent escalatins and changes in billings. Generate current aging reprts n the 5th, 10th, and 15th f each mnth. 2 f 5

3 Cntact tenants via phne r fr utstanding receivables. Prvide SPM with status updates. Review aged receivable reprt and investigate any discrepancies between tenant ledger (verdue balance r credits) and tenant payment status. Prvide updates t SPM. Draft fficial late ntices t tenants as needed, per tenant's lease. Generate tenant late fees as needed. Create and maintain accunt receivables cntact list. Prepare and track tenant utilities, after-hurs lighting and HVAC billings; generate sundry billings in Yardi. Assist SPM with end f the year CAM recnciliatin letters and annual tenant CAM estimate letters. Reprting Prvide Operating Accuntant and SPM with mnthly accrual data. Supprt SPM in preparing mnthly variance reprts. Prepare and submit Tenant Accunt Adjustment Frms (TAAF's) as needed. Review Lease Abstracts frm Revenue Accunting fr SPM apprval. Pssess an understanding f the Tenancy Schedule Review, the Occupancy Cmparisn, and the Terminatins, Hldvers, Future Leases Review, and assist SPM n each as directed. Budgets Assist with annual budget preparatin as directed by the SPM. Assist with mnthly refrecasting as directed by the SPM. Pssess an understanding f year-ver-year budget variances and percentage increases, and value engineer budget as needed. Pssess an understanding f budget t actual variances, and make recmmendatins t bring expenses as clse t budget as pssible. Review vendrs' schedules f wrk and revise as needed fr budgeting r refrecasting purpses. Request pricing frm cntracted vendrs fr a tw-year budget schedule. Wrk with Chief Engineer and SPM t identify and btain pricing fr nn-cntracted and R&M items t include in budget. Ensure accuracy f vendrs' pricing thrughut the year, checking riginal prpsals r cntracts as needed. 3 f 5

4 Track budget n a mnthly basis t ensure that building wrk is cmpleted n time and within budget. Insurance Cmpliance: Assist Risk Manager in btaining timely renewal r submittal f insurance binders fr tenants and vendrs. Prepare incident reprt frms and submit t Risk Manager. Pssess an understanding f tenants' insurance bligatins, particularly in cases f prperty lss r damage, and wrk with SPM t ensure damages are addressed in a timely and apprpriate manner. Prperty Management: Assist SPM with regular prperty walks and preparatin f punch lists. Cnduct regular janitrial and landscape walks alng with the respective cntractr, and prepare punch lists. Fllw up with vendrs t cnfirm timely cmpletin f punch list items. Participate in annual prperty inspectins. Tenant Relatins: Assist Asset Management team in crdinating all tenant and prperty events. Crdinate signage prgram, including directry bards, tenant suite signs, flr directry signs, evacuatin and restrm signs, etc. Prepare and distribute tenant mems and ntificatins. Prepare mve-in packages and assist in crdinatin f tenant mve-ins/uts. Assist in implementatin and cmpliance f tenant lease bligatins. Prepare tenant manuals and emergency prcedures. Maintain and update the building's website n a regular basis. Educate tenants n prject's recycling prgram. Assist SPM in reslving miscellaneus tenant issues. Vendr Relatins: Pssess a cmprehensive understanding f the vendr cntracts, and mnitr vendrs fr cmpliance. 4 f 5

5 Assist SPM in managing the security, landscape and janitrial cntracts, including attending mnthly meetings/walks, tracking vendr perfrmance, and fllwing up with vendr as needed. Prvide an annual schedule f maintenance wrk t the Asset Management team, and ensure vendrs perfrm wrk accrdingly. Back-check scheduled maintenance t ensure wrk is cmpleted per the building's Class- A standards, and schedule fllw up with vendrs as needed. Assist Asset Management team with the cllectin f bids fr prjects, and/r maintenance and repairs. Generate Authrizatins fr Expenditure (AFE's) fr nn-budgeted wrk as needed and rute t SPM fr review and apprval. Wrk with engineering team t cmplete tenant wrk rders in a timely manner. Generate and maintain vendr cntracts, purchase rder dcuments and vendr files. Inspect jb site after service has been perfrmed t ensure that wrk was dne t specificatins. Leasing: Assist Asset Management team in the cllectin and rganizatin f leasing dcuments. Ensure vacant suites are kept presentable fr leasing turs. Wrk with existing tenants t crdinate leasing turs in ccupied suites. Assist Asset Management team with the prductin and crdinatin f leasing bards r ther leasing materials.
