1 Owners interested in renting the Carriage House for private parties must complete a Rental Request Form in consideration of approval. The application must be submitted at least two weeks prior to the requested date of reservation. The Carriage House may only be used for private functions and attendees must abide by the City of Peekskill ordinances and the rules and regulations of Chapel Hill. Renting the Carriage House for business solicitation, fund raising, or any for-profit activities is prohibited. No advertising materials may be displayed in or around the facility. There is an occupancy limit of 40 people. Do not exceed this limit. Rules and Regulations The rental is for the GROUND FLOOR OF THE CARRIAGE HOUSE ONLY. The picnic tables on the lawn, pool and pool area are NOT included in clubhouse rental. These areas are strictly off-limits. Use of or entrance to these areas is a clear violation of the rental procedures and will subject the Renter to loss of use of the amenities of Chapel Hill for a period of time to be determined by the Board of Directors and loss of the security deposit. NO BARBEQUES MAY BE USED OUTSIDE OF THE CARRIAGE HOUSE. The resident renting the facility is responsible for the entire ground floor of the Carriage House including the kitchen and bathroom. Any items hung from the walls or ceiling must be removed and must not leave any marks after being removed. The use of tacks, nails, and non-removable tape is prohibited. All areas must be returned to pre-rental conditions after the function. Trash must be separated into recyclables and non-recyclables and placed in the proper dumpster in the corral near the facility. The Carriage House is a non-smoking facility. Smoking is only permitted outside of pedestrian areas in front of the facility. Smokers are asked to be considerate of passers-by. Music must be kept to a reasonable volume. There should be no music heard outside of the facility. Doors are to be kept closed at all times. Excessive noise, abusive or otherwise unacceptable behavior resulting in complaints may result in the immediate cancellation of the event and forfeiture of the Security Deposit and Rental Fees. 2 Facility Inspections A CHHOA Board member Representative will inspect the facility with you prior to, and following the event. You will be asked to sign a form saying that the facility was in good condition and clean during the pre-event inspection. You may list any and all questionable items on the form. Your security deposit will be returned within two weeks of the event if the facility is found to be in the condition listed on your pre-event form. If the facility is not cleaned properly, garbage is left inside, or there is any damage to the facility or its contents, cleaning and repairs will be arranged for and the amount of these services will be deducted from the security deposit. If the service amounts exceed the amount of the security deposit, the resident will be charged for any amount over and above said security deposit. Hours of Rental The Carriage House can be rented for four-hour intervals during the following hours: Monday Friday Saturday Sunday 12 noon - 9:00 PM 12 noon - 9:30 PM ($25 hour supervisor fee after 6:00 PM) 12 noon - 5:30 PM The fees for rental during these time periods are: $ A refundable security deposit of $ (separate check) is required. This amount will be refunded within two weeks of the event if the facility is left in its original condition. Management will require an insurance rider for the party date from the residents. This rider must be received fourteen (14) days prior to the rental of the Carriage House and must cover potential injury or property damage claims by your guests, business invitees, agents, or employees due to negligent acts or omissions. The insurance rider must name McGrath Management Services, Inc., their agents, employees, Chapel Hill Estate Homeowners Association, Inc., The Pines at Chapel Hill Condominium, The Fields at Chapel Hill Condominium, The Meadows at Chapel Hill Homeowners Association, Inc., Hillside at Chapel Hill Condominium, Orchards at Chapel Hill Condominium, The Lofts at Chapel Hill and other condominiums or associations built at Chapel Hill, the respective boards of the Association and such condominiums and associations (the Boards ) as insured in the amount no less than $1,000,000.
