1 EPS Homeowners Association Process AZ, CA, ID, KS, MO, NV, NM, OR, TX, UT, WA, and Heritage Escrow Use this process to submit a request an HOA Demand request to EPS. NOTES: The EPS Order turnaround time is 24 hours TX Only: EPS only orders HOA statements on REO Files. NPS tasks all REO files to EPS to order the HOA demand when the title commitment has been completed. A Substitute Trustee s Deed and current HOA Certificate must be scanned into the Document Repository before tasking. The HOA Certificate must be less than 90 days old and have no errors. Dallas and Fort Worth do not have HOA Certificates available; these areas would complete the Homeowners Association screen before sending the request to EPS instead. From FASTNav, expand the Escrow Charge Processes 2. Click Homeowner Association 3. In the Homeowner Association Information section, search and select GAB by name or ID NOTE: Create a new entry for each additional Homeowner Association needed for the transaction First American Financial Corporation and/or its affiliates. 2 Step 2: Add HOA Workflow Process 2. Deselect Active Only 3. Click Add Process 4. Select EPS Homeowner Association process 5. Click NOTE: The HOA Order task is auto-assigned to HOA Ordering workgroup. Do not start this task. 6. In the HOA Order Task Comments, provide instruction to EPS is HOA documents are required, preferred ordering method is known, or fax/ is missing 7. Repeat steps 3-6 if more than one EPS Homeowner Association request is needed in the file NOTE: When more than one EPS Homeowner Association process is used, the HOA Name is required in each process in the HOA Order task comment. What EPS Will Do Send the HOA Demand/Estoppel request and track it If after two attempts they are unable to obtain an HOA Demand/Estoppel, the HOA Track Back to Escrow task will be assigned to the Escrow Owning Office In Box workgroup If upfront fees are required for an HOA Demand/Estoppel, the HOA Upfront Fees task will be assigned to the Escrow Owning Office In Box workgroup When HOA Demand/Estoppel and/or HOA Status Letter and HOA Documents are received, EPS scans statement document into Document Repository, and the HOA Scanned Only task will be assigned to the Escrow Owning Office In Box workgroup If additional information is needed, the Request Info - HOA or Request Info HOA Update tasks will be assigned to the Escrow Owning Office In Box workgroup Step 3: Monitor and Manage EPS Response Tasks in My FAST Today HOA Track Back to Escrow EPS tasks back to the Escrow Owning Office if the HOA Demand/Estoppel cannot be obtained. 3 2. Enter search criteria: C. Task Office: Select your office name 3. Click 4. Mark HOA Track Back to Escrow task Complete 5. Locate and double-click notification to access file 6. The Escrow Owning Office will obtain the demand statement HOA Upfront Fees When EPS is advised by an HOA that there are upfront fees required to provide the Demand/Estoppel, they will task back to the Escrow Owning Office. You will be responsible for follow up. 2. Enter search criteria: C. Task Office: Select Escrow Owning Office name 3. Click 4. Locate and double-click notification to access file 5. Review the HOA Upfront Fee task comment for payment amount and order code 6. Once the HOA Upfront Fee is paid, access File Workflow 7. Does the demand require tracking by EPS: A. 4 HOA Scanned Only EPS tasks back to the Escrow Owning Office when the Demand/Estoppel is received. The Escrow Owning Office is responsible for entering HOA charges. 2. Enter search criteria: C. Task Office: Select Escrow Owning Office name 3. Click 4. Mark HOA Scanned Only task Complete 5. Locate and double-click notification to access file 6. From FASTNav, click 7. Locate PO-HOA Statement 8. From FASTNav, expand Escrow Charge Processes 9. Click Homeowner Association 10. Enter HOA information and charges Request Info - HOA or Request Info - HOA Update If EPS needs additional information, they task back to the Escrow Owning Office. Click to view the task comments to determine what is needed Obtain additional information that is requested by EPS Enter pertinent information in appropriate FAST screens, as needed 6. Access 7. Locate and mark Request Info - HOA or Request Info - HOA Update task Complete 8. Select the correct path the task should take: A. Send Back to EPS for HOA assigns a task back to EPS, process will resume B. Do Not Send Back to EPS EPS is no longer required to process the request Optional: Request HOA Demand Update 2. Deselect Active Only 3. Click Add Process 4. Select EPS HOA Update process 5. Click NOTE: The HOA Order task is auto-assigned to HOA Ordering workgroup. Do not start this task. 6. 6 What EPS Will Do Send the HOA Demand/Estoppel update request and track it If after two attempts they are unable to obtain an updated HOA Demand/Estoppel, the HOA Track Back to Escrow task will be assigned to the Escrow Owning Office In Box workgroup If upfront fees are required for an HOA Demand/Estoppel, the HOA Upfront Fees task will be assigned to the Escrow Owning Office In Box workgroup When HOA Demand/Estoppel and/or HOA Status Letter and HOA Documents are received, the HOA Update Scanned Only task will be assigned to the Escrow Owning Office In Box workgroup. Manage in the same manner as the HOA Scanned Only task. If additional information is needed, the Request Info - HOA or Request Info HOA Update tasks will be assigned to the Escrow Owning Office In Box workgroup Optional: Report EPS Error 2. Locate and expand EPS-HOA or EPS-HOA Update process 3. On the EPS Error Notification task, enter a Task Comment detailing the error 4. Complete the EPS Error Notification task NOTE: Use the task contained in the appropriate EPS HOA process, so EPS is aware of which service/process the error occurred in.
