2 BANK OF BARODA BARODA CORPORATE CENTRE MUMBAI NOTICE INVITING TENDER Bank of Baroda, Baroda Corporate Centre, Security Department, Mumbai invites sealed tenders on Two-bid system from competent contractors / vendors carry out Annual Maintenance Contract of Fire Hydrant & Sprinkler System installed at its building Baroda Corporate Centre, C-26, G-Block, Bandra Kurla Complex, Bandra (E), Mumbai , as per the Proforma given in the Tender Format. The interested vendors fulfilling the following conditions may apply in two Bids:- 1. The vendor must have its office / branch and service centre at Mumbai also and should be in existence for the last -5- years. 2. Vendors should comply with all the guidelines in vogue at the time of applying and during the currency of contract period. 3. The vendor must have an average annual turn over of last three years minimum of 5.00 lacs for a work of similar nature. 4. The firm must have carried out at least two maintenance work of fire fighting system of a multistoried, commercial building having area not less than one lac square feet and 2.00 lacs each work per year for the last three years. 5. Agency/firm must have valid Service Tax No. 6. Agency/firm must have PAN No. 7. Agency must have a team of competent / qualified technical personnel. Interested vendors may download the tender forms from Bank s website, and submit along with the Bid being Tender Form cost in the form of a Demand Draft / Banker s Cheque of 200/- favoring Bank of Baroda, payable at Mumbai. The sealed tenders addressed to the "Chief Security Officer" should reach Bank of Baroda, Baroda Corporate Centre, C-26, G-Block, Bandra Kurla Complex, Bandra (East), Mumbai latest by 1200 hrs on The Technical Bids shall be opened on at 1430 hrs. Interested representatives of bidders may remain present during the opening process. Financial Bids shall be opened on a later date of only those, whose Technical Bid is accepted. A separate intimation would be sent to the technically successful bidders. Technical criterion is given in Terms and Conditions as per the scope of work contract. The Offer Letter be submitted along with non-refundable Tender Fees of 200/- (Rupees Two Hundred only) and refundable 'Earnest Money Deposit' of 5000/- (Rupees Five Thousand only) in the form of two separate Demand

3 Drafts / Banker's cheques from any scheduled Bank, drawn in favour of Bank of Baroda, payable at Mumbai. No other form of payment would be accepted. The tender shall remain valid for an acceptance period of 90 days from the date of opening of the Financial Bid. Relevant information / copies of certificates called for should be annexed to the tender. Non-receipt of any information / certificates with the tender may entail rejection of the tender. Submission of tenders in any other format will not be entertained & will, summarily, be rejected. NOTE: 1. The Earnest Money Deposit (EMD) of all the unsuccessful bidders will be returned within a period of -30- days from the date of issuing of work order to the successful bidder. In the case of successful bidder, it would be converted as security deposit. However, in case of the lowest / successful bidder backing out from the terms and conditions mentioned in his tender or refusing to honour his tender, the Earnest Money Deposit (EMD) will be forfeited. 2. Bank reserves the right to cancel one or all tenders without assigning any reason whatsoever. (A). Tender fee amount of 200/- through Demand Draft / Banker s cheque in favour of Bank of Baroda, payable at Mumbai. Earnest Money Deposit amount through Demand Draft / Banker s Cheque for 5,000/- in favour of Bank of Baroda, payable at Mumbai. (B). The envelope for Technical Bid, ENVELOPE No.2 shall be super scribed, TECHNICAL BID for Annual Maintenance Contract of Fire Hydrant & Sprinkler System of BCC Mumbai and shall contain the following: Information as per the Proforma MANDATORY TECHNICAL REQUIREMENT along with copies of the required documents. (C). The envelope containing Financial Bid, ENVELOPE No.3 shall be super scribed FINANCIAL BID for Annual Maintenance Contract of Fire Hydrant & Sprinkler System of BCC Mumbai and shall contain the following: Rates for Annual Maintenance Contract of Fire Hydrant & Sprinkler System, only in the format given in the Tender Document Excluding Service Tax. Submission of Financial Bid In any format other then the provided format or including any attachment other then the Financial Bid

4 as per the format will not be accepted and the Bid will be considered as rejected. GENERAL TERMS AND CONDITIONS: 1. The rates quoted for carrying out Annual Maintenance Contract must be inclusive of all the charges i.e. Transportation, Technicians Fee, TA / DA but excluding Service Tax and any other expenses whatsoever. The total cost for the system quoted in the Financial Bid for Annual Maintenance Contract of Fire Hydrant & Sprinkler System would be considered for finalizing the L-1 bidder. 2. The successful bidder shall have to deposit a sum of 10% of the Annual Maintenance Contract value per year as Security Deposit or in the form of Bank Guarantee of a Nationalised Bank as Performance Guarantee (refundable after expiring the contract) which, in the event of not carrying out the contracted services, as per terms and condition of the tender, shall be forfeited. 3. The rates quoted shall be binding for five years from the date of awarding of the contract and no increase whatsoever will be considered. 4. Payment of Annual Maintenance Contract shall be made by the Bank on quarterly basis after completion of the period against service certificate and invoice. 5. Vendors should comply with all the guidelines in vogue at the time of applying and during the currency of contract period. SCOPE OF WORK 1. The contractor shall carry out periodic maintenance of the system to ensure 100% functionality of the following system: (i). Hydrant main and Jockey Pump. (ii). Sprinkler main and jockey pump. (iii). Diesel pump. (iv). Booster pumps (v). Ensure all Fire Pumps functional on Auto Mode. 2. The Annual Maintenance Contract will include conducting training programme for Bank s personnel regarding the operation of the system during the routine monthly visit at no extra cost. 7. Whenever any part of the system is found defective / inoperative, it shall immediately, be brought to the notice of the Bank for repair / replacement, as the case may be and repair / replacement only after confirmation from the Bank. 8. Any breakdown shall be attended immediately (in any case, within 24 hrs.) 9. A service logbook shall be maintained by the Annual Maintenance Contract vendor wherein all the data related to the visits and services provided could be found. 10. The vendor can inspect the site and system installed at our office during office time up to with prior permission from the Security Department before filling in the tender. 11. The vendor, tendering against the enquiry, shall be deemed to have read and understood all the terms and conditions and familiarized themselves with the site and nature of work and quoted accordingly.

6 12. Disputes, if any, shall be considered to be within the jurisdiction of courts in Mumbai. ENVELOPE - 1 : OFFER LETTER. TENDER TO BE SUBMITTED ON OR BEFORE AT 1200 HRS. Having examined the nature and quantum of work relating to the above mentioned work and having visited and examined the site of the proposed work and having acquired the requisite information relating thereto as affecting the tender invited by you, I / We, the undersigned hereby offer for undertaking AMC of Fire Hydrant & Sprinkler System installed at Baroda Corporate Centre, Mumbai. 2. I / We have also deposited non refundable Tender Fees of 200/- (Rupees Two Hundred only) and refundable Earnest Money Deposit of 5,000/- (Rupees Five Thousand only) in the form of Demand Draft / Banker s Cheque drawn in favour of Bank of Baroda, payable at Mumbai as per details given hereunder : - (a) (b) 3.
